Does anyone collect client fees using your banks ACH Collections?

We collect monthly fees deposited to our bank with an electronic transfer which pulls money directly from clients bank.  This is called and ACH Debit.   I have set up banking rules to match each deposit to a particular client in QBO but with zero success. 

 

Have any of you have success with Banking Rules matching ACH debits in QBO?  If so, would you please share an example of your rule.

 

My rules for ACH money out, like utility and phone bills autopay match perfectly. 

 

I have another thread on this topic intended for QB staff but it is the weekend and I do want to see if others are having similar issues.

I wanted to make sure your concern is addressed properly, I suggest contacting our Phone Care Team. They have the tools to verify your information and further investigate the issue for possible solutions available.

 

When you set up your bank rule it should match the transaction details with your bank so that it will go through. for more information about bank rules please check out: Bank Rules in QuickBooks Online.

Thank you both for the responses.  Please look at my bank data in my last post and can you suggest a rule?

 

I have spoken with phone support on multiple times and each time they run me through the same basic bank rules.  I also have an open support ticket that is over a year old with no response from QB. 

 

The problem is not how I am setting up the rule, but rather is a serious QB software flaw to which I am happy to help resolve and can be a beta tester.   

 

It is frustrating as I have now exhausted all of the contact methods of trying to get this issue escalated to someone in the actual programming department.   I have asked directly via phone support and they have told me that even they do not have contact with the programming department. 

 

And yes, I have also use the gear button and submitted multiple 'feedback' notes, again with no response from QB. 

 

Intuit is a huge company and I just have a hard time believing no one is available to discuss or actually willing fix this problem.  This is very common transaction and I'm not looking for some esoteric custom software for me only.

 

So, now I ask the community if anyone knows of an online bookkeeping software that will match ACH debits to a customer?

Hello,

 

I would suggest to make the rule simpler.  If the amount is always the same, then set that as one of the variables.  If the name always has Smith then set that as another variable but JUST have the word Smith.  You don't want to make the rules over-complicated.

 

Example:

"And include the following ALL"

Description contains "Smith"

Amount equals "25.00"

Thank you MarshallA.   I have tried your exact solution.  Actually, I have tried an even simplier with only "Smith" as the search term.   QBO has problems extracting from within the description field.  One thing,  I did not use the "" surrounding my search.  Could that be something?  I assumed that was for clarification in your reply. 

 

Do you know of a way to test the rule other than waiting for each month billing cycle?

I just thought of something.  QB generates an invoice a day or two before the bank transfers funds.  So there is an open invoice to match the ACH payment.   What if I did not generate an invoice and it came in as just a deposit?  I wonder if QB would try to make its own rule ?  

 

That is a bit cumbersome as each month it would be treated as an ADD rather than matching an invoice and harder to track A/R.  dunno.

 

I do appreciate any and all suggestions.

Yes.  You can create a CSV file with a couple sample transactions and import them into QBO and see if it applies the rule on the Banking "For Review" section.

 

And yes, the "" were just part of my answer and should NOT be in the variable of the rule.

I'm thrilled about the ability to test.  None of the phone support techs knew of this technique.  Before this I would have to wait 30 days for the next billing cycle to see if modified rules worked.   I'll be playing with this and will let you know how it goes.  Thank you again MarshallA.

Good Morning,

@MarshallA are you there?  I made new rules using every combination of search terms.  This months billing cycle just imported the new bank transactions and exactly zero of the bank rules worked.  QB picked the last name entered in the bank transaction ( ie last person who started ACH debits by the bank itself) and applied it to every single ACH payment.

 

So we are back to square one.  There is a serious software issue with QBO not allowing bank rules to match ACH bank debits.   

 

I have opened a case with QB in April 2019 Case # 53xxxx173.  I have had no contact from QB and have tried calling back many times with no progress.

 

How can I reach someone in Software Engineering or at least follow up on my open case?
