I've got you covered, beighton.

 

Form 1096 summarizes the information from the 1099 forms you are submitting for the tax year. I'll walk you through the steps where you can get the 1096.

 

Here's how:

 

  1. On the left panel, select Expenses > Vendors.
  2. Click the Prepare 1099s button.
  3. Enter all information correctly for the tax year, then select Print and mail.
  4. Choose the 1096 form. If everything looks good, press Yes, looks good! Then click Print on a 1096 Form.
  5. If the form needs to be aligned, select No, it doesn't line up and hit Next. Then re-select the 1096 form, and click Print on a 1096 Form.

According to IRS Website at https://www.irs.gov/forms-pubs/about-form-1096

"Use Form 1096 to transmit paper Forms 1097, 1098, 1099, 3921, 3922, 5498, and W-2G to the Internal Revenue Service. Do not use this form to transmit electronically."

 

As it states, 1096 Forms are required for paper 1099 filings ONLY and are NOT required for electronically filed 1099s as it sounds you have done. You will not see a copy of your 1096s if you filed electronically because it isn't required.

 

The Quickbooks response to your question only addresses PAPER 1099 filings, not electronically field 1099s.

I do not have Quickbooks Onliine, so these instructions do not work for me...I paid Intuit, through my "Intuit Online Payroll" account to file the 1099-NEC forms, but I don't know how to find out about the 1096.  Is this done automatically?  It says that my efiling was accepted today for the 1099-NEC forms, but there is no mention on Intuit about a 1096 form being produced.

Currently, the 1096 form will automatically be submitted when e-filing your 1099s through Intuit Online Payroll (IOP)'s 1099 E-File Service. This complies with the IRS e-filing policy.

 

Aside from the email notification sent to you regarding your 1099 filing status, you can also log into your E-File Service account to view them.

I don't understand your answer.  I do not see how I can possibly file a 1096 with the IRS now that I have e-filed the 1099 NEC's already (paid Intuit to do this).  They were accepted.  Now what?  I cannot e-file myself, so how can I possibly file a paper 1096?  If I send them copies of the 1099s that Intuit e-filed, will that be OK?  It says on the IRS instructions that I am not allowed to send them copies or I will be fined!  It appears that I never should have e-filed the 1099 NECs with Intuit!  Not unless it is as some of the other answers here, that it is not required to submit a 1096 if the 1099s were e-filed....I spent two hours yesterday trying to understand the IRS instructions on this.

This must be a challenging experience for you, @LeeAnna. And I personally want to get this fixed for you.

 

As mentioned by my peer Rea_M above, once the form 1099 already e-filed via E-file Service, form 1096 will be submitted as well. That said, you don't need to file Form 1096 once you've e-filed Form 1099 or as long as you're using 1099 E-file Service. You might want to check the filing status of your submitted 1099 from your 1099 E-File Service account.

I used the Intuit E-File Service for 1099-NEC's.  I understand from reading the earlier comments that Intuit submits, if necessary, the 1096.  However, I need a 1096 copy for the state of California.  I saw the reference that it should be with my documents in my account.  It is not.  Only the two NEC forms are there.  Suggestions?

Currently, the 1099 E-file Service in QuickBooks Online (QBO) isn't supporting combined state and federal e-filing for 1099s. You'll have to manually file your forms (1099 and 1096) directly to the state of California (CA).

 

Let's go back to the Prepare 1099s page to print your Form 1096. This way, you'll have a summary of the information from the 1099 forms you are submitting for the tax year. Here's how: 

  1. Go to the Expenses menu.
  2. Select Vendors.
  3. Click Prepare 1099s.
  4. Enter all information correctly for the tax year, then click Next until the Review page.
  5. Click the Finish preparing 1099s button.
  6. Select the Print and mail button.
  7. Choose the 1096 form, then click Yes, looks good! 
  8. Select the type of 1096 form you want to print.
  9. Click Print on a 1096 Form and then Print.

 

I've attached screenshots below that show the sixth to seventh steps.

I used the Intuit 1099 E-File Service.  I need to also file with CA.  How do I print a 1096 so that I can file with CA?

 I'm here to make sure you're able to print and file the 1096 forms in QuickBooks. 

 

QuickBooks Online is currently unable to support combined state and federal E-filing.  You'll have to manually file your forms (1099 and 1096) directly to the state of California (CA).

 

Here's how:

 

  1. Choose Expenses from the left menu, then select Vendors.
  2. Click Prepare 1099s.
  3. Enter all information correctly for the tax year, then hit Next until you've to see Finish preparing 1099.
  4. Select Print and mail.
  5. Choose the 1096 form. If everything looks good, select Yes, looks good! Then select Print on a 1096 Form.

Thank you for dropping by here in the Community. I can help you get a copy of the 1096 form in QuickBooks Online (QBO). You can go to the Vendors list to Prepare 1099s. Once done, you'll see 1096 to print it.

