How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Hello there, @luanjohnson.

Good to see you here in QuickBooks Community. Allow me to help and guide you on how to access the View Register on your Chart of Accounts.

One of the possible reason why you're not able to access the View Register once you're not the Company Admin of the company file. In this case, you'll need to contact the Master Admin so they can add you as a new user.

For additional information, you can check this article to learn more about user types and permissions in QuickBooks Online.

However, if you already added as a user but still the View Register is not showing, you'll need to perform the basic troubleshooting steps which is to open browser in incognito/private mode. This mode doesn't use the existing cache data files and load a webpage.

Here are the keyboard shortcuts to open a private browser:

  • Google Chrome: press Ctrl+Shift+N
  • Mozilla Firefox: press Ctrl+Shift+P
  • Internet Explorer: press Ctrl+Shift+P
  • Safari: press Command+Shift+

If you're able to view the payment history with private browser, I suggest clearing your browser's cache to start fresh. The next time you log in to QuickBooks Online, your browser will download fresh copies of everything you see on each page. Any cache-related issues should be cleared up.

If the same thing happens, I recommend calling our QuickBooks Online Support Team so they can investigate this further.

Please let me know how it goes. If you have other questions about View register don't hesitate to leave a comment below. I'm always here to help you out.

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Hi,

I'm having a similar problem. I can see QBO and bank balances, plus have "view register" for the first 20 or so accounts, but after that, it's just "run report". Is there a way to be able to see all the balances "live" without downloading one or more reports each time?

Hi there, @KL2.

Thank you for joining the thread. Allow me to help share information about viewing the register in QuickBooks Online (QBO).

You can only view the register if the accounts have balances or QuickBooks Balances. For the income and expense accounts you can only run a report since they don't have any balances.

It's possible that the those accounts which only allows you to run a report and not view the register are income and expense accounts.

Keep me posted if you have any other QuickBooks Online concerns. I'm always here to help!

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

I'm having the same problem. This isn't an issue with my other QBO account. Not sure why it's happening here. And adding items to an account doesn't allow me to "view register", it stays the same, only "run report". I cleared my cache, tried a different browser, and tried a private browser. Still not working properly. Also, there is no way for me to add a journal entry. There should be an option under the main gear icon, but it's not there.

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Hi I am a "Master Admin' user but the "View Register' does not exist under Accounting>Chart of Accounts>List of Accounts (if I select Bank with entries) or not as all of the Chart of Accounts only have "Account History' under ACTIONS. Tried all the 'In Private' browser -same deal. Would love to find out why every person is always indicating "View Register' solution but it is non existent. SOS Tks

I'm still looking for this option myself.  Its frustrating when trying to track down help files and all the help files refer to this mythical "View Register" that seems to no longer exist.

Anyone shed some insight yet???

Let me add some insights about the difference between the View register and Run reports functions, jesseDYD.

View register is for the Balance Sheet accounts only like banks, assets, liabilities, and equities that run balances. While you can see Run report for Income and Expense accounts that go to the Profit and Loss.

Also, the Run report option lets you focus on a specific account instead of navigating the Reports menu.

If you don't want to use the Run report option on the Chart of Accounts, you can open the Profit and Loss report. Then, get the data you need for the business's finances whenever you want. Let me show you how:

  1. Go to the Reports menu.
  2. Use the Find report by name search bar to search for reports by name. You can also browse the list.
  3. Select the report to open it.
  4. If you change the dates or add filters to the report, select Run report to apply them.

You can customize reports to focus on specific accounts or filters.

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

I have the same issue with only being able to see "Run Report," and I have tried to go incognito, but it doesn't work.  I see that I have already reconciled an expense with the wrong payee and category.  Can I go into the bank register, clear the R out, and make the changes there?  Or can I un-categorize the bank feed, and make the changes there?

I am having the same issues with only being able to see "Run Report."  Incognito didn't work.  Can I go direct to the bank register, clear the "R" and edit the incorrect payee and categories?  Or can I unmatch the bank feed and recategorize there?

Glad to see you here in the Community space, @bossreporters. I can guide you how to undo reconciliation and unmatch transactions.

There's two option to undo reconciliation in QuickBooks Online, you can either invite your accountant undo the reconciliation on your behalf or manually undo it by yourself.

Here's how to invite accountant:

  1. Click the Gear icon in the upper-right corner, and select Manage Users.
  2. Go to the Accounting firms tab, and click the Invite button.
  3. Enter the accountant's information.
  4. Then, click Save.
  5. Let your accountant undo the entire reconciliation.

