Their account to set up is free, they use the same email address you use to contact them. The instructions to them should be in the email they get. If it is not then QB needs to know that this lack of info is a problem. From 1099 efile instructions>

You should not have to invite them yourself to access their online 1099 but the email they got should be pretty clear about them having to set up a free account if they do not yet have one.

Can you get a copy of one of their emails and post just the basic text without any personal details to see what they are seeing?

I have a question also,

As a bookkeeper, I submitted the 1099's electronically, the contractor received an email to View the 1099, but then said that the invitation was expired?  what should I do?

Thank you for posting here in the Community, @irivera.

You can resend the invite to your contractor to view their 1099. Let me show you how to do this.

  1. On the left panel, hover your mouse on Workers and click on Contractors.
  2. Select the contractor's name
  3. Select Edit.
  4. Remove Business ID No.(this can be either SSN or FEIN), and select Save. This way, the system will be triggered to provide a new invite option.
  5. Hover your mouse on Workers, click on Contractors
  6. Select the contractor's name
  7. Select Send email.

Your contractor will then receive an email to complete his/her information, specifically the one you've deleted. Once completed, he/she will then receive another login email. Then, he/she will be able to his/her From 1099.

Feel free to read this article for more information: Invite a Contractor to Add Their Own 1099 Tax Info.

I tried to use this. However, it does not allow me to remove the contractors SSN. It says it is invalid. I have no option to resend their invite.

Allow me to step in and walk you through the right steps on how resend the invite to your contractor.

To successfully remove the SSN, here's how:

  1. Click Expenses, then select Vendor.
  2. Choose the contractor's name.
  3. Click Edit.
  4. In the Business ID No. section, remove the SSN or FEIN.
  5. Hit Save.

Once done, go back to the Contractor's page, select the contractor's name, then click Send a reminder.

After these steps, you can be able to resend the invite to your contractor.

Wow, this is a really user-friendly solution! I'm so glad you all found a way to force people to sign up for QB accounts they don't want while making it super easy for those of us struggling through this software every day. Great job.

Hi there, @Superfit Hero,

When you e-file 1099 forms through Intuit, we mail a printed copy to your vendors/contractors at no additional cost. They can expect their copies within 1-2 weeks after you e-file.

Your vendors have the option to accept or cancel the invitation. It's beneficial for them to sign up the free account so they can access their copies anytime they want.

Please know that I'm here to help you with any QuickBooks issues you may be having. Don't hesitate to leave a message below whenever you need help.

I want to double check here.

So, just to be super explicit:

1.  Vendors will automatically receive an invitation to join Intuit (in my experience, that invitation does not sound optional...sounds like you have to join)

2.  Vendors can just ignore that invitation

3.  Vendors will receive the 1099 via USPS regardless of acceptance or nonacceptance of account

So, I can use the service via QBO.  Every single one of my 1099 recipients will receive a 1099 form by mail.  Those who accept the invitation will also be able to access their 1099s online.

Thank you

Hi @babruins,

It's nice to see your post here in the Community. Allow me to handle your query.

The invitations sent out to vendors are optional. The advantage of this option to invite vendors to create their account is that they'll be the ones to enter their tax info, along with the ability to access their 1099s online.

Other than that, I can confirm that everything else you stated above is correct.

In case you have other questions related to form 1099, take a look at this article: Common questions about 1099s. It's a list of frequently asked questions regarding the 1099 form, complete with answers, as well as related links.

We have an open investigation related to your concern about editing SSN. Our engineers are currently working to fix this issue. You can reach our customer support team to add your account to the list of affected users. This way, you'll be notified of any updates via email.

In the meantime, you can perform this workaround to change the SSN. If you're using the QuickBooks Online desktop app, you can try logging in and updating the details needed. If you’re using Chrome, you have to check the latest version and update it. Then, make a hard refresh by pressing the F5/clearing cache.

Let us know if you have any other concerns. We are here to help.

This option is f*cking garbage. I have a full quickbooks account and vendors have sent me 1099's electronically. But it routes me to QB self employed to download it. I sign in with my QB account and I get a paywall. I can't do anything without paying for a subscription. So I set up a dummy account with a different email address. Now I have a blank configuration of QB self employed and the 1099 is nowhere to be found.