 

Let me show you how:

  1. Click Expenses from the left menu.
  2. Choose Vendors and then hit Prepare 1099s.
  3. Enter all information correctly for the tax year, then click Print and mail.
  4. Select the 1096 form. If everything looks good, tap Yes, looks good! Then click Print on a 1096 Form.
  5. If the form needs to be aligned, choose No, it doesn't line up, and select Next.
  6. Then re-choose the 1096 form, and hit Print on a 1096 Form.

 

You'll unable to see the vendors if you're not using QBO.

Hi there, thank you for the information! What if you chose the E-File only option? You can still download and print a copy of the 1099, but it says nothing about a 1096 Form (1096 is not specified in any option). Is the 1096 E-filed w/1099's? How do I get a copy if so? What do I do about the 1096 Form if not?

Thank you for keeping an eye on this thread. I recommend clearing your browsing data if you're experiencing difficulties printing a copy of 1096. Removing this data will assist you in resolving any errors or malfunctions that may be obstructing your progress. 

 

Here's how to do it:

 

Note: To clear browsing data in Chrome, follow the instructions below. If you're using a different browser, follow the instructions from the link above.

 

  1. Go to the Three Vertical Dots (Menu) in the top right-hand corner.
  2. Pick History and then History again.
  3. Click Clear Browsing Data on the left-hand side of the screen.
  4. In the "Time Range" section, choose All Time.
  5. Select Clear Data.

 

After that, repeat the steps outlined by my colleague. If the problem with printing persists, I recommend contacting our Customer Support Team. They can use various technologies like a screen share to dig deeper into your account.

Is there any way to get a digital copy of a 1096 already filed? The print instructions work but there does not appear to be a way to get this information for an accountant, for example. Thank you.

I'm here to share information about getting a copy of the 1096 form in QuickBooks Online (QBO).

 

When you electronically file your 1099s and 1096, you'll receive an email that contains the link to download the employer copy of the forms. You can also download the form while printing to get a digital copy. 

 

Let me show you how:

 

  1. On your QBO account, choose Expenses from the left menu.
  2. Select Vendors and then click Prepare 1099s.
  3. Enter all information correctly for the tax year, then select Print and mail.
  4. Choose the 1096 form. If everything looks good, select Yes, looks good! Then, select Print on a 1096 Form.
  5. If the form needs to be aligned, choose No, it doesn't line up, and select Next.
  6. Then re-select the 1096 form, and select Print on a 1096 Form.
  7. From there, a new window will open to print the file. Click on the download icon beside the printer icon. 
  8. Once done downloading, open the file and save.

I recently received a letter from IRS telling me that they received the 1096 form, but they did not receive the corresponding information returns.It's asking that I resubmit the form. This was for year ending 2020 and I have no idea where to find the form, nor how to do reprocess it. I recently updated QB from 2019 to the most recent Premium version. How do I get what they are asking for?

Allow me to chime in and resubmit your 1096 form in QuickBooks Desktop (QBDT).

 

In QBDT, you have the option to reprint your 1096 form. You can use this to resubmit it to the IRS. Here's how to do it:

 

  1. In QBDT, go to the File menu at the top left.
  2. In the drop-down, select Print Forms, then 1099s/1096s.
  3. In the Choose a filing method window, tick the Print 1099-NEC or Print 1099-MISC button.
  4. Specify the date range for the forms, then choose OK.
  5. Select all the vendors included, then click Print 1096s.
  6. Confirm your printer settings, then Print.

FritzF, Thank you for your response. I followed your instructions, but unfortunately I need a copy of the 2020 1096 and because of the recent upgrade, it will only generate 2021 forms. I cannot find a saved form anywhere on the my computer, either. Thank you for your assistance.

When you e-file your tax return, it is automatically sent to the IRS. You'll have to contact IRS to get detailed instructions on how to get a copy of the form. This resource contains all of the information you need to file Form 1096. You'll see links to order the forms and how to process them electronically.

 

You can bookmark the Print your 1099 forms guide in your browser for future use. From there, you'll learn how to provide copies of the tax form to your contractors as well as how to print one in each QuickBooks version.

Copies are accessible through the File menu if you filed your 1096 electronically with us. I'm glad to walk you through the process.

 

  1. Click File from the QuickBooks main menu bar.
  2. Choose Print Forms from the drop-down menu, then select 1099s/1096 from the list.
  3. Select the contractor for whom you want to generate 1099, then click Print 1099. A preview of 1099 automatically opens. To view the detailed data on the form, deselect the Alignment box and select PDF.
  4. Press Open PDF in Preview to review the information on the form.
  5. Hit Print to print the completed 1099 form.

Once done, you can use this information to see your submitted forms. It contains complete instructions so you can successfully reprint your past 1096s.

Even though you have already E-filed the 1099s, if you click on Print and mail will you be charged a fee and will the forms be filed again?  I want to make sure I don't file twice, but yes I do need a copy of the 1096 for our files and to mail to the client.
