How to move an user from employee to contractor

Hello,

 

I have an employee that was linked to a tracking time user in QBO online, and now he will be a contractor. I need to unlink his user from the employee and add it as contractor. 

Is there a straight forward way to do it? Trying to make the employee inactive is not allowed because the tracking user link.

Hello, Oana Palade.

 

I can show you how to change the profile of your user info from employee to contractor.

 

The option to change the profile types such as Employee to Contractor vice versa is unavailable. You'll want to delete the existing user so you can add the updated one. A new email invite will be sent.

 

Here's how to delete an existing user:

 

  1. Click the Gear icon at the upper-right, and click Manage users.
  2. Go to the Users tab.
  3. Look for the user that used to be an employee and click the drop-down arrow beside Edit.
  4. Click Delete and select Delete to confirm the action.

Then, you can inactivate the employee first and create a contractor profile after. Time tracking only user role can’t be vendors who track payments for 1099. If you need to track time for 1099 vendors, you can enter timesheets for them. Once done, add the contractor as a time tracking user

Thank you for your reply. 

Before I asked, I did try to make the employee inactive and here is a screenshot with the error I got

Also, I have a question. Connected to the user, we want to change it, is a time tracker user that has time entries for the past 2 years. Does deleting it affects the time entries in the system? I do not to proceed and risk getting all this data lost. Once you confirm, I can proceed. Thanks.

Let me help you delete the employee in QBO. the You will need to remove the user first in the Manage Users section so you can make the employee inactive. Here's how:

 

  1. Go to the Gear icon and select Manage Users.
  2. Under the Users tab, look for the name of the employee.
  3. Click the drop-down list beside Edit and select Delete.
  4. Confirm that you want to delete the user.

 

Also, the time entries will still remain and will show up in your reports even if the user or employee is deleted. I'd also like to reiterate that a time-tracking-only user can't be used for vendors with 1099 boxes turned on. 

 

After deleting or making the employee inactive, you can now proceed to adding the user as a contractor.
