Quickbooks Payroll Direct Deposit - Wrong Company Account

We are trying to process Direct Deposit Payroll for the 1st time. I have setup Direct Deposit to withdraw funds from Checking Account A. This was verified via transfer a few weeks ago. While processing payroll, we confirmed that the paychecks were drawn from Checking Account A. However, when came time to send the payroll data to Intuit, we received a message that "The total amount that Intuit will debit from your account exceeds the balance in Checking Account B..." There doesn't appear to be an obvious way to fix this.  This is not the account that we had verified for Direct Deposit nor is it the account payroll checks were to be issued from. 

Any suggestions?

FYI...we have a 2nd company starting Direct Deposit as well, but no issues with that one despite multiple checking accounts.

I appreciate you for providing detailed concerns and confirming where the paychecks were drawn from. I'm here to ensure your payroll transactions and tax payments will be posted to the correct account in your QuickBooks Desktop Payroll. 

 

Let's check your default bank account in your preferences to verify if you're using Checking Account in processing payroll. 

 

Here's how: 

 

  1. Select Employees then hit Send Payroll Data.
  2. On the Send/Receive Data window, choose Preferences.
  3. In the Account Preferences, select the Checking Account A from the dropdown.
  4. In the Pay Payroll Liabilities with ▼ dropdown, pick your new bank account. 
  5. Tap OK, then press Close

Once confirmed and the issue persists, I'd recommend communicating with our Payroll Specialist. They can conduct an investigation of your account in a safe place. 

 

Here's how: 

 

  1. Go to the Help menu, then choose QuickBooks Desktop Help
  2. Type your concern in the box and hit Let's talk
  3. Choose an option and complete the request to reach them. 

 

You can also utilize our direct chat to contact them. Also, please call them within business hours to guarantee we address your concern promptly. 

 

Additionally, you can always check the paycheck's status by going to the View payroll Run Status and then hit Selected payroll. You may refer to this page: Check the status of an employee's direct deposit.

Quickbooks Payroll Direct Deposit - Wrong Company Account

Checking account B was indicated in the preferences for payroll. That is now corrected. Even though I processed payroll and the checks were listed as $0.00 in checking account A, the payroll funds are shown debited from checking account B for Intuit payroll services.

 

In reality, I believe the funds will actually be withdrawn from the correct checking account (A). However, within QuickBooks, it is coming out of the wrong account. It appears that the direct deposit is setup correctly to the proper account, but is tied to the incorrect account within QuickBooks. See attached screenshot.

 

When I try to edit this in My payroll/Accounts and Billing, it tells me I have to update Quickbooks Desktop before I can edit Direct Deposit info. Ironically, QuickBooks did a complete update already this morning.

 

Not sure what else to do.

Let's isolate this unexpected behavior by making sure that your payroll tax table and QuickBooks is updated to the latest version. This makes sure that the program displays the latest features and downloads needed patches to resolve unexpected behavior when updating payroll information.

  1. Go to the Employees menu.
  2. Choose to Get Payroll Updates.
  3. Tick the Download Entire Update checkbox.
  4. Hit Download Latest Update.
    • A window appears when the download is complete.

Once completed, make sure to restart QuickBooks to ensure that all components are updated. Then, you can start updating your QuickBooks software. Here's how:

  1. Open QuickBooks.
  2. Choose the Help menu.
  3. Select Update QuickBooks.
  4. From the Update Now tab, click the Get Updates button

Now, you can try running a dummy payroll to verify if its deducted from the correct bank account. 

 

If the issue persists, running the Verify and Rebuild tool to isolate this unexpected behavior. This is a built-in tool that auto-detects and auto-fix data damage issues within QuickBooks.

  1. Open your QuickBooks company file.
  2. Choose the File menu.
  3. Select Utilities.
  4. Click Verify Data.
  5. Pick OK when you see the message QuickBooks detected no problem with your data. You may continue using your company file.

Once the Verify finds an issue with your QuickBooks data, you will be prompted to Rebuild Now or View Errors.  You can refer to this article for more detailed steps: Verify and Rebuild Data in QuickBooks Desktop.
