Hello, I ran a payroll once on QBO and I see a bunch of payroll liabilities on the balance sheet (please see screenshot). How do I pay these payroll liabilities and remove them from the balance sheet?
Hello, Sajid_Rahim.
I have the steps to help you pay those payroll liabilities and remove the from the balance sheet.
You can go to the Payroll Taxes page to pay those due liabilities and remove them from the Balance Sheet. Here's how:
More details about paying your payroll taxes can be found here: Pay and file payroll taxes online.
Note: For recent payroll liabilities, you won't be able to pay them until they are due for the quarter.
As you pay the taxes, the balance will decrease. If you want to view all of your payroll taxes, you can pull up the Payroll Tax Payments report. Simply go to the Reports page, then search for Payroll Tax Payment.
Do have any other payroll tasks such as managing your employees or checking out their year-to-date amounts? Choose a topic in this page and look for an article: QuickBooks Online Payroll topic page.
Please let me know if there's anything else I can do for you in QuickBooks Online. I'll provide some guides, steps or solutions to help you out.
Thanks for your response @jamespaul 'Pay Taxes' or 'View All' link is not appearing on my screen. I've tried both business view and accountant view. Please see attached screenshot.
I appreciate your time coming back here, Sajid_Rahim.
Based on the screenshot you've added, it looks like your account is not active. To pay taxes in QuickBooks Online, you will need to have an active payroll service.
To reactivate payroll, you can follow these steps:

Thanks @RenjolynC couple of follow-up questions:
1. There was a Federal amount past due, I tied to pay that and QBO gave me instructions to log into EFTPS website and pay IRS directly. Is there no way to pay without me having to log into EFTPS? I.e., is QBO not able to make the payment on my behalf when due?
2. I see state taxes are not due yet (please see attached screenshot). Will these be automatically disbursed or would I have to manually log into State websites and pay electronically?
Thanks,
Sajid
Hello there, Sajid_Rahim.
Paying late taxes in QuickBooks Online is unavailable. You'll have to manually pay them directly to the IRS and then mark it as paid in the system. Here's how:
For your state taxes that are due later, the system will automatically set a scheduled payment for the due federal taxes. In this case, you'll want to wait until QuickBooks lets you pay it electronically.
Feel free to check out this article that will help you file and pay taxes in QuickBooks Online.
Keep me posted if there's anything else that you need help with. Take care!
Hello, I was able to pay off most of the payroll taxes. However, there's still one line that is showing up as unpaid. Please see attached screenshot 1. Any idea why this how to mark this paid. The 'Actions' section doesn't provide any options to mark it 'paid'.
Additionally, on my Balance Sheet there are two line items that are showing up under 'Payroll Liabilities'. Please see screenshot 2. Any idea how to clear these liabilities from the balance sheet? Thanks!
Hello @Sajid_Rahim,
Since you're still unable to mark a tax liability as paid even after following the steps shared by my colleague above, I'd recommend contacting our Payroll Care Team.
With their tools, one of our specialists can help close out all your paid taxes outside the system. To do so:
Meanwhile, you can write a liability check to close out and remove the other liabilities showing on your Balance Sheet report. You can read this article to learn more about writing a check: Create a payroll liability check.
In the same manner, I've got you this helpful article for guidance in preparation for the 2020 tax season: QuickBooks Online Payroll Year-end Checklist.
