Before sending the invitation again, make sure to enter the correct email address in the employee’s profile. I can help guide you through the steps on how to update the information.

 

  1. Hit the Employees menu and choose the Employee Center to access the Employees tab.
  2. From there, double-click on the worker’s name to view more details.
  3. On the Information for page, go to the Address & Contact panel.
  4. Type in the new email address in the Main Email field.
  5. Press the OK button to save the changes.

Once done, you can send the new information to QuickBooks Workforce. Follow the recommended steps in this article and proceed directly to Step 2 for detailed instructions: How do I?

I changed the employee's e-mail address, saved it, closed out of Quickbooks and then reopened.  It did not change the employee's address in the send invite section.  And nowhere do I see a resend option.

I'd suggest reaching out to our payroll support. This way, an agent will guide you with resending the invitation. Here's how:

  1. Click Help inside QuickBooks. 
  2. Go to QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Enter "Unable to resend Workforce invitation" in the description field, then click Continue.
  5. Select either Message an Agent or Talk to a Specialist.

I understand how QuickBooks Workforce is helpful. It's a quick way for your employees to access their pay stubs and W-2s. I'm here to make sure you can benefit from this feature.

 

If your employee can't find the email after changing the information and resending the invite, you can have them check their junk mail and spam folders and ensure their email address is correct.

 

If it's still not found, try resending the invitation again by following these steps:

 

  1. Go to the Employees menu and then Payroll Setup
  2. From the Employee list, select the drop-down under Action, and choose the option to resend or cancel. 
  3. When finished, close the setup window.

 

Once they've accepted, they can access their info any time they need them. Your employees will get an email that lets them know their paychecks are available after you run payroll.

I have followed your steps to udpate the email but we have employees who provided emails that were connected to Intuit from years ago and can't reset their passwords with Intuit to get signed in.  One of our employees even contact Intuit and they couldn't find her email address.  

Problem in QuickBooks is we have already sent the invite to this old email and now when I do the steps you posted it doesn't override to the new email and I believe it's because the status in Workforce is still "invite sent".  How can I change this status in Workforce to update to the new email address?

I have a couple employees with the same issue.  This is just typical intuit quickbooks insanity.  Tasks that should be straightforward and simple so often require a rube-goldberg-esque series of convoluted steps, one of which often involves closing your eyes, taking a leap of faith, and hoping it comes out right on the other side (A-la: shut down quickbooks and reopen while performing an incantation and sacrificing a day-old jelly doughnut).

 

The online help guides often lead you on a journey that stops in its tracks when you're advised to click a link or button that doesn't exist.  Help links in the desktop program pop up a new internal window (your guess is as good as mine if this is still using the long-since-obsolete IE engine), which blocks all windows below from receiving input from the user!  Why do I need to see the help page if I can't follow the instructions in real time?  Why can't the links open in **gasp** the OS default browser as most programs have done for decades?  This is true cutting edge 20-aughts programming stuff.  I'm convinced that nobody at intuit actually tries to use this software.

Meanwhile, I just earned a "badge" and a new "rank" by making a post!  I'm so honored!

 

This would all be fun and amusing if the product itself wasn't bursting at the seams with bugs and issues and kludges.  Maybe these engineering resources would be better spent improving the user experience and bringing the program into the 21st century.  Then we can all go have fun with badges and avatars and leveling up our commenting game.

 

I thought this was a serious business product for serious business people.  Guess I'm the fool.

I have an employee who was invited when new and received an invitation but never set up his account. Now he needs his check stubs and I cannot find how to re-send an invitation. I tried following the steps listed but I do not see the same option. When I click the drop down by Action, the only option I have is Edit. It says all of our employees are Incomplete. I am guessing it only gives me and Edit option because they are listed as Incomplete. I did not send them invitations to self-setup but entered the information. I cannot find anything missing. How can I give him access to his check stubs in WorkForce so he can be approved for a home loan?!?!

Thanks for joining in on this thread. I hope your day is going well so far. Let's work together so that you're able to send this invite again to your employee. 

 

If none of the steps above worked, the best route would be to delete the employee and make a new profile for that employee with a new email to send the invitation again. 

 

Here's how:

 

  1. Go to Payroll, then Employees.
  2. Select the employee's name. If the employee isn't on the list, select All employees from the Active Employees dropdown.
  3. Click the employee you want to delete.
  4. From Actions, select Delete employee.
  5. Once done, press Yes.

Don't delete employees with paychecks or payment history. It’s best to keep the employee info for your records.  You can change their status instead.
