Multiple Credit Card Accounts

I have followed your steps, which helped get me farther, but something is still not right. WE have 2 CC cards under one Chase account so I have 3 Chase accounts set up in chart of accounts, 2 of them are under the parent one like you said. It all looks right, i followed each step. But when i update the account, it updates the card balance correctly, but it's not pulling in any transactions. It is my understanding that the new transactions would each pull to the appropriate ledger, but they do not pull into either the parent or the child accounts.

Please help!

It looks like we have an open investigation about missing transactions or Chase accounts not updating in QuickBooks Online. This means that our engineers are already working on this one to determine what's causing the issue and resolve it as well.

 

In the meantime, please contact our phone or  chat support teams for them to add you in the list of affected users. We will notify you via email once we have this sorted out. Here's how to reach out to them:

 

  1. Click Help in the upper right-hand corner of QBO.
  2. Look for Talk to a human and click on it. 
  3. Type in "support" or "contact support" again and press Enter.
  4. Click I still need a human.
  5. Select Get help from a human.
  6. Choose between Chat with us or Have us call you

Can you tell me how long this has been an issue, do you see a fix in the very near future or has this been a problem for quite some time?

I can share with you some additional information about the current investigation with Chase Bank.

 

The investigation number (INV-52563) is still new and ongoing. Rest assured that our banking team is all hands on deck working together to get a resolution as quickly as possible. For the time being, I recommend connecting with our Support Team as suggested by JenoP above. This way, our live support can review your account securely and add your name to the list of affected users. Once an update is released, you'll automatically receive an email notification of the latest updates.

@TrudyT22 I see the Quickbooks employee told you that it is "still new and ongoing"

 

If you go to the beginning of the thread, you'll see it's been occurring since 2018.

 

As someone who was eagerly awaiting a fix for this 2 years ago (and has since just found a workaround solution)  I feel like a response saying they have "all hands on deck working together to get a resolution as quickly as possible" is condescending to our intelligence.

I’ve had the parent and sub credit cards (Chase) set up in QB for a year, but only see the charges in the sub and cc payments out of the main. The main charges are shown in the sub employee card. How can I correct this now for proper reconciliation?

All transactions downloaded into QuickBooks is dependent on the information provided by your financial institution. Ideally, they'll be provided depending on how you track your transactions:

  • Connect the parent account if you're tracking your transactions as one
  • Connect the sub-accounts if your transactions are downloaded in every account

Hi,

 

We have a "Parent" account in our Amex account. I am trying to link ONE of the cards under that parent account to my QB account. I was told by QB it's doable as long as it has a different lsat 4 digits than the parent account cc, which it does. I went online just now to do this and spent 63 min on the phone with QB tech support, and they are saying it is not possible. Do you know of any way to create a rule or do something to make this possible? I am so frustrated.

I'll share insight on your situation about parent and sub-accounts for credit card accounts in QuickBooks Online (QBO).

 

In QBO, you have two options for this type of situation. You either connect the parent account or all the sub-accounts. 

 

How you proceed depends on the type of connection your bank allows. Some send their online feeds to the parent account. Others send them to their sub-accounts. If you're unsure, contact your financial institution to confirm this.

Quick question on the sub/main accounts. If I connect all the sub accounts, do I not connect the main account? How do transactions that occur on the main account, get imported from credit card to QB?

Yes, you don't need to connect the parent account for online banking, Carlos37.

 

You can download transactions from the parent account, then manually import them to QuickBooks. The system won't let you connect both the parent and its sub-accounts for online banking.

 

To import bank transactions, here are the steps: 

 

  1. In QuickBooks Online, go to the Banking.
  2. Select the Link account ▼ drop-down and then Upload from file.
  3. Select Browse, select the file you downloaded from your bank, then click Next.
  4. On the QuickBooks account ▼ drop-down, choose the account you want to upload the transactions into, then click Next.
  5. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks, then select Next.
  6. When you're ready, select Let's go.

Now that your transactions are in QuickBooks, it's time to match and categorize them. The transactions go into your accounts after you review them.

 

The final step is to reconcile them. This ensures your books are accurate and there aren't any duplicate transactions.

Hi, I would like help on linking a credit card account that is a subaccount of the company's bank account.  The problem is that it seems that linking the credit card would mean linking the main bank account (parent) as well, which means that the transactions of the parent account would be linked and downloaded into Quickbooks..  I only want the transactions of the credit card account (subaccount) to be linked and downloaded into Quickbooks.  If there is a way to do this, please show a step by step guide on setting this up.

 

This is with Chase bank.

 

Any help would be appreciated!

Hi there, Nikki. I'm here to share with you some information about linking a subaccount into QuickBooks Online (QBO).

 

You won't be able to connect both the parent and subaccounts in QBO. Since you only want the transactions of the credit card subaccount to be linked and downloaded into QuickBooks, you should only connect the subaccount, not the parent one. Linking the subaccount won't add the transactions of the parent account.

To connect your account:

 

  1. Go to the Banking or Transactions at the left pane.
  2. Click on the Banking tab.
  3. Select Connect Account on the landing page if this is your first time connecting. Or select Add account or Link account if you've already created one.
  4. Search for your bank. 
  5. Select Continue, then enter the username and password you use for your bank's website in the window.
  6. Follow the on-screen instructions to complete the process.

 

Once your account is connected, the system will automatically download the bank transactions so you don't have to enter them manually. From the Banking page, approve and categorize them accordingly. After that, make sure to reconcile your account to match the transactions record in QuickBooks to your bank statements.

Is this possible with this situation?

 

So the parent account is a checking account (not a credit card account)...and out of that checking account, they got a credit card which is a subaccount to that checking account.  At least this is how the owner described it to me.  

 

He said he has tried to link the credit card but it seems to be impossible to do it without also linking the checking account.  We only want the credit card to be linked and not the checking account.

This seems like what I need to do, but I did not set it up this way at the start and now tax prep has become a nightmare. We have 4 cardholders on one Chase CC acct. Payments only appear to be applied to the main cardholders acct. So we have "overpaid" that account and have outstanding balances on the other accounts. Could I make a new parent account and make these 4 cc accts sub-accounts at this point or will this make a gigantic mess?

Allow me to chime in and share some information about parent and sub-accounts for credit card accounts in QuickBooks Online (QBO).

There are two ways how your banks send the downloaded transactions to the program:

  1. Transactions download to one account.
  2. Transactions download to the individual accounts.

You'll need to connect the parent account only if the transactions download to one account. Otherwise, connect the sub-accounts if the transactions download to individual accounts. If you try to connect to both, you will receive a message that the account has already been connected to QuickBooks Online.

With regards to recording credit card payments, you'll need to pay down the main account if transactions download to one account. Otherwise, you'll need to record the payment on each sub-account. This way, their balances will be zeroed out.
