How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

This did not help.  I finally got it back to 3 per page after running the updates several times.  After over 3 hours on the phone with customer support, sent up to level 2, I was told they could not help.  For everyone else that is tired of wasting time, this is what you do:

 

If it's printing 2 per page: Go to Help -> Update Quickbooks Dektop -> Update Now -> check Reset Update, click Get Updates.  You may have to do this many times until the correct update goes through.  I ended up with version R3_78 for Premier 2022. 

 

When it's printing 3 per page: Print to PDF.  You can then manually play around with adjustments if you have Adobe Pro.  If not, or you don't want the hassle, you can get close enough by adjusting print settings.  I did custom scale 102.75%. 

 

After all this research and time spent, I'm fairly certain this is a font issue more than alignment.  I think the difference in font size is what is causing it to be off, considering adjusting the print size helped tremendously. 

 

I hope this helps some people so you can avoid all the back and forth and get your tax forms in on time!

All the alignment advice you give does not work for 1099 NEC forms. Every time I go into Printer setup, align and preview, I get an unrecoverable error message and am thrown out of QB. Please update your software and fix this alignment problem. All three of the people on the page are printing in a different place on the page. The one in the middle is correct, the top one is too low and the bottom one is too high.

This solution doesn't work.

After updating numerous times, resetting update, and having the message "nothing new downloaded" it still doesn't work.

This is part of a pattern of Quickbooks just failing.  It used to be good software and now it's just crap used to push ads to desktop users.

This solution doesn't work and, once again, shows Quickbooks doesn't listen to customers. 

The issue is Quickbooks printing 2 per page instead of 3.  There are no ways in the software to change this, updating doesn't help.

Your software used to be good, now it's just an awful way Intuit uses to push ads to desktop consumers.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

My problem is when printing the 3 per page 1099-NEC on Desktop, the address on the first form is aligned ok, but it takes up the complete field. The payers TIN is too low. The Recipient's address is too low. If I move the printing up, the address at the top covers the print in red.  The second form is too high and the third form is too low. Aligning with Quickbooks doesn't let us adjust each of the three forms separately, which is needed.

Let's perform the coarse alignment adjustments so your 1099-NEC prints perfectly. Here's how:

 

  1. Go to the File menu, then select Printer Setup.
  2. Select the 1099 form from the Form name drop-down.
  3. From the Printer type drop-down, choose Continuous (Perforated Edge).
  4. Click Align, then choose a template to use. Then, select OK.
  5. Select Coarse, then OK to print a sample form.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

When I try to align the form, I get an error and then QB closes.  I have verified and rebuilt data, redone updates 2x, restarted QB and my computer - still will not print the dollar amount in the 1099 NEC boxes.

It printed yesterday on COPY A and B, just not on copy C.  Very Frustrating since I had to upgrade QB in the middle of all this as well.

Thanks, I did that but Apple programmed my phone to prevent scammers if the number is not in my contacts it goes straight to voicemail.

 

So the 1099 NEC forms print on plain paper fine.  I put the forms in the printer and I get a warning that the form I am about to print does not fit on the pay...duh or it would print correctly.  Then I get another error that the FONT is wrong but when you go to the Fonts page for the 1099s it tells you that the Gov't needs certain font.

Watch out, the 1099 forms have changed to 3 per page, so they will not line up ever if you are printing on forms with 2 per page.   Biggest question is is there a setting to print on the older gov forms, like I had to reprint my 2020 forms for the IRS, but Quickbooks is automatically set up for 3 vendors per form.  good times...

We've already updated QuickBooks to be able to print 3 forms per page and to comply with the IRS's mandate. We're unable to switch back to having 2 forms per page.

the problem i am experiencing: each form is 3 per page. top is too high/middle is ok/ bottom is too low. best i can accomplish is two per page, using extra resources. and the L/R  is different for each line item. I can get the address proper, but then the numbers are misplaced.

even the 1096, I checked box for NEC and when printed, all was aligned but the mark for 1099 lined perfectly in MISC.. unfortunately i didn't catch that until after i mailed the documents -- now i have to amend.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

The problem is that QB software is adding an extra line of space between the first form and the second.  This caused the printing in the 2nd and 3rd form to be shifted down and Street and City, State are printed on top of the text box description.  Making adjustments via the align function does not really fix the problem.

 

QB needs to fix this.  However, it is so close to the filing deadline I doubt anything gets done.

This has been a problem for years.  I don't think anything will be done about it now, especially since QB is only interested in pushing everyone to online version.  My question is why does QB still make us use pre-printed blank forms to complete 1099s when every other form is printed on plain paper?!?

i have used the aligment and still 1099 is not printing correctly. The first payee is  a little too low in payer tin across to compensation.  2nd payee is 1/2 way below line and 3rd payee aligns correctly.

Having the same issue printing 2022 1099-NEC.  Top to high, middle just right, bottom to low.  Goldilocks solution figured out by anybody?  Alignment does not help with this as you can only make a full page adjustment which just pushes the problem from one box to another.

I want to ensure you can print them and file them on time. To align and print the forms, follow the steps below:

 

  1. Click the Print 1099s button.
  2. Select the range (of date) the 1099s were paid from and tap OK.
  3. Pick the form 1099(s) you wish to print and choose the Preview 1099 button.
  4. If the alignment is still off, go to the File menu at the top-left corner and select Printer Setup.
  5. Choose the 1099-NEC or 1099s from the list in Form Name.
  6. Tap the Align button and adjust alignment as needed.
  7. Hit OK twice to save the changes.

 

However, if the same things happen, I'd recommend contacting our Customer Care Team. They have the tools to further look into the account and create a case to be submitted for further investigation.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Like everyone else, I also could not get the alignment to work correctly after trying the Intuit suggestions. This problem is apparently beyond the technical capabilities of Intuit inasmuch as it is not an accounting problem but instead a printing problem and they refuse to apply the necessary expertise to solve the problem. Here is what I did to produce correct results, but I only had 12 1099 NEC recipients and this would be way too unwieldy for someone with a large number of them.

First, print your 1099 forms to a PDF file instead of on the purchased forms. Then use PDF editing software to adjust the position of the print. I used  Foxit Phantom PDF but there is a lot of other software, including that from Adobe, that will allow you to edit PDF files. Unless you have a large number of forms to waste, then use a copier to make lots of photocopies of the 1099 NEC (or MISC) form that can be used to check the alignment as described below. The software allowed me to change the position of the text in the following way: Take ONLY your first page (i.e. first group of three recipients) and print it to the photocopied page described above. In the PDF editing software, the text is grouped in two boxes per recipient. The right box contains the year (which needs to be changed from 2022 to 22 as the 20 is already on the pre-printed forms) and the reported amount paid and the left box contains the other data. After viewing the printout of the first page, then grab the boxes with your mouse and move them as needed. If necessary, inside the boxes, combine or separate lines to make items print in the appropriate spaces. Then print out another copy to see how good your changes were. Unless you're extremely good or lucky, there will still need to be more changes made, so "rinse and repeat" until that page prints correctly and then print it to the actual forms. Move to the second page and print it to a photocopy then make adjustments as described above. As you proceed, you will rapidly get much better at the adjustments. In the end, I only had to print on photocopies two or three times for my last page. Good luck! Once you're good at it, you might be able to do 10 or more pages in a reasonable amount of time, but there is no way you could do 50 and still make the mail deadline!
