Payroll page shows unnecessary CA DE 9 / 9C payroll items?

Our instance of QBO has reminders / action items under the payroll section for:

  • CA DE 9 (4th quarter of 2020) filing [File now]
  • CA DE 9 (4th quarter of 2020) filing [File now]

 

This doesn't make much sense to me as we're a non-profit domiciled in North Carolina with no operations of any kind in California.  Is there some setting to remove this from the reminders/tasks list?

Let's sort it out, @tu_ultimate.

 

The CA work location may have been set up in the Payroll Settings. That's why QuickBooks Online Payroll (QBOP) showed this prompt as if you need to file the state form.

 

To check this, I'd first recommend running the Multiple Worksite report from the Reports menu. Then, custom the Date Range specific to the period it appears on the forms. This will help you verify if you have an active CA work location and their corresponding employees. I've attached a screenshot below of what the report looks like in QBOP.MultipleWorksiteReport.PNG

 

One of your employees may be residing in CA, you may need to update their residence location that causes this payroll tax form to appear. You can check the multistate employment payroll situations article for more information. You can change the employees work location if needed.

 

Second, let's archive the form CA DE 9  to remove the notification in QBOP. I'll guide you how. 

  1. Go to Taxes from the left menu. 
  2. Select Payroll Tax.
  3. Click Quarterly Forms under Forms
  4. Choose CA DE 9
  5. Select the liability period.
  6. Hit Archive.

Lastly, let's make the CA work location inactive from the Payroll Settings. This way, the notification will disappear in the next quarter.

  1. Go to the Settings (Gear) icon at the upper right. 
  2. Select Payroll Settings under Your Company
  3. Click Work Locations under Business Information.
  4. Click the location that belongs to CA.
  5. Check the Inactive box. 
  6. Click Save.

 

These steps will help remove the CA DE9/ 9C. In case you need to file forms, you can reference this article for the process: Filing Quarterly Tax Forms

 

Additionally, you can go to the Payroll Tax Center to review the e-filing statuses if you have filed forms.

Thanks for the answer.  Couple of issues:  when I run the multiple worksites report, all it says is "This report does not apply to your company".

 

Also, in the Payroll Settings, there is no "Business Information" link in our QBO instance.

 

Other ideas?

Since the steps provided by my colleague @Jovychris_A didn't work for you, I suggest you contact our Technical Support team for further assistance. They can pull up your account within a secure environment, and investigate as to why you have this prompt to file a CA tax form.
