2023 1099 QuickBooks Online

Hello, simply.

I can share some information about the 1099 wizard in QuickBooks Online.

If you're using QuickBooks Online to prepare your 1099 forms, you can start the process as soon as the tax year ends on December 31. It's essential to begin the process early to ensure you have enough time to gather all the necessary data and correct any errors before the January 31 deadline for filing with the IRS and sending copies to your contractors.

Then, you can start e-filing your 1099 before January 29. This is to ensure your 1099s can be postmarked to your contractors by January 31. You can e-file 1099s through January 31 to be on time with the IRS. E-file is open until April 30.

To start, you'll need to review your vendor list and make sure that all your vendors are marked as "eligible for 1099." Next, you'll need to ensure that all your vendor payments are correctly categorized as 1099-eligible or not. You can do this using the "Track payments for 1099" feature in QuickBooks Online, automatically tracking all payments made to eligible vendors throughout the year.

Once you've reviewed your vendor list and payment records, you can generate your 1099 forms in QuickBooks Online. QuickBooks Online will automatically populate the forms with the necessary information, including your business information, the vendor's information, and the amount paid to the vendor during the year. After generating the forms, you'll need to review them to ensure all the information is accurate and complete.

Finally, you can file the forms with the IRS and send copies to your vendor by the January 31 deadline. Starting early and following these steps will ensure a smooth and stress-free 1099 filing process.

Additionally, these articles will direct you on how to create your vendor' 1099s, the procedures to file them, modify your contractor 1099, and solutions to frequently asked questions regarding the form:

If you have additional questions about the 1099 and other forms (payroll or contractor), comment below and tag my name. I'll jump right back in to respond to them. Have a good one!

Thank you. I do understand that, and I want to start working on the list, but its only giving me the 2022 transactions and I want to know when I will be able to see the 2023 transactions. All prior years, there was a message of when the 2023 info will become available before the year end. I don't see this at all this year

Hi Simply,

I appreciate you for keeping in touch here in the Community. I can help clarify things about filing 1099s in QuickBooks Online.

Users using QuickBooks Online, QuickBooks Contractor Payments, or QuickBooks Desktop can only create 1099s for the most recently closed tax year. For the 2023 transactions, you'll be able to review and file them in our system by January 2024.

Also, certain contractor payments should not be included on the 1099-MISC and 1099-NEC forms. I've added a link you can visit to learn more about how to run a report to find excluded payments in QuickBooks Online: Understand which payments are excluded from a 1099-NEC and 1099-MISC.

Drop me a comment below if you have more questions about filing forms or reviewing 1099 transactions. We'll be happy to help you some more. Take care always.

I guess it changed, I used to be able to pull the current year info from November in the wizard. Thank you for the assistance.

No, you are correct... they don't know what they are talking about. Year's past the screening tool started coming available in November.

You're right - it used to be available prior to the end of the year.  That way, if you are missing any information, you can get started working on it.  Now it will be more of a crunch in January.

Last year QBO had a deadline inside QBO 1099 tool making us process the 1099's early (before 1/31) and at some point, if we were late > 1/31, as I recall, it would no longer let us process a 1099 with the QBO tool.

Is this still the case? Please provide any dates/deadlines for using the tool in 2023 for 2022 1099s.

Welcome to the QuickBooks Community, hcarterva. Let me provide details on how the 1099 works in QuickBooks Online. I'll also ensure you can file the form efficiently to have accurate data.

Beforehand, may I ask what specific tool are you referring to? Also, are you attempting to file a 1099 for 2022? I would appreciate any additional information so that I can offer the right information.

Please know that the 1099s are due to the IRS and your contractors by January 31. However, we recommend you e-file before January 28 at 5:00 PM PT. This is to make sure your 1099s can be postmarked to your contractors by January 31. You can e-file 1099s through January 31 to be on time with the IRS. E-file is open until April 30. You can open this article to see further details: Create and file 1099s with QuickBooks Online.

On the other hand, please know that we update the version of our form every year. It means that only the current version is available for filing. If you need to file the 2022 1099, you can do it outside the program. You can manually fill out a 2022 1099-Form and submit it to the agency. You can access the 1099-MISC form here. You can get the data in QuickBooks by pulling up vendor transaction reports.

Here's how:

  1. Go to the Reports menu in the left panel.
  2. On the search field, type in the word "vendor" and click the report you want to view.
  3. Update the report data to 2022, so it shows the data you need.
  4. Click Run report.

In case you need steps on how you can make corrections to 1099-NEC or 1099-MISC forms after you e-filed them, you can read this article: Correct or change 1099s in QuickBooks.

Keep me updated in the comments if you have any other questions about processing the 1099 in QBO. I'll be here to lend a hand, hcarterva. Stay safe!

You are really dropping the ball QuickBooks! I was able to finish all the 2022 taxes on 12/20/2022 last year. I was planning on starting 2023 early. We all pay how much for the services, you need to correct/fix this for years to come. It doesn't matter when the IRS deadline is, there are companies waiting to start doing their taxes and would like to start early.

I am trying to print 1099s for 2023 but it continues to default to 2022.  How can I change the year for 1099 processing on desktop quicklbooks?

Welcome to the Community space, @IBA2020.

It's essential to file early to ensure you have enough time to gather all the necessary data. This way, you can correct any errors before the due date.

You can only create 1099s for the most recently closed tax year. For instance, for the 2023 transactions, you can review and file them in our system by January 2024. You'll want to try again the following week.

Here's your guide for processing: Create and file 1099s with QuickBooks Online.

Some contractor payments should not be included in the 1099-MISC and 1099-NEC forms. To learn more about this matter, refer to this article: Understand which payments are excluded from a 1099-NEC and 1099-MISC.

January 10, 2024 and still no 1099 file wizard for 2023.  Same for everyone else?  Is there something new this year like books need to be closed first?

Thanks for the replies.  I asked my accountant if she knew anything and she replied that it worked for her and she did it for me.

I *think* maybe it was a browser issue?  I use Safari on MacOS typically and forget that sometimes things only work in Chrome.  Maybe the case with this.  Worth trying if you haven't.

What I did the start of the year and it worked for me but I have desktop not online.

-Help

-Update QuickBooks desktop

-options, mark all, save

-update now tab, reset update, get updates.

After it goes through close QuickBooks, go through again and do this but without the reset update and close QuickBooks again and go back into it. Once I did that it let me file the 2023 1099 and all other 2023 taxes too.

Like I said I have desktop and not online so I hope I was able to help you in some way.

I also did this with payroll updates too for the W2 and W3.

If a vendor does not return a W9 for 1099 filing before the 1/31/24 deadline, how long do we have to process late filings?

ReymondO

2023 1099 QuickBooks Online

Good day, @override. Thanks for joining the thread and sharing your concern on the QuickBooks Community page.

I'll share important details about handling late 1099 forms in QuickBooks Online.

There is no specific timeframe on how long you can process late filings. However, the system will allow you to do it up until April 30th (February 2 to April 30). Any 1099 submissions after May 1st will need to be mailed in manually.

To file it, you'll simply want to go to the Vendors page and then click the Prepare 1099s button. Ensure to select only the vendor with the late 1099 form. Here's how:

  1. After clicking the Prepare 1099s button, proceed with Continue your 1099s.
  2. Go back to the Contractors section by clicking the Back button.
  3. Click the Add from the Vendor list button.
  4. Deselect the vendor or contractors that you don't need and select only the one with the late form.
  5. Click Save, then continue preparing the late 1099.

While you can still e-file the form, this will still be considered late by the IRS. I would recommend contacting them so they can assess the fees.