Its CRIMINAL that you're requiring people to sign up for an account to get a document that the vendor is LEGALLY REQUIRED to provide. The link should send people to a download of the document, full stop.

I have an Intuit Account that is in my name and a business name.  A vendor has sent me my 1099 through QBO and when I try to sign into my Intuit account using my email address (which is in my Business Name and my personal name, it doesn't recognize my sign in (probably because the 1099 is issued to my personal name (which is what I want)  how can I access this 1099?  or do I need to wait for the paper copy?

Hello there, @Caroljallencpa.

There isn't a need to wait for the paper copy to view your 1099 with QuickBooks. Let me provide further details about this.

Your vendor has the option to invite you to complete your W-9 information and use our 1099 e-file service through QuickBooks Online (QBO) in filing your form. With this feature, you're able to view and get your copy online using a free QuickBooks Self-Employed (QBSE) account.

Based on your description of the issue above, it seems that you already have the free QBSE account to view your 1099 copy online. You can select the link in the email you've received to sign in to QBSE. From there, input the appropriate user ID and password (the same one you used to fill out your W-9) and view or print your 1099. Here's how:

  1. Sign in to QuickBooks Self-Employed.
  2. Go to the Clients menu.
  3. Select the Forms tab.

In case the system still doesn't recognize your sign in details, you can utilize the Forgot your user ID or password option. This way, you're able to verify your account and let the system recognized your information. Please see the screenshot below for your reference.

In the meantime, I'm adding this article to learn more about 1099s: Common questions about 1099s. It answers the most frequently asked questions regarding the form and provides all the necessary related links.

Let me know how it goes in the comments below. If you have other 1099 concerns, I'm just around to help. Take care always.

Additional information.  I do have QBSE and QBO and Mint.  I am a QB Pro.  I can sign in to all my accounts using my email address on file and my current password.  I don't really want to change my PW, but I do believe I tried that last year and it still didn't work to access the 1099.  In fact when the vendor sent me the link to enter my self employment information, I was not able to do that using my current accounts.  I think it's because my accounts are associated with a business name and the 1099 is issued in my personal name.

Hello there, Caroljallencpa.

As long as the program recognizes the email added in the 1099 and your account, you can access the 1099 form. Since you've signed in successfully for QuickBooks Self-Employed (QBSE), you should normally access the 1099 form once you click the link in the email you received.

You can ask your vendor to resend the form with the correct information you've used. However, I'd recommend reaching out to our support team to look into this in detail and figure out why the 1099 form cannot be viewed in your account. This can help you identify what triggers the process and know the things that are needed to fix. Also, they check your account information.

You can also use the QB Assistant window to get in touch with them. For more details, check out this article: Contact QBSE Support

It "invites" people to create an account for a TRIAL of QB self-employed. What if they got the option last year and created the account, and now they try to pick up another 1099 this year? I'll tell you what happens, they get blocked by a paywall with no other options! I'm not paying for QB self employed just to pick up a 1099! You guys haven't thought this through at all. Its ridiculous.

Exactly. I'm encountering this for the first time as a vendor. This is complete garbage -- no surprise with one of the most ethically-challenged companies on earth, which lobbies actively against the IRS offering a simple direct filing option. So why would't they try to trick small businesses into paying for a subscription to get a 1099? The email I received says I can download the 1099 from a "free" account. So Quick Books lies.

Garbage.

I appreciate you joining in this thread, Kaufman.

Yes, you can obtain copies of 1099s by printing them in QuickBooks Online. Here's how:

  1. Click the Expenses tab and choose Vendors.
  2. Select Prepare 1099s.
  3. Walkthrough the module until you reach Step 5 - File.
  4. Choose I'll file myself. Complete the on-screen instructions to print the forms.

Once printed, you can mail it to your vendors. To know more about this process, check out this article: How do I print my 1099 forms?. On the same link, you'll find a write-up about the new 1099-NEC form in QuickBooks Online.

Additionally, you can also visit this link: Create a 1099 report for vendors and vendor payments. It provides more details on you can manage your 1099s as well as what report to pull up to track their payments.

This should keep you moving today, Kaufman. Don't hesitate to let me know if I can be of additional assistance while working in QuickBooks or need more help with 1099s. I'm always here to keep helping. Have a good one!
