In a recent webinar, I ask how to keep track of my business and personal use. I was told I need 2 accounts/subscriptions. Can I have an essential account and a self-employed account?

 

And when i sign in, can I easily jump between accounts?

Thanks for taking advantage of our Community Drop-in this morning. I’m glad you’re here and I’m happy to help.

 

Great news! You CAN have an Essentials account and a QBSE account. For convenience, you can use the same user ID/email for both and quickly switch between the two when your logged in. 

 

To add a QB account:

 

Visit the QuickBooks pricing page and select the subscription option you want. This opens one of two experiences:

 

  • If you're signed in to QuickBooks, you’ll be asked to confirm the account you want to sign in with. If the account displayed is the one you want to use for the new company file, select Yes, that’s correct.
  • If you haven’t signed in recently,  you’ll be asked to create an Intuit account. Don't fill this out unless you want to connect your new company file to a new account. Instead, look for the Adding a company to an existing account? section and select the Sign in link. Sign in with the user ID and password you already use for QuickBooks.

Hello,

I have Qkbks On-line Plus. I process 200+ supply bills for my plumbing company each month. When I try to import the bills, Qkbks tells me I cannot Import into Accounts Payable. Is there a way I can import these bills to a different liability account?

For business, you can use QBO

If you prefer to use QBSE over Mint, use one primary browser and one private/incognito browser to open 2 accounts at the same time.

i just opened a new qb file for a building i bought (rental) as it is a seperate LLC. Can you walk me through how to record the sale transaction? i bought it cash with $ from a trust account - so it is an investment for the trust. How do i record it in Trust's qb file?

Hi MonicaM3, thank you. I think I did that successfully. However, when I sign in and select the self-employed account (which I label as jun tang personal, I get a white screen, with no details of the account.

 

I've attached a screen recording. I think there is a bug. Please help.

Hi! I am using QBD 2019 & trying to prepare to move over to QBO. I have several questions.

1. We did have a QBO account but we cancelled it in 2016. Can I create a new one? Or if I am able to use the old one, I'd rather not have that data in with the new data.

 

2. Can I import/move over data only from the beginning of this year & leave 2021 & prior in QBD? If so, how easy is it do?

 

3. I've watched a few of the QBO tutorials on moving from QBD to QBO-one discussed just importing in lists, would that be the way to go if just wanting to import 2022 data?

 

4. Sales tax-we file and collect sales tax in 8 states. Is this relatively simple (like on QBD), because in 2016, it really wasn't an option that was useful, hence we went back to QBD.

 

I'm sure I have more, but this is just a starter.

The built-in converter tool will migrate the whole data. If you only need to migrate some portion of data, you should run the Condense Data utility to remove the old transactions. Otherwise you have to purchase a 3rd party conversion service.

My apologies for the delay, my reply didn't go through.

The blank screen looks like it could be a cache issue. I'd suggest opening a private browser, sign in to QBSE and see if the interface opens successfully. Here's how:

 

  • Chrome: Press Ctrl + Shift + N
  • Firefox and Internet Explorer: Press Shift + Ctrl + P
  • Safari: Press Ctrl + Option + P

 

If that works successfully, you'll want to clear your cache and cookies in the original browser to clear it up. If that doesn't help, please let me know and we can determine next steps.

Yes, I clear browser history, cache, etc, and nothing. There is a quick split second of the settings..etc, then it goes to the white screen again.

Hey there, @TRAZ.

 

It's great having you here with us during our drop-in event. I'm happy to lend you hand with your QuickBooks Desktop to QuickBooks Online migration questions. 

 

I'm going to respond to your questions in the order that you sent them to help keep some alignment with my response. 

 

  1. The great thing about QuickBooks Online is you can have multiple accounts under the same QuickBooks Online account. Each company file is it's own paid subscription. So, if you'd like, you can create a new company under your old QuickBooks Online account. You can find those steps in Create or add another company file in QuickBooks Online.  
  2. To prevent any errors or mismatched data, the conversion process brings over all data from Desktop to Online. I'm including a couple different help articles that we have available about bringing your data over to Online below. 
  3. At this time, there isn't a way to choose a certain year of data to bring over. If you run into any issues with your company file in QuickBooks Desktop being to large, you can always Condense the file.
  4. QuickBooks Online recently release a new Automated Sales Tax feature to make sales tax a lot more simple. This feature can automatically do the sales tax for you on your invoices and receipts for easy and accurate filings. It will also let you know when your tax payments are due, so you can file on time. You can learn more about this feature in Set up and use Automated Sales Tax in QuickBooks Online

Are you trying to sign in to QBSE directly or switch to that company from your Essentials?

Have you downloaded the app to a mobile device? If so, are you able to sign in and see the interface successfully in the app?

Ok, thank you. I've been having this issue and it's been frustrating because I cannot access my self-employed account. I've attached a screengrab when I sign in and provided the option, but when I select the essential account - it works. When i sign in and select the personal, I get that glitch.

Tori, thanks for your tips! I've been watching the QBO videos & it all looks so easy. I just wish I had known at beginning of year that QBD wasn't going to be offered. I probably would have just started our company anew, but there's too much data from the previous years that is so old that we don't really use/need anymore. Not sure if I can remove that data after it's in QBO because it's products, vendors & customers we don't use often. Just seems a bit messy to have, if I ever need it, I have it in QBD.

 

I remember after converting back from QBO to QBD, I had to go thru all the invoices & redo sales taxes, addresses & jobs/projects. Just debating whether I want to re-enter info from Jan 1 or export & try to "clean up".

 

We actually have another business that uses QBO Essentials so I could create another company with that one.

 

I looked at our targets & we are under the 750K amount. I'll check out how to condense file. I guess if worse comes to worse I can always get a QBO agent to help after the transfer.

Thanks for joining us today, 

To be clear, you have two QuickBooks files, correct? One for the Trust and one for the new building that the trust purchased. Am I understanding that correctly.

 

For the Trust company file, you'd set the building up as an asset in that company file, and record the purchase from whichever bank account was used.

 

For the building, you set up a different company file if there is a business associated with it and the Tax ID number is different. That set up and chart of accounts will be tailored to the type of business the building is for ie: office space rental, retail, etc.

 

I'd also recommend confirming this with your accountant just to make sure your bases are covered.
