Let me help you update your payroll bank info in QuickBooks Desktop (QBDT). Before we proceed to the steps, ensure to gather the following info first:
 

  1. Get your bank info. You can find your bank name, routing number, and account number on a check.
  2. You may be asked for your principal officer’s physical address. This can't be a P.O. Box. As a licensed money transmitter, Intuit Payments must comply with legal requirements, applicable laws, and regulations.
  3. Get the Payroll PIN you use for sending your payroll to Intuit.

 

Once done, update your bank account information in your chart of accounts. This is important so your payroll transactions post to the correct register in QuickBooks.

 

Then, verify if you don’t have any pending tax payments or payroll transactions. This way, we can ensure your bank account change is successful and the payroll funds withdraw from the correct account. 

 

Pending tax payments (QuickBooks Desktop Payroll Enhanced only)

  1. Go to the Employees menu and select Payroll Center.
  2. Click Pay Liabilities and select the E-Payments tab to view any pending tax payments.

Pending payroll transactions

  1. Click Employees and select Payroll Center.
  2. Go to the Payroll tab and view any pending payroll transactions.

 

After setting up your bank, you can now update its information in QuickBooks Payroll Account Management Portal. Please follow the steps in this article for the complete process: How to change your bank account with QBDT Payroll service.

 

When you're done, you can now pay your employees.

  1. From your QuickBooks Desktop account, click the Help menu at the top.  
  2. Click the QuickBooks Desktop Help menu and select QuickBooks Desktop Help.
  3. Provide some information about this concern in the search box.
  4. Click the Contact Us link at the bottom of the window. 
  5. You'll now be provided with a few support options.  
  6. Select Get a call to arrange a callback from a support agent. Or Start a chat to chat with them directly.

  1. Go to this Support link and choose QuickBooks Desktop from the dropdown menu. 
  2. Click on Continue

I am so there with you I have the exact same problem. And have had it "fixed" like 3 times. It always seems to "inactivate" right as monthly payroll is running 

This is very frustrating  and QB has lousy help.

This is no help if it keeps happening. there is clearly a glitch in the system as this is happening to more than one person. FIX IT QB!

If I were in your shoes, I'd also get frustrated. So, I'm jumping to this thread and turn the tables around and ensure you're able to use your payroll service. 

 

You might've encountered or tried these steps but let's do the following steps to help you resolve the inactive payroll subscription. 

 

Before we do anything else, let's ensure QuickBooks is updated and your payroll tax table has the latest release

 

We can resync the subscription data between QuickBooks and our system. One way to do this is to revalidate your service key. Here's how: 

 

  1. Click the Employees menu.
  2. Hover on My Payroll Service, then select Manage Service Key.
  3. Select the service name, then hit Edit
  4. Re-enter the service key, and hit Next
  5. Follow the on-screen prompts to complete the process. 

 

If it still shows as inactive, then there's an issue with the paysub.ini file. We can delete it from your system. Here's how: 

 

  1. Make sure to display hidden files or folders first before searching for the file. 
  2. Open the Windows' Search feature and type Paysub.ini.
  3. Right-click on it, then select Delete.
  4. Repeat the same steps until all paysub.ini files are deleted.

Hey I had tried all that before I posted.  The issue is that there was, AGAIN, something wrong on the back end at Quickbooks. For the second time in a row, after finally getting an agent on the phone at QB,  they walk through all the steps (AGAIN) and then "check with the back end". After checking with the back end they say "okay they fixed the issue at our end here " or the equivalent, and then when I refresh payroll (note did not have to even close QB)  the subscription is active (or rather showing active in the one place it wasn't).

 

So you guys have a "back end" issue.  FIX IT

Revalidating your payroll service key should fix the issue. Before performing the steps, please make sure to update your QuickBooks Desktop (QBDT) to the latest release and get the newest payroll tax table version. This way, you can keep your software up-to-date and get the latest available features and fixes.

 

Once done, follow these steps to validate your payroll service key again:

 

  1. Open your QBDT file.
  2. Go to the Employees tab.
  3. Click on My Payroll Service, then select Manage Service Key.
  4. Select the service name, then hit Edit
  5. Re-enter the service key, and hit Next
  6. Follow the on-screen prompts to complete the process.

This is the second time this has happened 1st time was 9-29-24 and now again the end of october  My account is paid in full and yall are using my money and I still have a defective product   I need this corrected as soon as possible

First off, may I know if you already followed the troubleshooting steps provided by my colleague above including revalidating your payroll service key? If not, I suggest doing so.

 

However, if you already followed the instructions above, it's possible that your account was on hold. I recommend checking your email if you receive a notification since we usually send emails if there's an issue with your account.

 

If there's not, I suggest reaching out to our support team. They are equipped with tools to check your account internally and investigate this issue further.

 

Here's how:

 

  1. From the Help menu, select QuickBooks Desktop Help.
  2. Scroll down and click Contact Us.
  3. Enter Payroll subscription says inactive.
  4. Click Continue.
  5. Select either Message an Agent or Get a callback from us.
