Payroll Tax Withdrawal Inaccurate in Chart of Accounts

A warning for QuickBooks Online Payroll Customers

QBO Payroll has created two inaccurate transactions in my bank account’s chart of accounts, they do not match the actual bank withdrawals nor the payroll tax payments.

In one case, the transaction was initially recorded correctly, and I matched it to the bank feed transaction. 10 days later, "System Administration" edited the transaction amount to an incorrect value.

After spending hours with QBO Payroll support, they have refused to correct the issue and instead suggested I hire an accountant to make manual journal entries to reconcile the accounts.

How can customers trust a system where transactions can be altered after the fact, making them inaccurate, with no process to review or correct them?

There are some reasons why there are transaction change and the System Administration message prompts on your end, CCG. The reasons are due to integration QuickBooks with a third-party app, recurring transaction, and updating your bank feeds. I will ensure that we address and resolve this issue to ease your worries.

Let's double-check in the audit log to review the affected account or transaction and re-enter or edit your bank register.

Follow these steps below:

  1. Go to the Gear icon and select Audit Log.
  2. In the report window, filter the Date Changed and Events to narrow down the results.
  3. Click View on the transaction under the History column.
  4. You can take note of the original details from the Audit History or Transaction History and re-enter the transaction in your bank register.

To correct and keeping your chart of accounts organized, you can also add new or delete accounts to track different transactions.

To delete an account, here’s what you’ll need to do:

  1. Click on the gear icon at the top.
  2. Under Your Company section, select Chart of Accounts (COA).
  3. Look for the account that you want to delete.
  4. In the Action column, choose the drop-down then click Delete.
  5. Click Yes when asked if you want to delete.

Here's how to add new account:

  1. Go to Gear icon ⚙ and select Chart of accounts.
  2. Select New in the top right corner.
  3. Click on the Account Type drop-down to select the account type.
  4. Select the Detail Type to specify the type of account that you want to add.
  5. Enter the name of the account in the Name field.
  6. You have the option of including information in the Description field and an amount in the Balance field.
  7. Click Save and Close.

This AI generated response is irrelevant to the issue.

For starters, there is no error message.

Second, this is acting as if the user can edit a transaction generated by the QBO Payroll service, which as far as i am aware, they cannot. Obviously, if i could edit it i would.

Third, why should i need to pay for an additional service to correct a bug in the QuickBooks Payroll service that i already pay for?

I have the same issue. They want us to pay one of their accountants to fix the problem they created.

Thank you for joining the conversation, livewire, and sharing your experience with QuickBooks Payroll. I recognize your frustration and completely understand the concern about being asked to pay for a problem you didn't create. Rest assured, we take this matter seriously. Let me address your concerns and provide insight into the possible reasons for the changes made in QuickBooks Online.

System Administration events in QBO reflect automated changes to maintain data integrity and consistency. These events can occur due to various scenarios:

  • When you modify a record, it can trigger changes in related documents. For instance, if you edit a payment to link it to a different invoice, you might notice a System Administration event showing a change to the original invoice.
  • Connecting a third-party app to QuickBooks can generate changes. These occur when the app transmits data to QuickBooks or alters your existing data.
  • Creating recurring transactions, such as recurring expenses, can lead to System Administration events. When QuickBooks automatically adds an instance of the recurring transaction to your books, it logs this action as a System Administration event.
  • Some events happen automatically, even when you’re not signed in. For instance, there's an update to your bank feeds.

For a more comprehensive understanding of this feature, please refer to this article: Use the audit log in QuickBooks Online.

If the scenarios described don't align with the changes you've observed, I recommend contacting our support team. They have advanced diagnostic tools to review all settings and verify system changes to your account, ensuring a thorough investigation.

Additionally, you can run various reports in QBO to examine different aspects of your business and ensure that all your entries are tracked correctly.

I hope this explanation clarifies the nature of System Administration events in QBO. These automated processes are designed to maintain the accuracy and consistency of your financial data. If you have further questions or concerns about these changes or require assistance with your QuickBooks account, please don’t hesitate to reply below. We're here to ensure you have the best possible experience with our software.

This is more AI generated garbage. The issue is not finding that the transactions were changed by the sys admin events to be wrong, its how to correct them.
