Accidentally voided a paycheck from prior quarter.

Hi, I process payroll for my client's company. I have a situation that I used Quickbooks to void an employee's paycheck for period 2/15/2020 accidentally in Sept 2020, which had e-paid the payroll tax. During I processed payroll for period 9/30/2020, there was a CA personal income tax refund record and a CA payroll tax refund record of that employee for period 2/15/2020. Now the employee is terminated, can I recreate a paycheck with the same check date 2/15/2020 and repay the refund tax with 9/30/20 tax payment? Will it be subject to backdating fee? Do I have to amend 1st quarter 2020 quarterly tax return?

Let's recreate the voided paycheck, lulu09.

 

First off, please be sure to back up your file before touching your records to avoid an accidental loss of a transaction again.

 

Yes, you can recreate the paycheck with the same information. Then, delete and re-create the tax payment for that quarter. You can write a memo in every transaction you make for your reference in the future.

 

With regards to the fee for backdating the paycheck, yes, this will be subject to it. About tax return amendments, I think you won't need to do this since you're just recreating a voided paycheck and the tax payment/s. However, it would still be safer to ask advice from a tax advisor or an accountant.

 

That will do it. Always remember to back up your file.

The main issue is I voided the wrong old check in current period, so quickbooks calculated the refund in my current period tax. So I assumed

1. I need to re-create the check (which is doable according to the answer)

2. I need to somehow supplement the tax for the current period (would quickbooks be able to do that?)

3. I do NOT need to pay backdating fee because it is merely a data change on my end. I did not miss any tax payments or anything, nor require any amendment. Being able to supplement the tax should be enough to fix my situation. (is that a correct understanding?)

In this case, I would recommend contacting our QuickBooks Desktop Support team. That way, they can thoroughly check your payroll data, and they can help you with the system-generated fee when backdating the paycheck.

With regards to the IRS refund, it's best to contact the IRS to check if you'll receive a refund for the incorrect paycheck that you've accidentally voided. You can get IRS phone numbers from their website: IRS Help.
