How do you input the new W4 for 2020 information for the employees?

Hello, Brittany1987.

To clarify things out about the new W4 tax form under Claim Dependent field. You'll need to enter the $ amount and not the number of dependents.

You can follow my colleagues Jeosem M steps above on how to enter the information.

You may also find this IRS article helpful about the updates on the W-4 form.

For an overview of the new updates to the Federal W-4, check out this article. The information applies to all payroll versions: What’s changing with the Federal W-4?

You can also visit this IRS website to know more about the 2020 Form W-4: Publication 15 (2021), (Circular E), Employer's Tax Guide.

Be sure to get back to me if you have other questions. I want to make sure everything's taken care of.

Good luck finding a quickbooks "support" team member who can actually answer your question. They will, and I assure you this, hold you up for at least an hour before verifying if they can talk to you, answer your question, or who you should have actually responded to (apparently they have a bunch of disconnected support teams as well, because well you just can't be transferred over without that ticket).

Hands down, worse thread.

Even worse response from QuickBooks Advisors???

If I enter $6000 for 3 children, he does not get any federal taxes withheld which is absolutely wrong. We don't pay you guys to have to calculate our taxes ourselves. You've had an entire year to figure this "glitch" out. Are their actual IT people on here, or people who understand what we are saying? We don't need a CPA we need someone to tell us why we are paying you for a program that does.not.work.

How do you input the new W4 for 2020 information for the employees?

Since Quickbooks isn't resolving this and I enter my W-4's as these QB representatives are proposing, and my employees continue to have no federal taxes taken out then owe 10 grand at the end of the year, who is held accountable? Clearly my employee has to pay the taxes, but the IRS isn't going to be too happy with me for not withholding the proper taxes. I also don't pay the additional fees to Assisted Payroll that I do to not have this taken care of. I'm not using a tax calculator for every paycheck when I am paying you to be my payroll company. So @books11249 Do you have a resolution for this dilemma or not? My employees should in no way be having $0 taxes withheld as confirmed by 1. My own knowledge 2. My advisors knowledge 3. my Mentors knowledge and 4. My CPA.

Resolve the software issue and stop referring us to the IRS website, we know how to google stuff too.

Ailene (QB Support) - NO ONE at Intuit seems to understand English.  I GET HOW TO FILL OUT THE FORM!!!  Our question is do we put that dollar amount in QB for the withholdings or do was put a single digit like in the past.  If we put the dollar amount, QB doesn't withhold any taxes.  Your system does not work with the new rules.  I give up.  I'm putting allowances/digits instead of dollars because I am not going to put my employees in a world of hurt because you guys have no clue what your software is doing.

Hi there, cpt2.

I can share some information about how the new W-4 form works in QuickBooks.

Instead of calculating the number of allowances that translates into a certain amount of tax withheld, the new form prompts you to enter a dollar amount in the Claim Dependent field. You can read this article to be guided in entering the W-4 in your QuickBooks product: What’s changing with the Federal W-4?.

Take note the total amount of allowances you are claiming is important. The more tax allowances you claim, the less income tax will be withheld from a paycheck. The lesser amount you claim, the more tax will be withheld. QuickBooks also considers the taxable amount, filing status, and pay frequency in calculating the tax.

If you've noticed that the system isn't calculating the taxes after entering the dollar amount, you can update your QuickBooks Desktop and tax table to the latest release. This is to ensure that you'll get the most current rates and paycheck calculations for supported state and federal taxes. Here's how to do it:

  1. Go to the Help menu.
  2. Choose Update QuickBooks Desktop.
  3. Go to the Update Now tab. You can select the Reset Update checkbox to clear all previous update downloads.
  4. Select Get Updates to start the download.
  5. When the download finishes, restart QuickBooks.
  6. When prompted, accept the option to install the new release.
  7. Get the latest payroll tax table update.

Lastly, here are some resources that you can browse to help manage your employees' W-4s:

Im with you. Your question is simple and it the Same question I have yet no one can answer it. and why would we ask our cpa how QB wants the question answered? I still dont know if it is the $ amount of how many qualifying children x $2000 OR the number of children.

that pic is where I need help. do i enter in the taxes section of the employee the $$ amount (example $2000) or do i divide that down to 1 dependent? I feel between QB not answering that easy question and the IRS making it confusing that there are gonna be issues.

Hi jackpot,

Thanks for joining in on the thread. I'll share information about claiming dependents with the new W-4 form.

It's the $$ amount that you want to enter, not the number of children. For example, if you're single or married, but filing separately, has a total income of $200,000 or less, and claiming for 1 child under age 17, you'll want to enter $2,000 in the field. If you're claiming 2 children, you'll want to enter $4,000.

If you have other questions about payroll, feel free to go back to this thread. Take care and have a good day!

How do you input the new W4 for 2020 information for the employees?

Hi JessT

Just like ALL of the others that reply to this, NO ONE READS THE F*&^%$ QUESTION!!!!

It is not rocket science on how to fill out the stupid form.  The question has nothing to do with the form.  The question is:

WHAT DO YOU PUT INTO QUICKBOOKS FOR THE EMPLOYEE...THE DOLLAR AMOUNT FROM THE FORM OR THE NUMBER OF DEPENDENTS??   For example....1 dependent OR $2000 for that one dependent.  I have an employee that has 5 dependents.  When I enter $10,000 into Quickbooks for payroll, it does not hold any federal income tax at all.  That is a problem.

I now see the pictures....okay, when I enter the dollar value for someone with quite a few dependents, QB doesn't take out any federal taxes.  That is going to be a big problem when my employee goes to file taxes.  When will QB fix that?

How do you input the new W4 for 2020 information for the employees?

I've come to share additional details about entering employees' dependents in QuickBooks Desktop (QBDT) Payroll, @Alyson J.

You'll have to enter the dollar ($) amount/value (from the form) for your employees' dependents, not the number of children. QuickBooks calculates the federal withholding taxes based on the following elements:

  • Taxable wages
  • Number of allowances/dependents
  • Pay frequency
  • Filing status

You can learn more about the important pointers on tax calculations in QBDT Payroll and understand the tax amounts reported on an employee's paycheck or the year-to-date (YTD) payroll report through this articleHow QuickBooks calculates payroll taxes

Also, I'd recommend pulling up the Payroll Liability report. This way, you're able to see your employees' year-to-date data and other payroll details. For the step-by-step guide, you can refer to this article: Run payroll liability balances report.

If you have other payroll concerns and managing employee details questions, please feel free to comment below. I'm always around to help. Take care, and I wish you continued success, @Alyson J.

How do you input the new W4 for 2020 information for the employees?

Good day, nswerczek1.

Let me share some information about your concern.

You can ask for the employee's completed W-4 form. The IRS does require employers to keep the W-4 in their records for at least 4 years.

Later on, if an employee needs to change the information, they must fill out a new form, according to the Internal Revenue Service (IRS). This is why employers should keep copies of the most current W-4s on hand.

To learn more about the W-4 form, you can read these articles:

Yes, exactly, I have the same problem as the other person.  It is not explicit how to apply the information from the W-4 to the QB Payroll Taxes section.  Can you please help?  I'm really so fed up with the lack of support I have been receiving by phone.  This is my last desperate effort.  If anyone else has the answer, pls email me at [email address removed].  It will probably be quicker.
