Am I doing something wrong when setting up employee info? We live in an area where there is no home mail delivery. I am no longer able to use a PO Box as an address.

I need this to be the employee's mailing address as QBO mails out our W2's.

Yes, you're correct. The employee's home address in their profile is where QBO mails out their W2's. For the time being, you're unable to use a PO Box as an address when setting up an employee's info in QBO. With this, I'd recommend consulting the IRS regarding this matter. Thank you!  It's too bad when W2's are sent to the home address the USPS will send back as "undeliverable".  Will see what I can find out from the IRS.

One of our new employees is having the same issue when filling out her information on Workforce.

Her mailing address is a PO Box as there is no mail delivery in Borrego Springs, and PO Box is not accepted on Quickbooks. She doesn't mind putting her physical address but she can't receive mail there so any document sent to her will be returned.

She is saying that it's not a problem for the IRS, DMV, or Social Security so she does not understand why Quickbooks doesn't take it. Can you please advise on what I should tell her to do?

Why is a PO Box an issue? Are you guys going to be fixing this? No agency seems to have an issue with PO Boxes only Quickbooks online.

Please fix this ASAP.  A PO box is a valid mailing address and many that have them do not have the option of having mail delivered to their home.

I am the original poster of this question, we have been telling employees to add their box number after the address.  For example, 123 Main St #56, Anytown, CA 99999.  I hope this helps, they do need to fix this!

I also have an employee who lives in an area where mail is not delivered to physical home addresses (mountains of Colorado). All residents are set up with a PO Box.

Hi there,

Let me give you some information about PO Box in QuickBooks Online (QBO) Payroll. When setting up employees, QBO only allows addresses within the 50 states.

To ensure that your employees get to receive their tax paperwork, you have to make sure that the physical home address matches the IRS records. 

You may use this tool to verify if the address is within the allowed states in QBO: USPS Zip Code Database.

The website provides a searchable database where you may look for the zip codes of certain cities or street addresses.

To further assist you with your concern, I recommend consulting the IRS.

I am the original poster of this question, we have been telling employees to add their box number after the address.  For example, 123 Main St #56, Anytown, CA 99999.  I hope this helps!  We also have no mail delivery in our area and I think it is impossible for people to grasp that this is an issue in rural areas.  I can consult the IRS all I want, but it is not going to get our post office to deliver mail to employee's homes.

I've been filing taxes for years with my PO Box, as have my parents before me.  This is bs that the IRS won't let employees use PO Boxes.  This is QB issue, NOT a tax compliance issue.  Just fix the issue.

I appreciate you coming here with your concern about not being able to add a PO Box to your employee's information. 

 

After researching further on this problem, I've discovered that QuickBooks Online (QBO) allows you to enter the Post Office's address as the Physical Address. There are some occasions when QuickBooks doesn't accept a combination of city, county, or zip code. You'll have to make sure that you enter accurate information. You can use the USPS Zip Lookup Tool to validate your address. It has a searchable database to look for a specific location using the street address, city, state, and zip code.

 

If you're unable to enter it QBO, you may have too much accumulated historical data causing this unusual behavior. Whenever you visit a website, it saves some information from the web page in its cache and cookies. These files allow the websites you visit most often to load faster. Not to worry, clearing them will do the trick.

 

First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

 

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

If it works, switch back to your regular browser and clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

 

After you add your employee’s work location, you may be required to complete the new state or local tax setup

I have found this to be an issue when entering new employees as well. I have gotten around it by just entering Box and the number instead of PO Box and the number. QBO then asks if the address is correct. You can then select the PO Box version and it can then be saved.

After trying lots of things that didn't work, this worked for me!  I typed in Box 333 in as the address, and then QBO asked if I wanted to leave it or use their recommended version, which was PO Box 333, which was exactly what they said I could not use when I typed it in myself.  Intuit really needs to fix this...but in the meantime, at least this workaround enabled me to get the correct mailing address in for our employee.

The workaround of omitting "PO" worked for me so that the address that I entered was "Box 1234". After after a while of waiting for the busy box to finish spinning and the suggested addresses appeared, I could select the PO Box 1234 and it was able to save. Thanks!

This is crazy and unnecessary to restrict PO Box for employees' addresses. No other payroll company does this. Many employees in the US have no US Mail delivery to their rural homes. This is setting up accountants and the employees for failure to receive paychecks, stubs, and W-2s. WHY? Fix!!
