EXPORT PAYROLL TO DESKTOP MAC

I'm here to ensure you're able to export employee checks from QuickBooks Online to Desktop for Mac, @jheselius.

In preparing your transactions in a spreadsheet file, make sure that the items on it match the template on QuickBooks. This way, you'll be able to export them successfully.

To do this, here's how:

  1. Go to the File menu, then choose Import.
  2. Select Transactions and the transaction type you want to import.
  3. Choose the gear menu, then click Export Table Template.
  4. Enter a name, then save the template. This downloads the template in a .CSV (spreadsheet) file.
  5. Open the template on your spreadsheet application.
  6. Attach your transactions to the template, then save your work.

When you’re ready, here’s how to import your transactions.

  1. Open your spreadsheet file.
  2. In QuickBooks, go to File, then select Import.
  3. Choose Transactions, then the transaction type you want to import.
  4. Copy the transactions from your spreadsheet and paste them on the import window.
  5. If everything looks right, click Import.

If the same thing happens, you can use an IIF file as another option.

  1. Go to the QuickBooks payroll website.
  2. Choose the employees and then the paycheck list.
  3. Click on the box to the left of the paycheck you want to export.
  4. Look for 3 boxes Print/Export to Accounting/Void
  5. Click Export to Accounting.

EXPORT PAYROLL TO DESKTOP MAC

Hi there, rtovinpainting.

Welcome to QuickBooks Community. This isn't the kind of impression that I'd like you to have, and we know how much time it can take when something isn’t working the way you need it. With this, I'll be sharing different details about exporting Online Payroll to QuickBooks for Mac to ensure your matter be addressed.

Standalone Payroll Product, QuickBooks Online Payroll (QBOP), and QuickBooks Desktop (QBDT) for Mac have various platforms. The QBOP version is both payroll and accounting software combined. If you're using the said version, you'll have to manually export your file from QBO to start sending your payroll data. Then, import them to your QBDT for the Mac company file. While doing this, I suggest downloading and using import kits so you can easier transfer data to and from different platforms to better manage company records in QuickBooks.

Before you import, I suggest to back up your company file. This is to ensure that you’ll be able to restore your company file and get back to work in case you ever run into a problem with your data. Then, know the IIF import limitations to smoothly execute the process.

Once you're ready to import your IIF payroll data, please follow the steps below.

  1. Sign in to your company file as an admin.
  2. Go to the File menu.
  3. Choose Import.
  4. Select From IIF Files and export your IIF file.
  5. Follow the on-screen instructions to complete the procedure.

However, if you are using our Standalone Payroll Product, you'll have to export first your payroll transactions into QuickBooks Desktop. Then, import them into your Quickbooks Desktop for Mac. To start with, you'll have to Download a trial of QuickBooks Desktop link to get the version of QBDT. It provides license and product numbers you can enter upon installing the sample file. Then, you can refer to and click each article below to see the steps on how to perform the process so you can begin exporting your payroll data and import them to your QBDT for Mac.

I'm also adding this article to view different improved features designed to benefit your business using QuickBooks Desktop for Mac 2021: What's new in QuickBooks Desktop for Mac 2021.

Place a reply in the comments below if you have other issues with your payroll data in QuickBooks. I'll get back to you as soon as I can.

EXPORT PAYROLL TO DESKTOP MAC

It is still not clear, so let me help.

While in QUICKBOOK PAYROLL online.  BE SURE YOU ARE NOT IN SAFARI, BUT ARE USING CHROME!!!!!

CHOOSE THE PAYROLL TAB ON THE LEFT

NOW CHOOSE EMPLOYEE TAB CENTER ABOVE.

UNDER THE GIANT GREEN BUBBLE ON THE RIGHT SIDE YOU WILL SEE:

     "Next Payroll Due..." in black

     "Paycheck List" in BLUE

CLICK ON   "Paycheck List" in blue

NOW CHECK THE BOXES ON THE LEFT FOR THE PAYCHECK YOU WANT TO EXPORT TO MAC

ONCE CHECKED YOU WILL SEE A SECOND BOX NEXT TO PRINT "Export to accounting"

click this button.

these will now download to your download fold on your Mac.  double click and follow all the rest of the instructions that come up.   Voila  you have done it.

Yes, this is not logical.   Remember how in Intuit you would click on "Paycheck History" in the Report area to do this.  That's right kiddos - nope that doesn't work.  This Intuit QB Payroll online is a disaster.  Yuk! Boo! Shame!

This is crazy!

