I have QB payroll enhanced. Will w -2's automatically get mailed out to employees?

QuickBooks Online Payroll helps you easily manage in filing your taxes and forms. If the electronic filing is turned on, you can automatically send the W-2 forms. However, you’ll have to print and send them to your workers.

The W-2s need to be postmarked by February 2 and received within 7 business days after the postmark. Also, your employees can view them online by logging into their QuickBooks Workforce account. If you haven’t added this feature to their profiles, let me help and guide you through the process.

1. Navigate to the Payroll menu on the left panel to select Employees.
2. Press the Add an employee button.
3. This will open a page where you can enter the worker’s information.
4. Make sure to type the email address in the Email field located in the Personal info section.
5. We'll send an invitation for your employees to view their pay stubs and W-2 with QuickBooks Workforce.
6. Choose Ask this employee to enter their personal, tax, and banking info with QuickBooks Workforce checkbox if you wish the new worker to add their personal information.
7. Click Done.

Next, your employees will receive an email with a link to set up and use QuickBooks Workforce to add their personal info (if you selected this option) and view their pay stubs and W-2s. Once they accept the invitation, they can create their own Intuit account. However, if you haven’t activated any of these features, manually file and print the W-2 forms and send them to your employees by February 1. Go to the QuickBooks Online Payroll Enhanced section in this article to view the complete instructions: Print your W-2 forms.
