Can enter church offerings in the small business version of Quick Books or do i need to upgrade?

Yes, you can record church tithes and offerings in QuickBooks, coachchiz.

 

First, you'll have to create a donor by following these steps:

  1. On the left panel click Sales, and click the Donors tab.
  2. Click the New donor button.
  3. Enter the donor's information, and click Save.

Then, the next step is to create items for the tithes and offerings.

 

Here's how:

  1. Click the Gear icon located in the upper right-hand corner.
  2. Under List, click Products and Services.
  3. Click the New button, and select the Type.
  4. Enter the information, and click Save and Close

Note: For setting up an account when creating the items, please reach out to your accountant. This is to make sure your reports are accurate.

 

You can also use the class tracking feature to allocate transactions into separate accounts: How to Set Up and use Class Tracking.

 

Finally, you can start recording transactions to your donors by going to the Plus icon and selecting the transactions under Donors.

I can't find the sales tab and donor in the first two steps you are referring to....where are they?

Let me jump in this thread, @Huntex, and get this working on your account.

 

All information provided by my colleague, @RenjolynC, is all true and is the process of recording tithes and offering.

 

Let's first convert your account into a nonprofit version so you can get you the donors and donation options. Let me show you how:

  1. Go to the Gear icon.
  2. Under Your Company, select Accounts and Settings.
  3. Click Company type.
  4. Select Nonprofit organization (Form 990) for the Tax form drop-down menu.
  5. Click Save.
  6. Go to the Advanced tab.
  7. Click Other preferences.
  8. Under Customer label, choose Donors.
  9. Click on Save, then Done.

Now, you can easily follow the steps given by my colleague, @RenjolynC.

Thank you for your response.  First, I haven't a clue where the gear icon is. I have checked my account and it is set up for a non-profit already.  I can't find where to change the customer to donor. BTW I am using a Mac so maybe that is why it is different on mine?  Thank you!

The non-profit version is only available in QuickBooks Desktop Premier. Since you have QuickBooks Desktop for Mac, you can only create a regular customer and item for recording purposes. 

 

I'd also recommend sending feedback to our Product Development Team. To do that, click Help located at the top, and select Send Feedback Online.

In your response, it seems to assume the use on a specific QB's version.  However, it is not mentioned.  What version are you referring to when you say "click the donors tab"?  I donlt have that in QB's premiere.

The donor's tab is available in QuickBooks Online Non-Profit, while in QuickBooks Desktop Premiere you can add the donors as the customers. Allow me to provide the step-by-step process on how you can enter the church tithes via QuickBooks Premiere.

 

Add donors as customers:

 

  1. Click Customers at the top menu bar and click Customer Center.
  2. Click New Customer & Job and choose New Customer.
  3. Enter customer's information and hit OK.

 

 

 

After that, create items for the tithes and offerings.

 

Here's how:

 

  1. From the Lists menu, select Item List (for Windows) or Items (for Mac).
  2. On the Item List window, select Item > New (for Windows) or + > New (for Mac).
  3. Select the type of item you want to create.
  4. Fill in the item fields.

 I have the quickbooks desktop pro 2020, and i cannot  figure out how to set up tithes and offerings donations using this program.    I cannot find the donation tab or can I find the advanced tab to get to other preferences which would lead me to customer label to choose donors.  I'm so lost, please help me.

The donation and advanced tab you've mentioned is currently available in the online version of QuickBooks. Since you're using QuickBooks Desktop (QBDT) Pro, you can add the donors as the customers. My colleague @RoseMarjorieA shared the detailed steps with screenshots above on how to do this.

 

Here's how:

 

  1. Go to the Customers menu at the top to get to the Customer Center.
  2. Click New Customer & Job option and pick New Customer.
  3. Enter the donor's information, then hit OK.

 

Once done, proceed with creating items for the tithes and offerings. Please refer to this article for the detailed steps on how: Add, edit, and delete items.

