QB not importing a single bank transaction - everything else as normal

Good Morning,

We have one, $8 transaction that shows on our bank statement (cap one) and that we have recorded as an expense in QB online. The system is not importing that transaction from the bank so that we can match the bank record to the expense. We have already tried the following:

  • Updating/synching (several times)
  • Checking the categorized and excluded tabs (no expense of that amount)
  • Confirming the dates and amounts match
  • Checking the register (not already reconciled)

All other transactions for the month (June), imported correctly and are matched. I now have hours of time sucked into fixing an $8 transaction!!! Please help!

Welcome to the Community family. I'm here to help you import your transactions in QuickBooks Online.

 

If you've imported the transactions as .CSV file, you'll need to double-check if transactions have symbols or characters. If you found some, remove it and import it again.

However, if you're referring to your transactions in online banking that are not syncing to QuickBooks Online, you can try running a manual update.

 

Here's how:

  1. From the left menu, select Banking.
  2. On the Banking page, select Update.
  3. If prompted, enter your Multi-Factor Authentication (MFA) credentials and select Continue update.

If the issue persists, I'd suggest reaching out to our Customer Care Team. They have the proper tools like screen-sharing to verify what's causing the issue. 

 

To reach them:

  1. In your browser, navigate to https://help.quickbooks.intuit.com/en_US/contact
  2. Choose QuickBooks Online.
  3. Select the issue or topic.
  4. Click the Green Phone button to see the support number.

We have already done the manual update with no success. We will try to get in touch with support but welcome any ideas.

Let's make sure that you'll be able to update your bank, Kitchensink,

 

Sometimes, the issue may be on the bank's end. You'll want to sign in to your bank's website to check. To do so, follow the steps below: 

  1. Go to the Banking menu or Transactions menu.
  2. Select Link accountNote: You won’t add an account, you just need the listed URL.
  3. Search for your bank and select it.
  4. Copy the URL listed for your bank.
  5. Sign in to your bank or credit card's website using the copied URL.

If you're able to sign in, there isn't a major issue. You can check the following:

  1. Check your account for messages, notifications, or alerts.
  2. Look for any display issues as you navigate the website. These can block QuickBooks from downloading new transactions.
  3. Check your bank’s website for any announcements about new security requirements.


You can also continue performing the steps in this article: What to do if you get a bank error or can't download transactions in QuickBooks Online. However, if the issue persists, it's best to reach out to our support team so they can double-check your account and guide you with some of the additional troubleshooting steps. Here's how:

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter your concern
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.

I am having the same problem. Our ban accounts are linked but transactions aren't coming through to reconcile.

Hi there, @Sum1.

 

To clarify, do you mean you can't find the transactions when reconciling even after categorizing them in bank feeds?

 

Before you reconcile, make sure you review and match all of your downloaded transactions. If your bank is not importing new transactions, you can run the manual update as suggested by LollyNino_C. 

 

If you're getting the same result after updating, I'd suggest checking the bank's website to check if they're undergoing maintenance or have server issues.

 

Here's how:

  1. Sign in to your bank or credit card's website. 
  2. Look for any messages, notifications, or alerts. These should tell you if something isn't working.
  3. Review your account pages, account history, and transactions. If you can't see these, there may be connection issues.

 

If everything looks good, go back to QuickBooks and update your bank again. Also, if you've recently updated anything on your bank’s website, update that info in QuickBooks as well. For the detailed steps, proceed to Step 3 in this article: What to if you can't download transactions.

 

If you've got all of them entered and added but are not showing on the reconciliation page, you may have set filters that hid them. You can clear them by clicking on the Clear filter/View all link. 

 

Here's how:

  1. Go to the Gear icon and select Reconcile. If you're reconciling for the very first time, select Get Started to continue.
  2. From the Account dropdown, select the account you want to reconcile. Make sure it's the same one on your statement.
  3. If you see a message about a previous reconciliation, select We can help you fix it. You need to fix this before you start.
  4. Review the Beginning balance. Make sure the beginning balance in QuickBooks matches the one on your statement. 
  5. Enter the ending balance and ending date on your statement. 
  6. If you see it, review the Last statement ending date. This is the end date of your last reconciliation. Your current bank statement should start the day after.
  7. When you're ready to start, select Start reconciling.
  8. Click the Clear filter/View all links to view all transactions.

 

Additionally, you can manually upload transactions into QuickBooks Online. This feature allows you to enter older activities.

We have multiple financial accounts linked in QBs and they are all having the same issue. When I go to the Bank register for any account I see no transactions. I've tried doing the manual updates and cleared filters, even relinked the accounts.

I really would prefer not to add each payment and deposit manually.

You can set up an auto-add feature to create an auto-add rule that allows transactions to be automatically accepted on your banking page.

 

Here’s how:

  1. Follow the steps to create a bank rule
  2. Select Automatically confirm transactions this rule applies to on the Rules window.
  3. Select Save.
