How can a Team Member on my Accountant Version send receipts to a QBO Client

My team member has full access to the client through my Accountant version.  My email is listed as a user on the client account by virtue of being the accountant.  If I add her email address to the list of receipt senders on the client account, will that also add her as a separate user (rather than logging in through my Accountant version)?  How else can she send receipts to the receipt email listed on the client account.

How can a Team Member on my Accountant Version send receipts to a QBO Client

I'm glad to see you in the Community today, mbell1.

Efficient communication between team members and clients is essential for optimizing your business workflow and ensuring smooth receipt handling. Allow me to share some insights about managing user roles and access in the online program.

Yes, adding your team member's email address to the list of receipt senders on the client's account will create a separate user. You can give a standard user permission so the email can carry out the task.

When managing users and addresses, please note the following:

  • You can only register one email address per user for your company. Here’s how to change the email address associated with your QuickBooks user account.
  • In the Receipts (Take me there) tab, you can always select Manage forwarding email to manage which users can email receipts and bills.
  • A user must at least have standard permission from vendors to send receipts and bills.
  • If you have a Gmail address with a + sign in it, you may not be able to register your email address.

Next, let's proceed to setting up the user. Here's how to do it:

  1. In your client's QuickBooks Online (QBO) company, head to the  Transactions menu on the left panel and choose Receipts.
  2. Go to the Manage forwarding email tile.
  3. In the Manage receipt senders section, press the Add new user link to open the Manage users page.
  4. From there, click the Add user button and fill in the fields with the appropriate information, including the role.
  5. Follow the onscreen instructions to complete the process.
  6. The employee's name will appear after they accept the invitation.
  7. When you’re done, select Close.

You can browse this article to learn more about the email forwarding function: Email receipts and bills to QuickBooks Online. It outlines the steps on how to create a custom email address to forward to the transactions.

Once your bills and receipts are in QBO, review and categorize them into the correct accounts to keep your records organized. For additional resources, you can go over this article to learn more about the supported file types you can upload receipts as well as methods to send them to your company.

Moreover, the following references outline the steps to customize each user role and give individual permissions for specific tasks. Simply open each link for detailed instructions:

Stay in touch if you have additional questions about access roles and user permissions. I'll get back to make sure everything is taken care of for you. Have a great rest of the day, mbell1.

How can a Team Member on my Accountant Version send receipts to a QBO Client

Is there another option?  This will cause the Team Member to see my Accountant Company as well as the Client Company at the QBO login page. My team member logs into my Accountant Company and then can select from all clients that she has been given access to.  Why can't she also send receipts and invoices in to the Client account?  There must be another way to handle this.
