What happens when your subscription expires

I bought the QuickBooks Desktop Pro 2021. If i don't renew, in a nutshell, i'm on my own correct? I'll still have access to the Quickbooks software and files on my PC correct?

I appreciate you joining this conversation. Allow me to step in and share additional information about QuickBooks Desktop (QBDT) service discontinuation policy.

 

If you're using the stand-along license (3 years), yes. You can still access your QBDT files on your computer. However, you're unable to continue receiving the security updates and online services, such as:

 

  • QuickBooks Desktop Payroll Services
  • Live Support
  • Online Backup
  • Online Banking

 

On the other hand, if you're using the Pro Plus (annual) version, you will no longer be able to use or access your QBDT account. Your company file will remain on your computer, but you'll need to re-activate the service to open or view the data.

 

In case you want to purchase the stand-alone version, I highly suggest contacting our Support team for further assistance with the process. Here's how to reach them:

 

  1. Open QuickBooks.
  2. Go to the Help menu at the top, then select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Give a brief description of your issue.
  5. Tick Let's talk, then choose a way to connect.

So, despite the fact that most of us have purchased (not rented) this program for years and years, and our data is on our own personal hard drives in our own personal offices, we will not be able to look at that data AT ALL unless we renew the subscription each year, which for Quickbooks Pro is $350 per year.  How dare you hold my data hostage for a renewal fee - this is a lot like extortion, isn't it?  Time for a class action lawsuit maybe?  

 

And there at some point is no choice - there will be no Quickbooks Desktop programs to purchase, subscription only.  

 

I WILL find some other program.  I run a bookkeeping business.  Anyone out there using anything else with any amount of success?

You can still purchase the one time license for QBD 2021 Premier edition or the one time license for QBD 2022 (Premier) Accountant edition from several partners.

I've switched to QBs Online from QBD 2022, which is now expired.  I'd like to import some old invoices into QB Online to have as a record.  How can I do that without subscribing for a whole year?

Thank you for reaching out to the Community. In QuickBooks, we can't use the trial after expiration. You'll use other people's QB 2022 to restore the QBW file before exporting the QBO. 

 

Additionally, you can reach out to a Pro-Advisor near you who has QB 2022 and share about restoring the company file. This way, you can export the data to QBO.

 

Also, If you have a QBW file or QBB file, here's how to locate them. Let's go to your computer server and perform a wild card search for all company files. Let's make sure to include the asterisk (*) before the extension type to ensure the search works correctly.

 

  • *.qbw (Working File)  
  • *.qbb (Backup File) 
  • *.qba (Accountants Copy File)  
  • *.qbx (Accountants Transfer File)
  • *.qby (Accountants Change File)

@AileneA your answer doesn't clearly state how to move invoices from an expired quickbooks desktop to qb onnline. Can you clarify the process? The link you shared is not useful in this situation

You upgraded a QB Desktop file on the trial version for 2022 and migrated the data to a QBO account. Then for some reason, you were posting some invoice data on QB Desktop until the trial period ends. Now you need to migrate those additional data to your existing QBO account?

You may have some options to explore:

1. Clean your Windows registry and reinstall the trial version for QBD 2022. Worst scenario, you have to reinstall your Windows.

 

2. Find another PC to install the trial version for QBD 2022

 

3. Purchase the license for QBD 2022 Enterprise Silver for single user worth $130/month. Then you can migrate the whole data to your QBO account after you purge it. Keep in mind, if you are using QBO Simple Start, you should open a new blank QBO account instead.

4. Last resort, purchase a 3rd party service to migrate those additional data on QB Desktop to your existing QBO account.

Crazy that I have my QBD 2022 company file sitting on my C drive, and Intuit won't let me access it, simply to move the data to QBs Online, which I am PAYING FOR.

I don't understand how they can get away with locking you out of your own data on your personal hard drive.  Isn't this known as extortion?  Intuit has lost its mind.

@nealbooks this is why I asked @AileneA to clarify her instructions because she said we can export transactions using CSV, IIF, excel files.

If your QBD license is expired, the program will refuse to open any files. You can still open the files on another active license.

Let me share additional info about the error message you're getting.

 

QuickBooks Desktop won't open once a subscription is expired. Let's ensure that your payment details are updated. Here's how:

 

  1. Sign in to the Customer Account Management Portal (CAMPs) as an admin user.
  2. Choose QuickBooks Desktop from your products and services.
  3. Select details next to your QuickBooks Product.
  4. Click Edit next to your Payment Method. Update your payment info. When you’re done, select Save and Close.
  5. Open QuickBooks Desktop.
  6. Go to the Help menu and hover over Manage My License.
  7. Select Sync License Data Online.
