2022 North Carolina efile W2 and NC3

To my surprise and utter joy, Quickbooks Desktop will now efile W2's and the NC3 direct to the state of North Carolina effective 1/12/23. My faith is restored. Miracles do actually happen!

You no longer need to create that special data file to upload on the the state of North Carolina website.

Here's another miracle: I was creating the special data file for the NC3 and it showed an e-file screen with a "Submit" button. I said what the heck so I clicked submit. A confirmation screen came back just like you see for e-filing your 941. It also had a confirmation number. Of course I was skeptical that this really worked to I called tech support. Here's another miracle: tech support actually knew the answer to my question about this.

What the heck has gotten into Intuit? They are actually doing some things right.

Yes, you can electronically file your W-2s through QuickBooks for North Carolina. You can do it from the Employees menu. Your W-2s will be available to view and print in the Payroll Tax Center on January 13. Then, it'll be available in QuickBooks Workforce for your employees to see and print on or before January 31.

I'm having trouble filing my NC w2 & NC3 online. Our wages are over the limit of 999,999.99 so it says I need to file them in batches which is what I did for the SSA & W3 with no issues. What steps do I need to take to do this?

QuickBooks is dependent on state and IRS regulations. Payroll taxes, such as state and municipal withholdings, are usually calculated depending on the employee's residence and place of employment. Depending on the regulations of the states where your employee lives and works, these taxes are computed and reported differently.

 

I recommend contacting your state agency so that they can help you with this. The agencies can help you figure out which taxes apply to your case and register for the account numbers you'll need to pay those taxes and file forms.

I know what the NC state compliances are. I want to know the process through quick books of creating the state W2s and Nc3 so they’re in the correct format and file type (.txt) to be in compliance with NC and then file them from quick books

Good news because QuickBooks Desktop Payroll has an e-file option for NC W-2s, which also includes your NC3 along the process. I'm happy to share the steps with you.

 

  1. Select Employees, then Payroll Tax Forms & W-2s, and then Process Payroll Forms.
  2. In the File Forms section, select your state worksheet.
  3. Review the Select Filing Period year and change it if you need to.
  4. Select Ok.
  5. Fill out the W-2 worksheet and select Check for errors to make sure everything is correct before e-filing.
  6. When you’re ready, select E-file.
  7. Enter your email address and contact phone number.
  8. Select Submit.

I understand the need to e-file for W2 in North Carolina. I'm here to point you in the right direction in QuickBooks Desktop.

 

Since you mentioned that your firm has over the wage limit, processing them through electronic filing is unavailable in QuickBooks Desktop. Consequently, we will need to file them manually with your state agency.

QuickBooks needs to increase their wage limit threshold so larger companies can continue to use QuickBooks. I was unable to print my 940 form due to this reason as well. 

In order to get my data to NC, I now have to find a report that I can download to excel and copy and paste the data I need into the NC Text file generator, pay a fine to file a paper copy or type the data in manually for 160 employees. It seems that we have just outgrown QuickBooks usefulness and will have to look for another accounting program. 

For those in a similar situation, I will update this thread if I find a solution.

I was able to successfully upload the 2022 NC W2 file back in January.  However, I have to amend the file as the client voided a payroll without telling me.  . . .   I have corrected the SSA W2/W3 files.   However,  when trying to correct the NC copy and upload - it will not let me - saying another file has already been uploaded.  There is no provision in the Employee Center to Amend the NC W2 like there is for the SSA.   HELP!  Thanks

Let me chime in and share additional information about amending state tax forms in QuickBooks Desktop (QBDT).

 

Currently, we're unable to make amendments to state W-2 and W-3 forms once filed. You'll have to work directly with your state tax agency to have these forms corrected. 

 

Additionally, you may want to generate a payroll summary report to gain insights about what you've paid out in QBDT. This way, you'll have an overview of your payroll totals, which includes employee taxes and contributions.

Sorry for the delay. I got the NC return figured out after lots of frustration. Since our company was above the income threshold limit, QuickBooks would not generate my NC W2/W3 report. I tried multiple ways and wasted a lot of time but the fix was fairly simple. I generated a "Contact List" report and made sure that I had all the fields needed for the NC report such as SS#, Name, and address. Then I exported this report to an excel worksheet. I had to separate some of these fields, such as zip code to have them in a separate column like NC wanted. I also added empty columns where I would not have any data to report such as a zip code extension, foreign state/province, etc. Then I ran a "Payroll Summary" report and made sure I had a row at the bottom for my total wages, NC wages & NC income tax withheld for each employee. I used VLookup to put the wage data into columns on the "Contact List" report. Then I made sure the columns in my report were formatted to "text" and in the same order as the NC report needed to be and copied and pasted the data in the NC text file generator so I could upload it to NC. I hope this makes sense and helps someone else!

I don't understand - I am not able to generate the forms from QB. It does not show NC as a supported efile option.

Hello there, @Slooz. I'm here to ensure you'll be able to file your tax form electronically.

 

To start, let's ensure that your QuickBooks Desktop (QBDT) is updated to the latest release and that it has the newest payroll tax table to stay compliant with paycheck calculations.

 

Once done, let's navigate to the Payroll Center to electronically file W2s for the state of North Carolina. I'll guide you on how:

 

  1. Go to the Employees tab and under Payroll Tax Forms & W-2s, select Process Payroll Forms.
  2. Next, in the File Forms section, click the NC state worksheet.
  3. Then, review the Select Filing Period year and select OK.
  4. Fill out the W-2 worksheet and select Check for errors to make sure everything is correct.
  5. Once ready, click E-file.
  6. After that, enter your email address and contact phone number.
  7. Click Submit.

I just spoke with a representative at Intuit and they told me that it is not supported.

The reps are morons. They don't read. If you're over the wage limit of 10 mill or over 800 employees you can't submit like they're telling you you can. In 2020 you could ho to the bottom E-File State W-2 for NC like many other states. You can't do this today because... Quickbooks most likely being they are the thorn that everyone will leave July 2024 since their Online system is not perfected. 

 

Anyways, the person was saying they manually manipulated an excel file to NC requirements and was able to file. Quickbooks wasted 7 hours of me export state e-files to excel before I realized their automatic updates didn't update payroll and it was reverted back to 2020 on a freshly downloaded enterprise 2024, after we spent all Saturday finding the license number. It's hidden in PAPS for everyone wondering. Search another forum from that. Spoiler, the answer is never from a rep but a user figured it out for all 2024. 

 

I am hoping to use the old NC from 2020 and input the necessary 2023 data and pray the macros work to create an EFW2 or I'll just hand enter like the last couple years. Georgia has been supposed to be on the boat for years but it never is and QBdesktop is ending so I'm retiring. 

 

1 thing is QB is very proud to be in the Top 50 of accounting software. I know people that can't find the other 49 to switch since their companies outgrow QB but I guess if your on the field you want people to cheer for you. Problem is QB won't know how to use their own software to account for the loss they have as they make their last big push to get everyone to QBO. Good luck everyone. Good riddance QB.