You can refer to this article for the detailed: Undo a client’s reconciliation in QuickBooks Online Accountant.

To manually undo it by yourself, here's how:

  1. Hover your mouse to the Accounting menu and select Chart of Accounts.
  2. Locate the account and select View register
  3. Find the transactions you want to unreconcile and select it to expand.
  4. Repeatedly click the box with the letter until it's blank.
  5. Then select Save.

For more details, you can check out this article: Undo or remove transactions from reconciliations in QuickBooks Online.

After that, you can now unmatched the transactions that you might need to correct.

Here's how to unmatch a downloaded transaction:

  1. Hover your mouse to the Banking menu then select Banking tab.
  2. From the banking page choose tile for the bank or credit card account you downloaded the transaction from.
  3. Select the Categorized tab.
  4. Locate the transaction you want to unmatch.
  5. Select the blue transaction link in the Added or Matched column to see the matched transaction.
  6. Then select Undo from the Action column.

You can refer to this article for more details: Unmatch downloaded bank transactions or move them to another account.

I've also added this article for your future help: How do I view, print, or export a reconciliation report?

If there is anything else you need aside from undo reconciliation or unmatched transactions, feel free to post a reply. I'm here to guide you. Take care of yourself and have a lovely day!

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

I'm not seeing a clear answer that solves this issue. Can someone please advise how I can "View Register" when this option isn't available to me anywhere, and I am the master admin, and I have tried accountants view. Makes no sense that I can't add a transaction that is required. I bang my head against the wall on a daily basis with QB. Thanks,

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

I can see that you've already tried some steps to get the View register option to show in the chart of accounts, quantalpha.

I'm here to share an alternate solution to help you input your transactions into your company. Let's manually add them to keep your records in order.

There are several ways for entering and tracking entries in Quickbooks. To capture the entire business cycle, create a sales form, similar to an invoice or sales receipt. We recommend this method because it provides the most flexibility and features. For more in-depth information, feel free to browse this article: Manually add transactions to account registers in QuickBooks Online.

Additionally, these links will show you how to record the following:

You can also manually record entries while working in your account register. Thus, not every account register allows you to directly enter them.

The View register function will show up for balance sheet accounts (banks, assets, liabilities, and equity). While you'll see the Run report option for income and expenses that go to the Profit and Loss report.

For future reference, you can go over our self-help articles. These resources contain topics that will guide users through the process of how to perform any accounting tasks in QuickBooks Online (QBO) easily. From there, you'll learn about managing your payroll, taxes, banking, etc.

Feel free to leave a comment below if you have additional questions about the View register function or other product-related concerns. I'll pop right back in to answer them for you. Have a good one.

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Same issue with me.  I've read this entire thread and no support agent has answered the question for mulitple users.  I need to add opening balances to accounts which have current year transactions, but that have not been reconciled.  Tried to import the values, but it won't take a value for an existing account only the new ones.  Then I found a thread telling me I could edit opening balances in view register mode.

But, like everyone else, I'm unable to get there.  To eliminate some of the suggestions in the thread for my particular scenario:

  1. I am the Primary Admin
  2. I'm working in incognito mode
  3. I'm only trying to get View Register for Balance Sheet accounts

Thanks

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Like many here:

  1. I am the Primary Admin
  2. I'm working in incognito mode
  3. I'm only trying to get View Register for Balance Sheet accounts

And I am stuck, with no way to see the View Register.

I can add I am using Chrome on MacBook.

Anybody out there with a solution?

Hello, Luc33.

I would like to get to the bottom of this and lay down some solutions to help you fix the missing View register button.

Before anything else, I want to ask a few questions so I can lay down the solution.

What particular account types are you trying to open? I want to know since since certain account types only have the Run report button. There's also the Retained Earnings account, which is an Equity type, that only has the Run report button.

Also, can you provide a screenshot of the accounts you're trying to access?

More details would definitely help us narrow down the issue. Looking forward to your reply.

How do I get to "view register" from my "Chart of Accounts" when the only option is "run report?"

Is "view register" same as "account history"? There is no such thing as view register under the Action column in my quickbooks, yet that is the words I get in all the suggested solution, including from the course I am taking recently from Udemy.

Hello there, EMY37.

The View register and Account history in QuickBooks Online are similar in function, but they are used differently depending on the region. In the US region, the View register is used to track transactions, while in other regions, the Account history is used for the same purpose.

QBO US:

QBO other region:
