Change of Terms: Employees automatically required to set up an account

Just got an email today from QBOL payroll:

"Instead of having to manually invite employees to Workforce, we'll automatically invite employees to create a QuickBooks Workforce account. We'll invite employees using their contact information from QuickBooks Payroll. We'll start inviting current employees who are set to active and getting paid and when you add new employees, they'll be invited automatically. "

This is an intrusion into my and I don't want it or support it. I am actively looking for alternatives to payroll as a consequence. This should be an option.

Change of Terms: Employees automatically required to set up an account

Thank you for reaching out to us, @fh276.

I'll be glad to help you with your payroll concern.

I do understand that you are not interested in the change of terms of automatically adding your employees. This would only apply based on the contact info of the employee (for existing profiles) and it is automatic when adding new.

You can also check the article: How to invite your employees to QuickBooks Workforce for more information about payroll invites.

We're always here in the Community to help if you have other questions related to QuickBooks. Stay safe!

Change of Terms: Employees automatically required to set up an account

My employees are already using Workforce. Will they still get an invitation? If so, I foresee a cluster of problems as some try to re-sign up or continue to receive invitations to sign up.

Thank you for coming to the Community, Milester.

Yes, they'll still get an invite and I can help you resend it to an employee for the workforce.

Here's how:

1. Go to Workers and select Employees

2. Find the employee you need to resend the invitation to.

3. In the Personal Info, choose to Resend next to "Invite this employee to view their pay stubs and W-2's Online.

4. Click Done. This will send a new email invitation to the employee.

Note: Employee will use their existing username and password.

Thanks for getting back to us, @Milester.

Yes, you're employee still receives an invitation to Workforce. However, you can tell your employees to disregard the invitations to sign up or re-sign up since they already using Workforce. This is to avoid any issues when logging in to their account.

In case you need to resend an invitation to your employees in the future, you can follow the steps shared by my colleague above.

Also, let me share this article for additional resources. It provides an overview of the tasks you can do using the Workforce feature. Also, it contains answers to common questions: QuickBooks Workforce.

Change of Terms: Employees automatically required to set up an account

Does anyone have any information on when this automatic invite option became active for QB Desktop?

Change of Terms: Employees automatically required to set up an account

Thanks for choosing QuickBooks in processing payroll, jray2629. I know how important it is to automatically send an invite to your employees. I'm here to share some insights.

Having an automatic invite option in Workforce is a great functionality. Since this feature is unavailable, I'd recommend sending a feature request directly to our Product Development team. This helps us improve your experience and the features of the program.

Here's how:

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

Also, you can track feature requests through the Customer Feedback for QuickBooks Online website.

For more details about managing employee invites, please see this article: See Pay Stubs, W-2s, and More.

In case you'll need to modify employees' info in QuickBooks, I'd suggest checking out this article for the detailed steps:  Change Workers Details in Payroll.

I'm still here if you have other questions about inviting employees, jray2629. Please post your questions here, and I'll respond as soon as possible. Keep safe!

This automatic feature is available and active in my QB Desktop Enterprise 21 version.  I'm just trying to find out WHEN it became active so I can figure out which of my newer employees have received the automatic email.  I have copies of the emails sent to my two newest employees.

I see the importance of informing your employees about the automated invitation, jray262

We started rolling out the update on April 30, 2021. However, I'm unable to check when this automation became active on your account since I don't have access from here. I recommend contacting our QuickBooks Desktop Payroll Support, so they can get your account details in a more secure environment and check it for you.
