When to send W-2c

I discovered an error on a W-2 after it was e-filed but before a copy was provided to the employee. Do I need to provide them with a W-2c or can I send them a W-2 with the correction?

They'll need both the original and the c.  Don't correct the original.

Welcome to Community. Thanks for reaching out.

 

As mentioned by @BigRedConsulting, you would need to prepare the W2c Form for your employee. You would also need to prepare a W3c form to accompany the W2c Form. You'd file both the W2c and W3c forms with the government.

 

To do this:

 

  1. Open QuickBooks, go to Employees, then Payroll Center.
  2. Once you're in the Payroll Center, click the File Forms tab.
  3. Select Annual Form W2c/W3c-Corrected Wage and Tax Statement. After you select the Form, choose Create Form.
  4. Next to Process W2 Select to choose all employees or a last name range.
  5. Under Select Filing Period, confirm that the correct period is entered.
  6. Hit OK.
  7. In Select Employees for Form W2/W3, choose the employee who needs to receive a W2c then click Review/Edit.

After completing the steps above, you'll need to answer the questions on the interview page. Then you'll review each page and select Next as needed. After that, you'll fill the employee's information and include the corrected amounts.

Let me provide you some information about printing corrected W-2c/W-3c forms, LLuke.

 

The option to print the W-2c/W-3c forms on pre-printed forms and do E-filing is unavailable. As of now, you can only print the corrected forms on perforated paper and mail them to the tax agency.

When to send W-2c

This needs to be corrected.  If QB can provide the option to print W2's and W3's on pre-printed forms, you should be able to provide the same option for the W2C and W3C.

The IRS isn't open due to COVID, so the forms can't be ordered through their website.

Do you know where to get the perforated forms, so that we can print the W2C and W3C?

I am trying to figure out how to upload a corrected W-2 (W-2C) onto Quickbooks Workforce online. Is it not possible to upload the corrected W-2 online?

Yes, you can upload your employee's corrected W2 form to QuickBooks Workforce. The information displayed in your employee's W2 form depend on the information you entered in QuickBooks. Let's first make sure to update the employee's information or make the necessary corrections in QuickBooks..

Here's how:

  1. Go to the Payroll or Workers menu.
  2. Choose the Employees tab.
  3. Double-click on the employee's name.
  4. Select the Pencil icon in the Profile column.
  5. Enter the Employee's correct address.
  6. Select Done

Also, you can reprint the W2 form and send it to your employee. You can follow these steps:

  1. Go to the Taxes menu.
  2. Click Payroll Tax.
  3. Under Annual Forms, click View and Print Archived Forms.
  4. Look for the W-2 copies and click on it. 
  5. Click View and print the tax form.

By perforated paper, do you mean blank W2 Forms? Cant I just print them on blank white paper like I did the original W3 form?

Thanks for dropping by the Community this afternoon. Unfortunately the the IRS requires the use of perforated paper for any Employee Copy W-2 that is printed on plain paper. You must print these blank paper W-2 forms using black ink. If you're looking to buy the paper, you can buy it from our Checks and supplies store. When to send W-2c

I ordered the W-2C and W-3C forms from the IRS website.  Do I fill it in in handwriting since QB won't allow me to print it on their form correctly?  Or do I just print what QB allows me to print on blank regular paper and send it in?  Please help
