Get 50% OFF QuickBooks for 3 months*
Buy nowI went all the way through this issue. Ultimately, we had to scrap the idea and get a refund from Techsoup. This process is not intuitive or easy and it takes a lot of effort to get anyone from QuickBooks who even knows what you are talking about. If you want to talk to Techsoup their customer service is open from 7am to noon pacific time, so have fun fitting that into your schedule.
Basically, you need to create a new QuickBooks company through your Techsoup activiation link, then transfer your current QuickBooks company into the new company. This is easier if you are transferring a QuickBooks desktop company into a QuickBooks online company. My QuickBooks company turned out to be too large so the transfer could not take place. I hope you have better luck than I did.
You can renew at the Techsoup price ever year, as long as they have the product.

How big is your Total Target? Which QB Desktop year version do you run?
I'm about to try and do this migration and based on the thread here would like to avoid calling QBO four hundred times until I find the agent who knows how to switch me over to techsoup. Tom, can you help?
Clearly I'm going to have to call tech support to make this switch, but once I have my code, I'm confused whether I should look for help from QB or techsoup?
I understand that you want to smooth out this process and avoid any potential back-and-forth. Allow me to chime into this thread and ensure your migration goes seamlessly, @lspero.
TechSoup offers nonprofit organizations access to discounted software, including QuickBooks Online, through specific partnership programs. Ensuring your eligibility and having your TechSoup validation token or code ready is an essential first step.
Once you have your TechSoup validation code, the primary contact should be our QuickBooks Online support. The reason is that the actual application of the code and the activation of the discounted service need to be processed through QuickBooks, as they will adjust your billing and account settings.
TechSoup mainly facilitates eligibility verification and provides you with the necessary codes or tokens. For issues related to eligibility or obtaining the code, TechSoup would be your go-to resource.
Before calling them, ensure you have all relevant information handy. This includes your TechSoup validation code, your QuickBooks account details, and any specific questions you want to address.
When you connect with a QuickBooks representative, clearly state that you have been approved through TechSoup and have your validation code ready. This will help steer the conversation directly to applying your nonprofit discount.

It was not a Desktop version, it was already in QuickBooks Online. My original comment was much longer but QuickBooks cut it to this.
I am definitely in need of assistance. A member of our church was using QuickBooks online and donating her time as well as the cost of QuickBooks online to keep track of our nonprofit's books. Due to a personal situation, she cannot continue donating her time to the church. The pastor purchased a QuickBooks online account through TechSoup. I have access to both accounts, but is it enough for my login to be the same in both for me to transfer the information from one account to the other? I realize the original account needs to be upgraded to advanced before doing this. Your prompt support is extremely appreciated!
You've come to the right place, @caroledts. Yes, you can access both accounts using the same login credentials as long as you have primary admin access. However, transferring data from one account to another does not require the same login information. I'll share some information below.
To move the data from one account to another, you can export and import them between accounts regardless it has the same login credentials or not. Once completed, you can proceed with the data setup.
I'll add this article to help personalize your sales forms: Customize invoices, estimates, and sales receipts in QuickBooks Online.
Also, you can connect with the QuickBooks Live Assistant to enhance the setup of your imported data and ensure that they're placed in the right location.
The Community is one reply away if you have additional questions about transferring data between accounts. We'll be here to help. Keep safe, and have a good day.
I appreciate your speedy reply, but I am concerned that it isn't the same as another set of instructions I received. I want to make sure I am following the correct procedures. Please clarify. I have posted the other directions below:
The existing subscription you want to move should be a QBO Advanced plan. If not, I suggest we temporarily upgrade it. Then, your Advanced account and the QBO one from TechSoup should have the same login credentials. Once done, you can follow the instructions in the TechSoup fulfillment email to set up your QBO TechSoup account the same as your existing QBO subscription rather than creating a new one.
After both subscriptions are under the same QBO account, you can refer to the outlined steps:
Additionally, I'll add these articles to help you manage company files:
Yes, @caroledts. The outlined steps can help other users align their subscriptions under a single account. The information below should give you more insights.
I agree with the outlined procedure. We can upgrade our subscription to QuickBooks Online (QBO) Advanced and synchronize login credentials with the TechSoup account. Then, follow the TechSoup fulfillment instructions to set up the TechSoup QBO account with the same credentials as the current QBO subscription instead of creating a new one.
Moreover, this article provides detailed information about saving and restoring a copy of your company's data for future use without worrying about potential data loss: Back up and restore your QuickBooks Online Advanced Company.
You can always count on me if you have other questions about your subscriptions and accounts in QBO. Leave your queries to this thread so we can get back to you promptly with all the required help.
The problem is my pastor already created the new Tech Soup account. I have complete access, but the fulfillment part of the setup has already been completed.
Hey, @caroledts.

Please keep us updated on how the call goes. I'm only a post away if you need be. Have a great day!
Does the offer to help still stand?! In the middle of trying to figure this out, too, and it's impossible!
For future nonprofits that get to this thread and find my contact information listed, I am no longer involved with the nonprofit and haven't working with Intuit since (Xero is a far better platform IMHO). It's also been a couple of years since I did the transfer, so I have no idea if Intuit, Quickbooks or TechSoup have changed their policies.
From what I recall, I needed to set up a new account in TechSoup, upgrade the existing Quickbooks account to the level where you can export and backup your account, perform the backup/export, import that file in the new TechSoup account, and then cancel and delete the entire old nonprofit account. Why QB or Techsoup wouldn't make this simpler is beyond me.
I wish everyone good luck going forward. Thanks.