I followed the steps in this thread (I have QB accountant desktop) and have my donor set up and the item set up.  Where do I go to record the contributions received?  Make deposits or somewhere else?

You can record the contributions received by clicking the Customers tab at the top menu and selecting Create Invoices or Enter Sales Receipts

 

If you need a printable receipt, record the donation as a Sales Receipt. If not, and you need to keep a running register for each donor, record the donation as an Invoice, then Receive Payment. Using this process will run transactions through Accounts Receivable, creating a register for each donor.

 

Additionally, I recommend consulting an accountant on what transaction to use recording the donor contributions to ensure the accuracy of your books. For more information about recording payments, I recommend the following article: Accounts Receivable workflows in QuickBooks Desktop.

I can enter the tithes but it goes to donor pledge but not to church income. What am I doing wrong?  Shows in deposit but not on reports

Let's review the account associated to tithes, dbestnana.

 

It's possible that you have mistakenly link the item to your donor's pledge account. You can follow the steps below in order to do it:

 

For QuickBooks Online:

 

  1. From the Sales tab, select Products and Services.
  2. Locate the item, and then click Edit.
  3. Make sure that you've selected the church income.
  4. Click Save and close.

 

For QuickBooks Desktop:

 

  1. Select Item List from the Lists menu.
  2. Double-click the item.
  3. Select the church income account in the Income Account drop-down.
  4. Click OK.

 

 

If you've created a church income account, you can select it instead.

The tithes has to be posted to church revenue as well posted on the church members report.  But if I put it in pledge it takes it out of revenue but if I take it out of pledge it doubles in revenue.  I feel I have set up something incorrectly.

There isn't a "donor" list anywhere in the desktop version. I fell like i have wasted $150+ dollars.  Going to try to get a refund.   Impossible to use this software (desktop version) for a church!

Refund your license of QB Pro edition and purchase the license of QB Premier. You have to set your industry as Non Profit to see that "donor".

I have 2019 QB Premier (desktop). I do not have a donor option. I understand how to add donors as customers. My concern is how to input the donations (per donor) without creating invoices. It seems like creating the invoice would create extra steps, in that I would also have to show payment and then move those payments out of undeposited funds (basically 2 extra steps).  Is there a way to create a running log for each donor with the amount they have donated without creating an invoice or sales receipt? 

 

I just took the books over for my church and the previous book keeper did not keep great records so I am starting from scratch trying to create the list from 1-1.

At this time, the option to creating a donor directly without any transactions in unavailable in QBDT.

 

As a workaround, when you create a Donor or Customer, you'll need to enter the opening balance because it will automatically create an invoice for the opening balance to the customer but, you'll have to mark the opening balance as paid so it will appear on your bank register.

I had the same issue.  The workaround I found is to create a "sales Receipt" for each donation.  Then I do a deposit to clear the receipts.  This gives me a detailed sales report by customer name which I use for donation letters.

Yes, that would. In QB Desktop, whether or not you have the non-profit version, donations are best entered using a Sales Receipt, which functions like an Invoice and a Payment.

 

In the non-profit version QuickBooks relabels the Sales Receipt a "Donation" receipt, but it's the same thing.

 

There's also the option of entering donations directly as line items on Deposits. The up-side is that it's much faster, but the downside is that the deposit detail lines won't appear on some sales/donation based reports within QuickBooks - where Sales Receipts will.

 

When you're ready to create Donor Letters/Statements, which QuickBooks won't create on it's own, use our BRC Donor Statements - Desktop  app, which will. It will pull your donation data whether it is entered as Invoices/Payments, Sales Receipts, or Deposits. Or a mix of all three.

Hello there, Wilma,

 

Donors are simply a subset of customers. They're the end-users of whatever goods or services your nonprofit is offering and producing.

 

If you're using QuickBooks Desktop, you'll have to toggle to another edition which is the Nonprofit edition. It automatically configures the setup.

 

For QuickBooks Online, you can refer to Jonpril's answer above to change your version.

 

This process will change the labels of your reports and other data in QuickBooks from customers to donors.
