941 E-file never submitted

I received a notice from IRS changing my deposit requirements for next year.  The quarter liabilities listed show less than 50K due to the June 30 2024 showing as 0.00.  I completed the 941 in QuickBooks desktop and printed the form, but apparently, I did not hit submit or something else went wrong.  The form shows up in my saved list, but not in my e-file list.  Yikes! what do I do?? I submit payroll liabilities every week through our bank draft, so there should be no taxes due. Do I start over and re-submit?

Here's how to delete it:

 

  1. Open QBDT, go to the Employees menu, then select Payroll Center.
  2. Select the File Forms tab.
  3. In the Filing History section, find the incorrect 941 form.
  4. Click the link under the SAVED PDF column.
  5. Copy the file location after opening it.
  6. Open your File Manager from your computer and paste the copied file location in the search bar.
  7. After locating it in your computer's file, right-click it and hit Delete.

 

Once done, you can then resubmit your federal form. Here's how:

 

  1. Go to Employees, select Payroll Tax Forms and W-2s, then Process Payroll Forms.
  2. Pick the federal form you need to file from the list.
  3. Select Create Form. Choose the form filing period, then hit OK
  4. Review each part of the form. You can select Check for errors, then make necessary corrections.
  5. Click Submit Form. Then select E-file
  6. Enter your 10-digit IRS Efile pin and follow onscreen instructions to continue filing the form.

 

You can also verify the status of the payroll tax forms and payments you sent electronically through QuickBooks to the IRS or state agencies.

Thanks for the detailed instructions.  Now, after I re-file do I need to contact IRS?  I've been on the line with them holding for about 30 minutes so far.

941 E-file never submitted

Thanks for your reply.  I did re-submit the form, received the email confirmation that it was received and processed successfully by the IRS.

 

Afterward, I did call the IRS and held on line for over an hour.  This was pretty much a wasted hour as she was very unconcerned and unhelpful.  She kept asking me what the letter said, and after repeating it for the third time, she finally said well if you owe any penalties they will be contacting you within a couple of weeks. I asked how much they might be and she said usually 10 %.  For a small church like mine, that would come out to about 2600.00.  We have just replaced 4 commercial HVAC units, so Ouch! that would hurt.  She finally said that if I had not had any previous penalties that they probably would not hit us with one for this. 

 

Good to know, but just a little unsettling that she did not seem to be very confident in her answers.
