How to import file to quickbooks desktop

Let's make sure you'll be able to import your file, tjalves.

You can use the Intuit Interchange Format (.IIF) to import or export files in QuickBooks Desktop. Here's how you can do it:

  1. Sign in to your company file as the Admin.
  2. Make sure you are in Single User mode.
  3. From the QuickBooks File menu, select Utilities > Import > IIF Files.
  4. Locate your .IIF file and highlight it then select Open.
  5. Select OK on the pop up message confirming your data has been imported.

Don't hesitate to post again if you have any questions about QuickBooks.

How do I tell Quickbooks which account to import the file into ?  I am trying to import checks from Intuit Payroll on line but when it imports the check it creates a new account to put it into.

Hi there, @Harolddds.

Thanks for joining this conversation. Allow me to chime in and share information about importing checks in QuickBooks.

Are you trying to import the checks to QuickBooks Desktop (QBDT) too? If so, you can choose the accounts for each wage expense or liability upon setting up your Export preference.

Here's how to do it:

  1. In Intuit Payroll, go to the Gear icon.
  2. Choose Payroll settings.
  3. Select the Pencil icon next to Export.
  4. Choose QuickBooks Desktop for Windows: downloadable IIF (Intuit Interchange Format) file and select Continue.
  5. If selecting QuickBooks Desktop for Windows, you will be asked to type in the name of each account you are exporting your liabilities and expenses to. We recommend that you have a copy of your QuickBooks chart of accounts handy for this.

For further guidance on how to go about the process, you can check out this article: Export into QuickBooks Online or Desktop from Core, Premium, or Elite Standalone Payroll.

How does the .llf file have to be formatted? I’m using a 3rd party payroll provider and they’re requesting the format of the imported payroll data?

I know how important it is to import your payroll information, High end. I'm here to share some insights.

Currently, the option to import payroll data is unavailable. In QuickBooks Desktop, we can only import IIF files like your bank transactions, journal entries, and more. You can also import lists like your customer, vendor, and employee lists.

As a workaround, you may consider using a third-party application to import your payroll data. To do so, I'd recommend visiting our QuickBooks Apps page.

Additionally, you can import the checks as standard-type transactions in QuickBooks. You can use the IIF file format as a sample. This way, you can make sure the data are placed in the correct field.

Please come back and keep us posted on your progress in searching for the app that suits your needs. I'm determined to get this resolved.

@High end

Which file formats does your payroll provider offer? .csv or .xls?

Do I need to change my Excel file to, Intuit Interchange Format (.IIF) first?  If so how do I do that?

Hi there, @222Rebecca

Thanks for following along with the thread and sharing your concerns.

Depending on what information you're trying to import, you can import Excel files into QuickBooks Desktop. You can import Customer, Vendor, Items, and Chart of Accounts from an Excel spreadsheet. There are several options available when importing Excel files from QuickBooks.

For additional information about importing Excel data, check out Import or Export MS Excel files

However, if you're looking to import other data, then yes, you'd need to convert your files into IIF format or use another format type. To do this, you may consider using a third-party application to import your data. To do so, I'd recommend visiting our QuickBooks Apps page.

Please let me know if you have any questions or concerns. Take care, and have a wonderful day!
