Linking bank account to correct account in my chart of accounts

Up until middle of last month I had my checking account in QBO linked to my institution. The institution changed their name and I lost the account linkage. They recently made it available under the new name and when I link to the bank's site, QBO creates a new account in my chart-of-accounts and does not allow me to select the existing account line. Why? I have even attempted to merge the "new" account line with my existing account line but QBO won't allow it. I don't want to lose my history.

Allow me to join you here and offer my help with your online banking concerns. Let's make sure that the existing account is added with the new details, Henry.

 

Whenever there are changes to the bank's name or website, you'll need to disconnect their connection in QuickBooks and set it up again using the updated information. 

 

This process will ensure the integration stays linked properly with the bank's refreshed credentials. Please note that this process will delete transactions that still need to be categorized in the For review tab. If the transactions are older than 90 days, you won't be able to download them into QuickBooks again.

 

 Let me share these steps on how you can do it:

 

  1. Go to Transactions, then Bank Transactions.
  2. Select the tile for the bank account.
  3. Click the Pencil ✎ icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox. 
  5. Choose Save and Close.

 

Once done, let's go to your Chart of Accounts to reconnect the existing account. Here's how:

 

  1. Go to the Accounting menu and select Chart of Accounts.
  2. Look for the bank account, then click the dropdown beside View register and select Connect bank.
  3. Follow the onscreen instructions to make a connection.

 

Please be aware that merging accounts connected to Online Banking is not possible, which is why you are unable to do it.

I have followed those steps several times but QBO creates a new account in my chart-of-accounts and I cannot get the feed connected to the existing account register.

You mentioned that you were unable to reconnect your account, may I know what's preventing you from doing this or if you've encountered an error? 

 

I would greatly appreciate it if you could provide me with the information or a screenshot of the problem you've experienced, as it will help me come up with accurate resolutions. 

 

In the meantime, I recommend using an incognito browser when reconnecting our accounts in QBO. Doing so prevents the browser history from being saved. Refer to the following keyboard shortcuts based on your browser type:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N


If the private browsing session works, clear the browser's cache so the system can restart. This task is also possible in other supported, up-to-date browsers. Clearing the cache will reboot the system, allowing you to work with a clean slate.

I have not encountered an error.

In the chart of accounts, I clicked the down arrow in the action column on the account I wanted to link. Then I selected "connect bank".

QBO guided me through the connection/linking process but instead of asking which account to link the bank account to QBO created a new account in the chart of accounts instead of linking to the existing account in the chart of accounts.

If you follow the steps for connecting bank accounts from your Chart of accounts, you should be able to see the option to select which account you want to connect in QuickBooks. 

 

Since the system automatically creates another account instead, I'd suggest following the troubleshooting steps provided by my colleague Erika_K above to resolve the issue. If you're still getting the same results, I'd recommend contacting our QuickBooks Support Team. They can further investigate the problem and provide you with a fix to successfully connect your account. 

 

Here's how to reach out to them:

 

  1. Go to Help (?).
  2. Select Contact Us and choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

 

After successfully connecting your accounts, QuickBooks will automatically download your latest transactions. Once they're in, you can review and categorize them to organize your charts of accounts accurately.

I have tried the incognito windows too. Regardless which path I take I am only presented with "choose account type" when I attempt to link to the bank.

I understand that it's important to you to resolve the issue of linking bank accounts to an existing chart of accounts in QuickBooks Online (QBO) as soon as possible. 

 

I have looked into our records and found that other users have reported the same issue. Right now, our product engineers are investigating the root cause and working on a fix.