With the former system, you pressed the Export button and all payroll information was uploaded to to QB Desktop.

Now, you press the export button after completing payroll and NOTHING happens.

Quickbooks needs to fix this and all of the answers I see do not address the problem or even show an understanding of the problem.

I'm having this problem too all of a sudden.  It does download an iif file but wants me to get out of multi-user mode in order to then import it.  What the heck?

why do I now need to go through this process when I used to be able to just export to my QB for Mac with the click of the export button?  In addition to all of these new steps, I am supposed to go out of multi-user mode in order to import the files?

EXPORT PAYROLL TO DESKTOP MAC

Hello julie kiernan!

I understand that you need to transfer your payroll data from QuickBooks Online Payroll to Quickbooks Desktop for Mac. Let me assist you.

The standalone payroll products allow you to export the data and have them imported into your Quickbooks Desktop for Mac company file. We have to make sure to set up the preferences first by following these steps:

  1. Go to the Gear icon and select Payroll settings.
  2. Click the Pencil icon on the Export section.
  3. Select QuickBooks Desktop for Mac, then make sure the accounts on the Export preferences page match the accounts on the Chart of Accounts from your Quickbooks Desktop for Mac company file.
  4. Tap Done.

Once you're ready to export the file, go back to the Gear icon, Payroll settings, and click Export transactions in the Export section. This will download an IIF file that you can import to your Quickbooks Desktop for Mac company file.

You'll want to check this link for more information: Export into QuickBooks Online from Core, Premium, or Elite Standalone Payroll.

I also added this article: Run payroll reports. This will show you the list of available reports in QuickBooks Online Payroll and how to pull up them.

Leave a comment again if you have other concerns. Take care!

Hello there, @Andy01.

Once you export data from QuickBooks, you have the option to save it wherever spot you want. If it is not in your Downloads section, you may consider checking out other folders on your computer. You may have saved it in another location.

You can also modify the settings and change default download folders on QuickBooks for Mac. Here's how:

1. Open the Safari app, then click on the Safari drop-down menu.

2. Select Preferences.

3. Ensure that the General tab is selected, then change the File Download Location to wherever you want.

I'll also include this article to help you know how to import data: Import data into QuickBooks for Mac.

EXPORT PAYROLL TO DESKTOP MAC

Hi,

Thank you for your response.

Although this solution works, Intuit is missing the point that everyone is raising.

Previously we had an integrated, seamless  process.

We did payroll with Intuit Payroll, we pressed Export, and everything populated in QuickBooks desktop.

Then your company switched us to Quickbooks payroll on the promise of a seamless alternative.

But it is not.

1.  If we press export at the time of creating a payroll, which is an option at the bottom of the page, after approving payroll, a file is downloaded.  From that we need to open the file and backup desktop before the file populates Desktop.

2. If we fail to press the export button, we follow your instructions and the same process occurs.

This is not seamless. It is not as good as before and therefore  not as promised.

Plus, unless I and all of the other confused people asking the same question missed it, QB never sent a proper description of the new process to the users they abruptly transitioned.

So come on QB. Communicate and make it seamless again. With all of your resources, devote some to make this seamless.

I'll add a few details to guide you with exporting the transaction, Happyscissor1.

You can export the tax payments if you're subscribed to our standalone payroll subscription. First, you'll have to set up the export preferences. You can follow the steps provided by AlexV. Then, export the tax payments. Here's how:

  1. Click Payroll tax on the left-hand menu.
  2. Select Tax payment history under Tax resources.
  3. Select the date to filter the payments you want to export.
  4. Tick the boxes for the payment/s you want to export.
  5. Click Export to Accounting.

For reference, you can check this article: Export into QuickBooks Online or Desktop from Core, Premium, or Elite Standalone Payroll.

Thank you. This worked. QB team gave me the wrong info. They did not say to go to the reports menu but tax payment history. Which is incorrect. Here was there response to me.

Click Payroll tax on the left-hand menu. Select Tax payment history under Tax resources. Select the date to filter the payments you want to export. Tick the boxes for the payment/s you want to export. Click Export to Accounting.
So I have followed the steps suggested but the tax payment history doesn’t have a box to check when I go into it. As you have posted, it is in the reports menu/ payroll tax payments.

I was also told to go to payroll settings and choose export transactions. It shows 1 tax payment to export, I choose export transactions, it says exported but it never gets exported to my quickbooks desktop. Not in my check register. So I have to enter it manually. There are multiple problems with this exporting feature.

But thank goodness QB users are on this and helping each other.
