941 not capturing SS wages

I have prepared 3 941s for 2q20 this week and each time it is not capturing the SS wages.  This results in looking like the payroll tax deposits were overpaid on the form.  When I went and entered the wages into the field, the totals all were then correct.

Thanks for reaching the Community space, @dmcsbb.

I'm here to provide additional steps to get QuickBooks Desktop (QBDT) to populate the Form 941 correctly.

First, let's update your QuickBooks Desktop to the latest release. It gives you a better experience and fixes any software-related issues. I'll guide you how.

  1. Select Help from the top menu bar.
  2.  Choose Update QuickBooks Desktop.
  3. Go to the Update Now tab, then tick the Reset Update checkbox.
  4. Select Get Updates to start the download.
  5. When the download finishes, restart QuickBooks.
  6. When prompted, accept the option to install the new release.

Second, let's download the latest payroll tax table. It provides you the most current and accurate rates and calculations for supported payroll tax forms, such as your 941. Here's how:

  1. Go to Employees from the top menu.
  2. Select Get Payroll Updates.
  3. Check the Download entire payroll update box.
  4. Choose Update.

For more information, view this article: Getting The Latest Payroll Tax Table Update.

I'd suggest visiting this website: 941 Overview. It contains in-depth details about how QBDT populates the lines on this form.

I've added an article that will help you in preparing and filing Form 941, Schedule B, and Form 940 in QuickBooks Desktop.

I'll be right here to continue helping if you any other concerns or follow-up questions. Stay safe and have a pleasant day ahead.

941 not capturing SS wages

Thank you, Joesem, I've been doing bookkeeping and payroll for over 20 years so am quite familiar with tax table/quickbooks updating.  I always download payroll updates as soon as they pop up before I do any payroll transactions/forms.  This event occurred at 3 different client offices and different versions of quickbooks desktop.  There seems to be an inherent problem with the revised 941 and I would suggest the IT people take a look to see why this is happening.

Yes, the issue is that the 941 form requires a QB update, but nowhere is that mentioned in the payroll updates, nor are you notified when you run the form that the data from QB is in an old style that is no longer sufficient for the form.

Both of these things, to tell customers to update and to warn them if they don't, could have been done by Intuit - the mechanisms exist and they've done it before - but they didn't this time.

I guess it's just the 941 form. I mean, how may customers create one of those?
