How do we access W2s after switching to online Quick Books payroll? I've been trying to communicate through customer service and am VERY baffled . Almost like Intuit is really not the parent company of both quick books online and quick books desktop ....I'm shuffled back and forth and left without an answer. Surely there is a way to access this information after paying for the service for 20+ years.

Once you receive an error message that you need to upgrade, it means the product you're currently using has already expired or is unsupported. Intuit will suggest upgrading QuickBooks Desktop to the latest version or migrating to QuickBooks Online (QBO) Payroll.
Since you've mentioned that you're using an Assisted Payroll, I'd recommend contacting our Payroll Support Team. This way, they can provide the W-2s that were previously submitted by the system.

There are several limitations when importing payroll data to QuickBooks Online since the Desktop has more payroll features. For now, migrating payroll forms is unavailable. You can open the previous forms from QuickBooks Desktop. Just make sure to check the file path where payroll forms are being saved. I'll share some information on how you can check for the file path to access those locally saved W-2 and other tax forms.
The file or folder where the payroll forms are being stored is located where the company file is saved.
We can check the file path by pressing on F2 while QuickBooks Desktop is opened. Check the Location section under FILE INFORMATION.
Alternatively, we can contact the IRS and request for the old W-2 forms that you filed, provided that you're unable to get the old W-2 in your local drive.

I've found the appropriate location folder for the saved company files but not seeing anything labeled W-2s.
Also....Quick Books Assisted Payroll filed the W-2s ....can we access those copies ?

You're right that QuickBooks Desktop Payroll Assisted will pay your payroll taxes and file tax forms for you. And the good thing in this version, you can view and print filed forms through the Payroll Tax Center in your QuickBooks product.

Yes, that would work perfectly except with lots of urging from Intuit we switched to Quick Books online and now we cannot access that from Quick Books Desktop.

Before we begin, may I know if you're an employee attempting to access your W-2 form online? If so, have you received an email invitation from your employer and created an Intuit account for QuickBooks Workforce?
If you haven't received any email invitations from your employer, I recommend reaching out to them and requesting an invite for QuickBooks Workforce. This will grant you access to your W-2 form online. Once you receive the invite, you can set up your own Intuit account and easily view your W-2.
