I tried to file the Hawaii Copy of the W-2 by going to Employees>Payroll Tax Forms & W-2s>Create State W-2 and E-File, but Hawaii is not on the list of supported states. Hawaii requires electronic filing of the W-2s and we can submit the same file submitted to the SSA. Where can I find that file to upload to the state website?
Aloha, were you able to sort this out? We're trying to do W-2 electronically as well, right it's looking like we may have to hand edit some excel file or some pdf form instead of letting quickbooks do the work for us.
Did you find a solution for this yet? i need to e-file to the state as well
Hi there, thanks for joining the thread.
I can help you file W2s with Hawaii state in QuickBooks Desktop (QBDT).
You can choose either to create your W2s or file them electronically with QBDT Payroll Enhanced. It depends on your state. If you're in Hawaii, you'll need to create your file manually. Then, mail it to your state. Follow these steps for creating the file you'll send to the state.
For more information, see this link: File your state W-2s with Quickbooks Desktop Payroll Enhanced. It also includes the different state agency websites for payroll.
I'm adding this article to learn more about payroll taxes in a new state: Set up employees and payroll taxes in a new state.

Thank you for your response. Unfortunately, HI wasn't listed in the drop down menu for the state listing. I was told to use "federal" but that was not a resolution for filing online. Hoping Intuit has a resolution before having to file the 2023 State of HI W-2s. I was unable to get a resolution for the 2022 W-2 efiling with the state of Hawaii and had to manually enter the W-2 on the states website.
HI is not on the list, that's the problem. i did the steps above and can't do it because you don't have HI on the list of states that's allowed
how did you manually enter the w2s on the state website?
we can't do this with HI w2s, it does not work, HI is not a listed state to choose from
Hi, everyone. Allow me to elaborate or clarify things out so you can get back on track.
The option to electronically file a state W-2 for Hawaii isn't available. You'll need to follow the steps given by my colleague @Nicole_N above to create the W-2 file and mail it to the state.
If you want to know which states allow you to electronically file and pay your taxes, see the table in this article ( Step 2: Find the e-file and e-pay method for your state
I've also added this link if you need to Set up Federal e-file and e-pay in QuickBooks Desktop Payroll Enhanced.
Let me know if you have other concerns about W-2s. I'll be here if you need me. Take care.
Thank you.
I don't know what the issue is with having HI setup to be able to file electronically, but hope it is available for filing the 2023 W-2s.
Yes the previous instructions for "mailing" them in is accurate BUT if you or your client are required to file electronically, mailing is not an option. You have to manually enter each employee into the Hawaii Tax Online system. This creates a lot of room for error.
Is Intuit working on the ability to e-file in January 2024 for calendar year 2023?
yes in know, its something that needs to be fixed as far as being a subscriber goes, and its not cheap then to have to do the extra work while the other states get to just send it in. anyway, i sent it in by paper then got a notice that they want it by efile so i have to manually enter it and send it. did you manually enter the w2s in the clients online account, the one that you use to send the withholdings & GET?
