Change your direct deposit bank account for QuickBooks Desktop Payroll

Learn how to change your direct deposit bank account for QuickBooks Desktop Payroll.

Want to change the bank account that your direct deposit funds are withdrawn from? No problem. You can do that right from QuickBooks, or you can Fax or Mail us the info you want to change. Here's how.

Note: If you have QuickBooks Desktop Payroll Assisted, please contact us to change your bank account info instead of following these steps.

Step 1: Add your new bank account in QuickBooks Desktop

If you haven't already, set up your new bank account the QuickBooks Desktop chart of accounts.

Note: We don't recommend using a savings account as your funded payroll account. If you prefer to use a savings account, please note that your bank may place a limit on the number of transactions that take place in a given time period. Intuit will not be held liable for any fines or rejects that transpire due to limitations that may be applied on the savings account.

  1. Select Lists, then Chart of Accounts.
  2. Select the Accounts button, and then select New.
  3. Select Bank, and then select Continue.
  4. Enter your bank account information
  5. Select Save & Close to save your changes.

Step 2: Update your bank info in Payroll

Now that you've set up your bank and can track it in QuickBooks Desktop, it’s time to update the information in QuickBooks Payroll Account Management Portal.

  1. Select Employees, My Payroll Service, then Accounts/Billing Information.
  2. Sign in using your Intuit Account login.
  3. Go to Payroll Info section. Under Direct Deposit Bank Account select Edit.
  4. Enter your payroll PIN then select Continue.
  5. Enter the new bank account details, and then select Update.
  6. Wait for the confirmation, and then select Close.

Now, update the account that direct deposit paychecks and fees will post to if necessary.

  1. Select Employees, then Send Payroll Data.
  2. On the Send/Receive Data window, select Preferences.
  3. In the Account Preferences, select the new bank account from the dropdown list.
  4. Select OK to save your changes.
  5. Select Close on the Send/Receive Data window.

Step 3: Verify your new direct deposit bank account

  1. Select Employees, then My Payroll Service, then Account/Billing Information.
  2. Sign in using your Intuit Account login.
  3. Go to Payroll Info section, under Direct Deposit Bank Account select Verify.
  4. Enter and confirm your payroll PIN.
  5. Select Submit.
    • Change the default bank account to use when creating paychecks in QuickBooks Desktop.
    • Change the bank account where payroll fees will post in QuickBooks Desktop.

Update your bank account via fax or email

If you don’t want to update your bank account info within QuickBooks, you can update it via fax or email.

  1. Download the Direct Deposit Bank Account Change form.
  2. Fill out the form and send it to Intuit. You can submit it two ways:

You'll need to activate the new bank account if you want your next Direct Deposit payroll to debit from it. If you need to pay your employees but have not completed the bank account verification and activation steps, you will need to issue paper checks.
