How to add an employee to Quickbooks so they can upload receipts ONLY

I'm glad I found this thread before signing up to Quickbooks! What on earth is the point if you can't have your employees snap and send receipts?

Have you guys sorted this out yet?

And please don't reply with any thing about allowing them full account access, which is ridiculous, or inviting us to purchase a third party app, which is an insult as everyone is clearly expecting this to be a basic function of your product.

Please let me know how you're getting on with it, many thanks,

Matthew.

How to add an employee to Quickbooks so they can upload receipts ONLY

Question is how employees can be setup as limited QBO users to ONLY import/upload or primarily email receipts TO quickbooks for company expenses     Not SEND receipts out, which of course is somewhat easy.

QBO cares little about the needs of any users. Incoherent system like a drunk created this crappy dysfunctional, overhyped "app"   Most every hyped "feature" offers extreme limitations rendering it near useless.  Along with the constant nickel and diming for any actual usable options.

The idea that everyone should research and setup and even pay for 3rd party apps to make QB functional is an arrogant stance and disgrace to all the customers now stuck with subpar, overpriced and incoherent app that barely handles "accounting".  We are supposed to lobby and beg via feedback portal for basic functionality is absurd.  Worse these non working features are what duped many users into buying into media hype.  Can't wait to leave QB in the dust.        Beyond disgusted.

Fully agree. I need my team to submit pettycash expenses, or Credit card payments etc. And then make them ready for my approval to enter into quickbooks or decline. (If it’s not a proper tax invoice, or unreadable receipt etc. We now do this all manually which requires them employee, the two accountants, and then me to prepare the expense reports. Just so disfunctional and time consuming! I am seriously considering leaving quickbooks hence I can on this support system to hope there was a solution. Looking into Zoho, Monday.com for integrations, and a new one called Bayzut, which even has payroll etc. Companies like Quickbooks really need to update else it will be a Nokia and blackberry effect.

Quickbooks, please add this very basic functionality to your software. Many employees in any given company can make purchases, but do not have access to company financials. This should be reflected in how you can customize user types.

I appreciate your engagement and proactive approach to sharing your thoughts with us, alayne.

I completely understand that many employees are involved in making purchases without requiring access to company financials directly. Having different levels of access for employees while ensuring that sensitive information remains protected would be very helpful in the segregation of duties within your organization.

Your feedback on this matter is greatly valued. Please know that we're constantly striving to enhance our product and meet the evolving needs of our customers.

To ensure that your suggestion reaches our development team, I encourage sharing your comments by following the steps below. Your input plays a pivotal role in shaping our product roadmap.

  1. Sign in to your QBO company.
  2. Go to the Gear icon, then choose Feedback.
  3. Enter your request in the description box and click Next.

In the meantime, consider having your worker use a third-party application to sync the receipts. This way, they won't be able to open and view the other areas of the program.

In this day and age, it should not be that difficult for QB to offer this. This is the whole point of why I just joined QB. Disappointed.

And why aren't you providing the feedback to the developers for us? It should be your job to do this, especially when we have already wasted our time to research this issue ourselves.

This is a BASIC operation in mostly all businesses. Why does this thread go back for 2 years. With nothing but a CRAP reply of how to let the development team know. I just started with QBO and am starting to think I made a mistake if something so simple and extremely common in business can’t be developed over 2 years time???? Come on that’s PITIFUL.

I know this is a few years later but did this option work for you? If so that's kind of ingenious and I may try doing the same!

@MCCTreasurer2024

You can explore to signup for a free travel and expense management app to integrate with QBO as a workaround.

My first choice would obviously be to just use QuickBooks and not have to integrate another program but I appreciate that suggestion as a backup option!

My goal is to figure out an option just using QuickBooks that doesn’t require integrating with another program, but I appreciate that suggestion as a backup option!

We have IT accounts that receive receipts for IT subscriptions. I'd LOVE to be able to set an auto-forward to QBO so that they can go there, and get matched.

BUT you can only have one email address per user.  THAT's STUPID.

In What company does the accounting team purchase all the receipts.

Good Grief.

How to add an employee to Quickbooks so they can upload receipts ONLY

It's now June 2024 and I just received the exact same response....STILL no updates on this feature.

The response from the QB rep suggests the user has to do all the work to get QB to simply LISTEN to it's customers.

"To ensure that your suggestion reaches our development team, I encourage sharing your comments by following the steps below...."

Why do I (and many others) need to go through all of those steps to get my/our suggestion heard by the right people at QB?
