These are not recurring transactions.

Hello there, leonafortner.

 

Good job for checking the Recurring Transactions page to verify that automatically sent invoices are not due to invoice recurring templates. When creating invoices, let's ensure that you selected the Save and close option instead of Save and send. If you've correctly saved your invoices and the same thing happens, a browser-related issue might have caused this. 

 

You can try logging in to your account using a private browser (incognito) and try creating a dummy invoice sent to yourself and then Save and close. Check the email used if you've received an email. If it wasn't automatically sent, you can go back to the main browser and clear the cache. You can also try recording an invoice through other supported browsers to get rid of these kinds of issues.

I understand how this affects your business. You can follow the troubleshooting steps provided by my colleague to see if this is a data-related issue. If you've performed it already, I'd suggest contacting our QuickBooks Online Care Team. They have the tools to perform a screen share to check the settings and help you get to the bottom of this.

 

Here's how:

 

  1. Go to the ? Help and click Contact us.
  2. Enter Speak to a human in the text box.
  3. Input your concern such as "Invoices are sent out without setting up recurring transaction" or "Invoice Auto sends to customers without our approval."
  4. Choose I still need a human.
  5. Click Contact Us and choose how you want to be assisted.
  6. Follow the on-screen instruction to get in touch with one of our live agents.

You may consider checking the support hours to see what's the best time to contact them.

Did this ever get resolved as I'm having the exact same issue.

 

I have invoices being sent on their own.

 

Once went out at 7:08am on a Sunday while I was sleeping.

 

It is causing me MAJOR MAJOR issues!!

This is happening to me as well and it started around the same time as your post.

 

It's a major major issues.

 

I know it's not anything I'm doing.  I had an invoice that got sent at 7:08AM on a Sunday when I was sleeping.

I've checked our records, CoSi. I haven't seen any open investigations the same as yours.

 

Let's try to check the Audit log report. It keeps track of any activities in QuickBooks Online. Here's how:

  1. Click the Gear icon.
  2. Select Audit log.

From there, we can check if a user sent the transaction. 

 

If there's no activity, you can try the basic steps provided by Catherine_B at the top. However, if clearing the cache or using a different browser won't make any difference, I suggest reaching out to our customer care support. This way, an agent can further investigate this issue. You can follow MarsStephanieL steps on how you can get in touch with us.

Why is QuickBooks auto sending invoices to clients on its own?

Thanks...so I'm the only person that accesses QuickBooks.

 

I looked at when that invoice was sent and it says "Indirect Edit by System Administrator"

 

I have no idea what that means.  All the things that I have done have my name listed and not System Administrator...

 

Any ideas?

I appreciate you for performing the troubleshooting steps provided by my colleague. The System Administration shows changes made automatically by QuickBooks Online (QBO). This can happen for several reasons, such as:

  • You change a record, and the change affects another record. For example, if you edit payment and link it to a different invoice, you may see a System Administration event for a change to the original invoice.
  • You connect a third-party app to QuickBooks. When the third-party app sends data to QuickBooks, or when it makes a change to your existing data, this appears as a System Administration event.
  • You create a recurring transaction, such as a recurring expense. When QuickBooks automatically adds an instance of the transaction to your books, a System Administration event appears in the Audit Log.
  • You set up other events to happen automatically, even when you’re not signed in.

Just figured it out.

 

If you look closely on your invoice, under Terms, Invoice date and Due Date, there is a "Reminder" link. Click there and deactivate it.
