I can walk you through on how to change your paid preparer's in QuickBooks. You can go to the Federal Form Preferences page, from there you can modify the information. Here's how: 

 

  1. Sign in to QuickBooks Online Accountant
  2. Click the Gear icon and select Payroll Settings. 
  3. Under the Payroll and Services section, select Federal Form Preferences.
  4. In the Paid Preparer Information box, click Yes.
  5. Update the information and click OK.

 

The information you've entered in paid preparer will show up on the Federal; forms 941, 944, and 940.

Missing options are usually a result of too much accumulated historical data. Whenever you visit a website, it saves some information from the web page in its cache and cookies. These files allow the websites you visit most often to load faster. Not to worry, clearing them will do the trick.

 

First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

 

  • Chrome: Ctrl Shift N
  • Firefox: Ctrl Shift P
  • Safari: Command Shift + N

 

After logging, go to your payroll settings and check if the Federal Form Preferences section shows.

 

If it does, switch back to your regular browser. Then, clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

I created the incognito window and there were no new additions to Payroll Settings.  Federal Form Preferences does not show.

How do I change the paid prepare in QuickBooks?

This has been a question recently from my bookkeeping team as our firm was recently merged/purchased so our paid preparer information needs to be updated and I cannot find these preferences on ANY of my MANY QBO clients.

 

Do we need to reach out to support for all of our payroll clients to update the pair preparer information as it appears to no longer be available for paid preparers to change as necessary?

We have received reports from other users about not having the option to change the paid preparer in QuickBooks Online (QBO). And our product engineers are investigating the root cause and implementing a fix. While they do, I suggest contacting our Customer Care Support Team to include you in the list of affected users. Once they add you, expect an email from our engineers for updates. 

 

To reach them, click the ? Help button at the top-right corner of your QBO account and select Contact Us to talk with a live agent. Ensure to review their support hours to know when agents are available.

Note that in QuickBooks Online, only the admin can have the option of Federal form preferences as they are the ones who have access to modify that feature. To put the paid preparer info in the fields, you can ask your admin to handle it.

Know that browsers accumulate temporary internet files that can affect your browsing experience. Too many internet files can sometimes change how your QBO company behaves, resulting in errors when performing tasks. per QB support - only Master Admin (i.e. client) can change the Paid Preparer after submitting some form. 

So frustrating - the client sends the invitation to the accountant, therefore gives the accountant permission to file the reports - but we can't update the preparer info??? Does that makes sense to anybody?

There's no form needed when trying to change the paid preparer in QuickBooks Online (QBO), @lhilscher.

 

Just ensure that you're logging in as the Master Admin of the account. Then, edit the paid preparer information in the settings.

 

Here's how:

 

  1. Go to the Gear icon and choose Payroll settings.
  2. Navigate to the Federal form preferences and click the Pencil icon.
  3. Make the necessary changes. Then, click Save.

It always amazes me how out of touch Support is.  WHY WHY WHY does QBO take these options away from us professionals.   The option to add / edit a paid preparer or third party designee is NOT available to master admin users.  We're forced to wait on hold for a rep (who doesn't know accounting) to make the change.  There has to be another way.....

How do I change the paid prepare in QuickBooks?

I suggest you re-read the thread.  There is a known issue w/ that option not appearing.  I could log in using 23 different browsers, but I still won't see the option to edit/change the paid preparer or third-party information.   I maintain 30+ client QBO accounts and am currently looking for QBO alternatives.   As a paid professional, I know what I'm doing.  Intuit is going out of its way to make my job more difficult by removing these options.   Maybe some Intuit software engineers should move out of their mother's basement and start experiencing life.  At the very least, they should take an Accounting 101 course.
