Can a project be deleted after it is completed?

Our company uses QuickBooks Time for our contractors to clock in/out on projects.  Once the job is completed and/or is old, can it be deleted so it doesn't keep showing up?

Can a project be deleted after it is completed?

Yes, it can be deleted, @info-rhettwalker. I’m glad to walk you through the steps so they’ll no longer appear on your active project list.

Before that, make sure there are no open transactions associated with your old or completed projects. If they still have balance or entries involved, you need to move them to another project, sub-customer, or customer first. Then, you can follow the outlined steps below to delete them:

  1. In your QuickBooks Online account, go to your Projects menu.
  2. Locate the complete/old project.
  3. In the Action column, select the Options dropdown and choose Delete.
  4. Select Yes to confirm.

Please know that entries linked with these projects will remain to keep your books intact. Furthermore, they can still be retrieved in case you need adjustments. Just tap the Small gear icon at the right side of the screen and select Show deleted projects, then choose Undelete and mark as in progress/completed or canceled.

You can also go to your Activity feed (Project menu) in QuickBooks Time or TSheets to delete your completed client’s project. However, it can’t be recovered at this time. Here’s how you do it:

  1. Open your Tsheets account.
  2. Within the Project page, select the Three stacked dots next to the project to be removed.
  3. Click Delete or select In Progress first, then Delete.

Here's an article that contains details about using projects, how to handle your labor costs and profitability efficiently: Track hourly labor costs and profitability by a project in QBO. By following the steps, your records will surely organize and accurate.

If any other questions arise or you have additional concerns about projects, never hesitate to add comments or mention me anytime. I’ll always be here to ensure all is covered for you. Have a good one!

Can a project be deleted after it is completed?

Can projects with linked time be deleted? I am getting an error that says all time entries linked to the project must be removed.  The time entries are marked as not billable.

Hi there, @TWillisDSCPA.

Do you need to move the time entries to another project? The error message will appear if these non-billable time entries are synced from QB Time. Not to worry, you can unapprove and unlock them. This allows you to edit or delete the entry in QB Time.

Here's how:

  1. In QuickBooks Online, go to the Time menu and then Time entries.
  2. Use the Filter tools to narrow down data.
  3. Locate the time entries you want to edit or delete.
  4. Click Unapprove under the Action column.

Once done, head to QB Time and edit the entries.

  1. In QB Time, go to the Approvals.
  2. Modify the report dates and then click Run Report.
  3. Select the Unapproved tab.
  4. Find the time entries and click the view details link.
  5. Hover your mouse to a time entry and select the Edit or Delete icon.
  6. Follow the onscreen instructions to transfer it to a new project or delete it.

Finally, go back to QBO and delete the project. You'll also want to check out this article to learn more about managing projects: Projects FAQ.

Get back to me if you have other concerns about projects. I'll be around to answer them all for you. Keep safe and have a good one!

Can a project be deleted after it is completed?

We definitely want the time to remain with the project for job costing purposes.  Is it possible to delete with the time still linked?

Can a project be deleted after it is completed?

Hey there, @TWillisDSCPA

Thanks for chiming in on this thread again.

I can see how beneficial this could be to delete a project with the time still linked. However, the system won't allow deletion of anything that is tied to timesheets.

You can send feedback to our Product Developers so they can consider adding this in the near future.

I'm only a post away if you need me again. Take care!

Can a project be deleted after it is completed?

We're glad you've posted here in the Community, LOrozco. Let me add details on managing projects in Quickbooks Online (QBO).

Beforehand, may I know what specific steps don't work on your end? Or is there an error message you've encountered while deleting or editing your projects? Knowing this would help us provide the appropriate solution to your concern.

Moreover, as my colleague has mentioned above, you can delete a project if it has no transactions and no balance owed. If you need to delete an active project with a balance, move the transactions to another project, sub-customer, or customer first. Then you can delete it.

If in case it doesn't let you move transactions to another project, please know that you can't move them to inactive or deleted projects. You'll need to make the deleted project active again to transfer transactions.

Here's how to make the project active:

  1. Go to Projects.
  2. Click the small Gear icon in the top-right section of the project list.
  3. Put a check on Show deleted projects.
  4. Click the down arrow beside the Options setting of a deleted project.
  5. Choose Undelete and mark as in progress.

I'll be adding this article detailing efficient project management, labor cost handling, and profitability: Track hourly labor costs and profitability by a project in QBO

Please feel free to post here again if you have additional questions about deleting or editing projects in QBO. We're always here to help you out. Stay safe.
