adding a second user

i have a desktop pro 2019 quickbooks and i am trying to add a second user, i am not able to, can someone help please.

Thanks for joining the QuickBooks Community. You may need to purchase additional licenses for more users. You can purchase additional licenses if you need more users to simultaneously access a QuickBooks Desktop company file.

Depending on the number of user licenses you have, QuickBooks Desktop Premier allows up to 5 users and Pro allows up to 3 users to work in a company file at the same time.

 

If you need more than 5 users, QuickBooks Desktop Enterprise Solutions allows up to 30 users working on a company file at the same time. To see if Enterprise is right for you, along with any active promotions, contact our sales team at 1-888-566-4671.

 

To find out how many user licenses you have:

  1. In QuickBooks, press F2 to open the Product Information window.
  2. In the upper left, note the number listed for User Licenses.
  3. Repeat for each installation of QuickBooks.

To find current pricing information for adding users to your license:

  1. In QuickBooks, go to Help then select Manage My License and Buy Additional User License.
  2. Select the Add Seats Online link for current pricing.

To purchase additional user licenses:

  1. In QuickBooks, go to Help then select Manage My License and Buy Additional User License.
    NOTE: If Buy Additional User License isn't available, your QuickBooks may already be at the maximum users allowed.
  2. The page that opens gives you the option to buy additional licenses online or by phone. If you choose to use the phone option, you'll be given the phone number to contact Intuit. If you choose to use the online option, a new page will open allowing you to choose the number of licenses you'd like to buy.
  3. Install QuickBooks Desktop on additional computers based on the number of licenses you purchased. Use the same license and product numbers you used to originally install QuickBooks Desktop.
  4. After installing, follow the prompts to activate QuickBooks Desktop.

You can also go to Help then select Manage My License and Sync License Data Online to update your new license information.

Do you have any specific issue? You may purchase an additional seat for your current license. Make sure you don't get another license code to install.

Hi we have purchased QuickBooks Desktop Enterprise Solutions 18.0 with 7 users license at first we are able  to open the company file simultaneously but  now only 1 user can access the company file and if we are trying  to open it using other users account it will prompt this message" You have exceeded the number of users who can access the company file at the same time" even we are using the multi user mode. Upon checking the Product information it only displays 1 user license. Do you have any remedy for this? hoping for your prompt reply . Thank you in advance.

Login to your CAMPS to check your license status. Anyway, why are you still using QBD 2018 Enterprise? If you have an active subscription, you will find your license code for QBD 2019-2021 in your CAMPS.

Hi, we have recently purchased this license around March 2021. We don't have any idea about the  CAMPS because we believe that this is  just a one time purchased license and we do not need additional subscription.

In QuickBooks Desktop, CAMPs is a website where you can find all the product information you need including your subscription. Let me walk you through the steps on how you can find your license information.

 

  1. Go to the Customer Account Management Portal (CAMPs) page.
  2. Enter your Intuit login credentials.
  3. Click Sign in.
  4. Select your QuickBooks desktop product.
  5. Click Detail.

Where is your location? Frankly, I am not sure you were purchasing a legit license. Contact us in private for details.

We have purchased the Desktop Pro Plus 2023 version with 2 user licenses.  When updating our main computer to the 2023 version there were no issues; however, now our second user is unable to sign in to QuickBooks to also update to the 2023 version.

Can anyone help?

Thanks for joining the thread, @Tjkwa. Let's figure this out so you can move on and provide your second user access to QuickBooks Desktop (QBDT), so they can upgrade to the latest versions.

 

Before anything else, I'd like to share some details about possible reasons why this is happening to your other user. The user is unable to log in and update QBDT 2023 due to the following:

 

  • QuickBooks is not installed on the server.
  • Possibly that the hosting settings are not properly configured.
  • Firewall or antivirus software is not allowing communication between user computers.
  • The database server is unable to open the company file.
  • Windows file permissions are not properly set.

Now to get through this, we can perform some trouble shootings steps. First, you'll want to check the folder permission on your server computer to ensure that the folder holding the data has permission to be on your network. Here's how:

 

  1. Open the Windows Start menu and open File Explorer.
  2. Right-click the folder that contains the company file. Then select Properties.
  3. On the Security tab, select Advanced.
  4. Select QBDataServiceUserXX and select Edit.
  5. Set the following settings to Allowed:
  • Traverse Folder/Execute File
  • List Folder/Read Data
  • Read Attributes
  • Read Extended Attributes
  • Create Files/Write Data
  • Create Folders/Append Data
  • Write Attributes
  • Write Extended Attributes
  • Read Permissions

The second would be to ensure that QuickBooks Database Server Manager is present on your main computer. This way, company files will be shared with other computers over your network. Please see this page: Install QuickBooks Database Server Manager.

 

If everything checks out, proceed to set the windows admin rights. Doing so will let you change your firewall settings and folder permissions. Visit this article for further guidelines: Create Windows users and give them administrator rights.

 

Once done, you'll want to scan your folder using the Database Server Manager that you installed earlier to access your file over the network. Refer to this article to learn how to scan your folders: Use QuickBooks Database Server Manager.

 

And then lastly, turn on hosting on your server compute. Here's how:

 

  1. Go to the File menu and then hover over to Utilities.
  2. Select Host Multi-User Access and click Yes to confirm.
