That's a good question, controller.

You can pull up the Audit Trail report. This lists each accounting transaction and any additions, deletions, or modifications done to your company file.

Here’s how:

  1. Click on Reports at the top menu bar.
  2. Scroll down to Accounts and Taxes.
  3. Choose Audit Trail.

How can I see who entered a transaction

I have searched the audit trail report for the date of the invoices that I am looking for to see who would have entered them.  I am not having any luck.  Any other suggestions on a quicker way to find?  I have the transaction numbers.

Checking who created a transaction can only be done in the Audit Trail report, jenwing.

 

You can add a filter to the report so you can easily see the information that you need. 

 

Here's how:

 

  1. Click the Customize button in the upper-left hand corner of the Audit Trail report.
  2. Proceed to the Filters tab and look for Transaction Type, then select Invoice in the drop-down list.
  3. Select the invoice date in the Date section.
  4. You can also use the Number filter since you have the transaction number.
  5. Type in the invoice number.
  6. Click Run Report.
  7. Go to the Last modified by column to check who created the transaction.

Your user can modify the transactions, Chris125.

 

Once a user has the permission to access the reports, then they can make any changes to it. However, you'll have the option to edit their role. Here's how:

 

  1. Click the Company menu at the top.
  2. Select Users, and then Set up Users and Roles.
  3. Go to the Role List tab, and then select their role.
  4. Click Edit.
  5. Deselect the Reports** button.
  6. Select None, and then OK.

Additionally, running this report will not cause any data losses.

This doesn't show the creator of the check, it just shows who edited it. And it is available under multiple reports, not just audit trail.

as u guided at first CLICK on reports then pull up account and tax but in my QuickBooks there is no account and tax options. thanks

Thanks for bringing this to our attention.

 

If you're dealing with network issues, company file damage, and performance problem. We can also utilize the QuickBooks Tool Hub to fix the common errors in QuickBooks Desktop.

 

First of, may I know what report you need to pull up? This way, I'd be able to assist you with it.

 

To begin, launch the Quick Fix my Program tool from the Tool Hub to terminate any QuickBooks processes that are running in the background. 

 

To download and install the Tool Hub, follow the steps below:

 

  1. Close your QuickBooks.
  2. Download the QuickBooks Tool Hub file.
  3. Open the QuickBookstoolhub.exe file. It gets saved in the download folder.
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. Click Finish.
  6. Double-click the icon on your Windows desktop to open the tool hub.

 Then we'll run the Quick Fix my Program tool.

 

  1. In the Tool Hub, select Program Problems.
  2. Select Quick Fix my Program.
  3. Start QuickBooks Desktop and open your data file.

Yes, that's correct. Those fields are available on most all transaction detail report.

 

However, the Audit Trail report does show who created the transactions and when and each of its edits and who made them and when. That's it's entire purpose.

 

Here's an example. I entered an invoice and then edited it three times. The things I changed are in a bold font on the report, and highlighted in yellow for the example, though you won't always see the change as not all fields are tracked or displayed on the report:

If another user had edited it, besides Admin, their name would appear in the Last Edited by column for that edit.
