I'll be happy to guide you through moving the QuickBooks Online (QBO) data to QuickBooks Desktop (QBDT).

 

Before transitioning from QBO to QBDT, ensure QuickBooks is up-to-date to avoid differences in book appearance. If necessary, you can download a trial version as an alternative.

 

To move QBO data to QBDT, Below are the steps.

 

Step 1: Download QuickBooks Desktop

 

  1. If you haven't already, download and install QBDT on your computer.
  2. Open QBDT.
  3. Go to File and select Close Company. Leave QuickBooks open while you complete the rest of the steps. Note: You can only move data from QBDT for Windows. Once you move it to Windows, you can convert it to QuickBooks for Mac.

 

Step 2: Sign in to QuickBooks Online and download the migration tool

 

  1. Sign in to the QBO account you want to convert with a browser we support. Use your Intuit Account credentials.
  2. Select the URL and replace anything after /app/ with exportqbodatatoqbdt. The URL should say https://app.qbo.intuit.com/app/exportqbodatatoqbdt. Then select Enter on your keyboard. Other support task links won't work during this process.
  3. You'll see Export Overview. Read the Export Overview. You can print out it if you'd like. Click on Get Started.
  4. Select the Download tool to download the QBDT migration tool.
  5. Once you download the tool, launch the tool to install it and click on Next.
  6. Accept the terms in the license agreement and select Next.
  7. Select Complete as the type of setup, then Next.
  8. Click on Install, then Finish.

To go back to a previous backup of your company file from when you were using QBDT for Mac, you can do so by restoring it. Here's how:

 

  1. Navigate to the QuickBooks menu and select Settings.
  2. Choose Backup and then Reveal Backup Folder.
  3. Double-click the folder where you save your backup files.
  4. Click Date Modified to sort by date and find your latest backup.
  5. Once you've located your backup file, double-click it to open a new window displaying a copy of your company file. If you've attached documents, you'll see a folder called Attachments Library.
  6. Drag the copy of your company file to the folder where you store your QB company. If you also see the Attachments Library folder, drag it to the same area.
  7. Open QB for Mac and select Browse.
  8. Go to the folder where you saved the copy of the company file, select the file, and click Open.
  9. A prompt will notify you that you're opening a backup file. Choose Continue.
  10. Input a name for the company file, hit Save, and then OK.

Additionally, there isn't a direct way to undo an update or migration. However, you can move from QuickBooks Online (QBO) to QBDT for Mac. To do this, you'll first need to export your files from QBO to QBDT for Windows, and then convert them to Mac.

Hi.  I just got Desktop for Mac. I want to move my data from QBO.

When I follow the steps, it says to first download the Migration Tool. But it doesn't work on my Mac! I just see SETUP.EXE, but the tool doesn't open.  What should I do?

Please note that there isn’t a direct way to convert QBO data to QBDT for Mac. First, you’ll need to convert the QBO data to QBDT for Windows, and then you can convert that file to QBDT for Mac.

 

That said, did you download the Migration tool on your Mac computer? This could be the reason why the tool isn't working. You need to first use a Windows computer for the conversion of QBO to QBDT for Windows to utilize the tool. You can download a trial version of QBDT for this process.

 

Let's begin the conversion process by downloading the Migration tool:

 

  1. Sign in to QuickBooks Online and go to the Export Overview page.
  2. Select Get Started. Then, click the Download tool. Please keep this page open on your browser.
  3. Install the migration tool, then select Next.
  4. Read and accept the terms in the license agreement, then click Next.

Hi! Thank you so much. I am almost there. Many of the Intuit instructions ignore whether you are on a PC or Mac. They don't say that the Migration tool doesn't work on a Mac! I bought QB for Desktop for Mac, so that is my goal. I went and found a PC to complete this project. I successfully downloaded my data off of QBO, and I loaded a trial version of QB Desktop Enterprise for PC. I got my file to open on the PC. Now... I just need to get my data onto the Mac.

However, I'm having problems now. The Intuit instructions say to go to the FILE menu, select UTILITIES, then select COPY COMPANY FILE FOR QUICKBOOKS MAC. However... this option isn't showing up!  (Screenshot attached.) I don't know what to do next. I opened the file as an administrator. Please tell me how to get this file off the PC and onto my Mac. Thank you.

You need to use QB Desktop 2024 Pro/Premier to convert data from QBO as the first step. Open the converted file on QB Desktop 2024 Pro/Premier and convert it again to QB Desktop 2024 Mac. If you converted it using QB Desktop 2024 Enterprise, you need to purchase a 3rd party service to downgrade your company file to QB Desktop 2024 Mac. You can contact Fiat Lux for assistance.

The Intuit website only offers me a trial of Enterprise.  How can I find a trial of Pro/Premier?

Since QB Desktop 2022, they only offer the trial version for Enterprise and Mac. If you still prefer to convert your data yourself, I recommend asking Fiat Lux to lend you one of their QB Desktop 2024 Pro Plus licenses for a week or 2.

My goodness!  This is so complicated.  Do I really need to bounce my data through yet another program? 

 

I don't know anything about Fiat Lux.  Google says they're in Asia.  This is all sounding more complicated than I wish.  Isn't there a simpler way to get my data from QBO to QB for Mac?

You can contact Fiat Lux via email. Intuit makes it difficult to convert on purpose because their real intention is to force you to keep using QB Online for good.

Wow.  This is crazy!  Maybe this is why all the "tips" on the Intuit websites are so vague.  It's never clear which version, PC or Mac, you're even supposed to be using when converting.  

 

So the only PC version that works, to bounce from QBO to Mac, isn't even available as a trial version?

Hi Janbon. To be clear... I followed your instructions, but the trial version for PC is Enterprise, which doesn't support converting the data to Mac. What should I do?
