How to set up tags and groups

Following is the information that popped up today in QBO, but WHERE do I find the "Transactions Menu" with the "Tags" tab mentioned in the instructions? I have looked in Chart of Accounts and in the Gear for general settings and everywhere else I can think of. There is no other info in the community on this. I'd appreciate any help. Thank you!

Tags transactions in QuickBooks Online

Find out how to use tags and group tags to get deeper insights into your sales and expenses.

Tags are customizable labels that let you track transactions however you'd like. They don't impact your books. Instead, they're a way for your team to track the info that matters most to you.

Let's say you run an event company. You may want to see how much you earned and spent on events this year. Create a group called "events." Then create tags for specific events and add them to your events group.

You can tag invoices, expenses, and bills. Group tags together and run reports to see how specific areas of your business are doing.

Step 1: Create tag groups

Start by creating groups to put tags into:

  1. Go to the Transactions menu and select the Tags tab.
  2. Select the New ▼ dropdown and then Tag group.
  3. Give the group a name.
  4. Select a color from the ▼ dropdown.
  5. When you're done, select Save.
Step 2: Create new tags and tag transactions

You can create tags while you're working on a form, like an invoice or expense:

  1. Select the Tags field.
  2. Enter the name of the tag you want to create. Then select + Add.
  3. Select one of your groups to add the tag to it.

This creates the tag and tags the form. To add existing tags to forms, simply enter the name in the Tag field and select it.

Note: You can add as many tags as you'd like, but you can only choose one tag per tag group.

Step 3: Get insights from tags

Run reports for tag groups to see how tagged transactions are performing:

  1. Go to the Banking menu or Transactions menu and select the Tags tab.
  2. Find a group on the list.
  3. Select the Action ▼ dropdown and then Run report.

Since groups have both money in and money out transactions, you'll see how everything in the group affects your bottom line

Next steps: Edit tags and tag groups
  1. Go to Settings ⚙️ and select Tags.
  2. Find the tag or tag group you want to edit.
  3. Select the Action ▼ dropdown and then Edit.

IMO, they should add enhancements (if that's what these are) quietly, without fanfare, and then announce and explain when everyone is live. Now it is akin to being called for dinner and getting to the table and the table is bare.

I have two business and use Quickbooks for both with exactly the same plans. In one I am able to use TAG, which is great for management and control, but in the other business I cannot access TAG at all. How can I have this solved? I really need to use it.

I have been trying to use this TAG's and waiting for this implementation since February without success. We really need to use this in our control in order to separate distinct projects and billings.

 

So, PLEASE QUICKBOOKS, help us out here and allow this use for TAG for us ASAP.

I just had tags added to my business. I think it looks AMAZING... However, when I click on Tags, the little green circle spins and it locks up QBO. I can't get to it. Even though I have the option for it under transactions, there is no field for it when I'm looking at an expense. So all I can see is the Tags header (page doesn't load) and the help articles. Any idea what I can do?

Hello @Cmorec,

 

There are times that your browser is full of frequently-accessed page resources, thus causing websites, like QuickBooks Online (QBO), to act weirdly. This can be the reason why tags and its function is not working as expected.

 

Let's consider logging into your QBO account using a private browser so we can isolate this issue. To do so:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

If this works, you can clear your regular browser's cache so the system can start fresh. But if you get the same results while using a private browser, use a different browser instead.

Thank you so much for giving me some things to try. I followed those steps (trying to go to the Tags page in a normal window and a private window) in Microsoft Edge, Internet Explorer, Firefox, and Chrome. It did the same thing in all 4 (except almost nothing would load in internet explorer, so I know not to try that browser again). Do you have any other ideas on why might be blocking this page?

You're on the right track, @Cmorec.

 

The Internet Explorer app has been removed and is not part of the supported browsers to use when working with your business in QuickBooks. Since you still have the same results, I'd recommend contacting our Customer Care Support.

 

With their tools, a specialist can pull up you're account, securely, and create a ticket associated with your account to be submitted to our engineers for further investigation about this unexpected behavior. To do so:

  1. Go to Help.
  2. Tap Contact Us.
  3. Enter Green Spinning Circle - Tags in the What can we help you with? field.
  4. Click Let's talk.
  5. Select Get a callbackChat, or Call us.

The Tags and Groups option is a beta feature added in QuickBooks Online (QBO). This means that the said feature is available to selected companies in the meantime to test its functionality.

 

If you don't have the Tags option yen, don't worry. Our developers are working on adding this feature to a large number of users.

There are different ways to create tags in QuickBooks Online. Let me laid every steps I know about this:

  1. Click Banking on the left menu and go to the Tags tab.
  2. Click the New button and select Tag.
  3. Enter the Tag name and assign it to a Group.
  4. Click Save.

Or

  1. Open an invoice or any transactions.
  2. Click the Manage tags hyperlink.
  3. In the Manage your tags drawer, click the Create tag button.
  4. Enter the Tag name and assign it to a Group.
  5. Click Save.

Or

  1. Click the Gear icon in the upper-right corner and select Tags.
  2. It will route you to the Tags tab after you click the Banking menu.
  3. Click the New button and select Tag.
  4. Enter the Tag name and assign it to a Group.
  5. Click Save.

Meanwhile, cache helps your browser's background processes run smoothly. However, it can also cause issues when piled up. Here's how to get rid of any-cache related concerns:

  1. Open a private browser and log in to your QBO account. It uses but doesn't store cache.
  2. If you can create tags successfully, we can go back to your regular browser and clear the cache.
  3. Other supported browsers are good alternatives, too. Each of them uses a different cache.

Hello,

I'm sorry to jump in here but haven't had any luck finding the answer to my question about tags. I just imported 300+ transactions and would like to tag all of them, however, I am only able to do them one at a time :( is there a way to add tags to multiple transactions at once? If not, I believe this would be a great time saving feature. Thank you again for any help.

Yes, there's a way to assign tags to multiple transactions so you don't have to do it one at a time. I'd be glad to share these steps with you: 

 

  1. Go to the Tags tab under your Banking menu.
  2. Click the See all untagged transactions link.
  3. Select all transactions that you will be adding tags.
  4. Click Update tags, then select Add tags.
  5. Type in the tag that you want to assign.
  6. Click Apply

I'm just setting up my account and I only chose 2 tag groups during my setup.  But I now would like to add new groups to organize my tags.  When I go to manage my tags, I can add new tags but there is no option to create new groups.  I can use the 2 groups I already chose or just choose "ungrouped".

 

How do I go about adding new GROUPS for my tags?  I'm currently using the Freelancer version, so I don't know if there are specific limitations to that actions that I can perform in regards to this particular function.
