Payroll Classes Mapping to Quickbooks

I have Classes set up in my Quickbooks - and some of the classes have sub-classes. 

Ex.In the summer, I run a summer camp with two locations - the Class in Summer Camp, the Sub-class is Summer:MP or Summer:BD for the two locations. 

I have staff that works at both locations and doing other things (identified with other classes or sub-classes) during the payroll week. Ex. Someone works 2 hours at one location and then 2 at the other and then in the evening works for our adult programming at a school. On Quicktime, they can identify which classes and sub-classes they are doing the work for. And when I export it - I can see the hours on their timesheet. But...no matter what I do. All their wages go to the class i had to assign to them in the payroll settings. I can't erase that in the payroll setting - you have to give an initial class for each employee. But i need the classes and subclasses to override each other and align with the timesheet. What is the point of Quicktime importing classes/subclasses from Quickbooks and them exporting the information if the information doesn't map.  I can't be the only one that has employees working part-time ours in multiple classes. What is the solution - that isn't a journal entry that allows for way too much human error.

I want to ensure this is taken care of, @Badtgirl.

 

Before we can export any hours from QuickBooks Time to Online, use the Payroll Item Mapping Tool to assign items to your hours. Before doing so, we'll have to set an employee default first if we want to assign payroll items according to specific clients, services, or classes.

 

Here's how:

 

  1. After mapping payroll items by employee, in QuickBooks Time, select the QuickBooks drop-down arrow, then Preferences.
  2. Click the Payroll Item Mapping Tool.
  3. Select Settings.
  4. Click the Allow overrides by: box, and select CustomerService Item, or Class.
  5. Hit Save.
  6. On the Map Customers, Map Service Items, or Map Classes tab, select + Add Override.
  7. Choose a customer, service item, or class (whichever displays), then expand the new override option. 
  8. Under each hour type column, select a payroll item. 
  9. Repeat until each CustomerService Item, or Class mapped appropriately.
  10. Additions and changes are saved automatically. Close the window when the mapping is complete.

So no one has showed me that option before - putting in the overrides. I am not even 100% sure what that does. 

 

If I put all my classes and subclasses in as overrides does that mean it will all map correctly - and allow the selected class per hour override the one I had to initally select for the person? 

 

I just ran Payroll today - is there a way for it go back and fix past payroll runs to map.

Allow me to share a few information and guide on what you'll do, @Badtgirl.

 

You can consider deleting and recreating the paychecks to resolve the issue. Here's how:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Payroll from the left menu, then select Employee.
  3. Select the paycheck you want to delete and click Delete.
  4. Choose the I understand that this action cannot be undone checkbox.
  5. Click Delete Paycheck to confirm.
  6. Once done, you can now recreate the paycheck.

 

However, if you can no longer recreate the paycheck, you'll need to set up a prior payroll. For more guidance, feel free to check out this article: Set up a prior payroll for QuickBooks Online Payroll.

Payroll Classes Mapping to Quickbooks

This doesn't work.

The classes track from Quicktime to Quickbooks timesheets - but it doesn't map to the budget.

I can look at someones paycheck and see that they worked 10 hours that 5 of those were one 1 subclass/class and 2 were another and 3 were another. But then everything maps to one class in my budget - and it is the one I had to assign the person in payroll settings. You can only assign one per person and can't indicate that they could work multiple classes.

I budget via classes. Doesn't everyone? Wouldn't you want payroll to map to classes and the different classes is what they work on. Any work arounds? Journal Entries every paycheck just makes for too much human error.

I'd like to share what I know about class budgeting in QuickBooks Online.


Currently, assigning multiple classes per employee is unavailable. I can see how this additional options and functionality would be helpful for both you and your business and I encourage you to submit feedback. These requests and suggestions are forwarded directly to our Product Development Team for consideration in future updates.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Enter a brief description of your product suggestion and click Next.
  4. Type your email address.
  5. Once done, click Send Message.

 

Once done, feel free to visit our QuickBooks Online Feature Requests website to track the status of your submitted feedback.

Any update on this? We just purchase Quickbooks Time with the understanding we could do this functionality only to find out later that its not available as you say above.

I'm here to share an update about this feature, alecblodgett.

 

As of now, assigning multiple classes per employee isn't available in QuickBooks Time. I can see how the functionality would be beneficial to your business. With this, I'd recommend sending a feature request directly to our Product Development team. This helps us improves your experience with the program. 

 

Here's how:

 

  1. In QuickBooks Time, tap Setting or More Settings.
  2. Tap Help & Support Suggest an idea.
  3. Enter your feedback, and tap SEND.

 

You can also look for a third-party application that you can integrate with QuickBooks Time to help you assign multiple classes.

How about the functionality to bring in the class data from Quickbooks Time to Quickbooks Online Payroll? Right now if I turn on tracking payroll by class they only let you set one class per employee or one class for all employees. Why cant you just bring in and post the payroll to the class that was selected on the timecard?

Allow me to chime in and share some information about assigning multiple classes per employee. However,  assigning multiple classes per employee is unavailable in QB Time. We can only assign it per employee. 

 

With that, I'd like to reiterate what peers' answers stated above. Our engineers are taking notes of our customers' ideas and insights for future updates in QuickBooks.

Hey I think I solved this with transitioning to using service items instead of classes. Service Items transfer over to QBO when you run payroll unlike Classes. I am giving it a shot this week when I run payroll next I can come back here and let you know how it works.

Did this work for you? We have the "service items" set up in QB Time and while it gets wages to the correct Project Jobsite it does not post on the correct "service item" from the timesheet. It shows up at the bottom of our Job cost report as "Not specified".

It's my priority to resolve this issue for you, @arl686s. Let's narrow down to the root of the problem. 

 

In your case, this happens when there are no service items assigned for each customer manually. We can go to the Customer tab and create a custom field there.

 

Here's how:

 

  1. Go to the Customers tab on the left-hand menu. 
  2. Locate and click on the customer you want to customize. (click again if there is a project)
  3. In the window, choose Custom Fields
  4. Click the Add Field, then enter more details once the screen appears.
  5. Next to "Service Items," select All Items
  6. Lastly, Save.

 

 

Lastly, all you'll need to do is tap on the service item(s) you want to be listed when manually choosing. It's that easy!

 

That would be all to do the trick to locate the service items in QuickBooks Time. I'll be here for you if you need additional information. Keep safe.

No, it is not a quickbooks time issue, the issue is classes/service items not transferring to quickbooks payroll. Our employees work several jobs during the pay period, but we can only assign one class per employee per pay period. I have submitted multiple feedbacks, but nothing has changed. Can you provide any updates on this issue?

Your answer does not fix the issue. The issue is that classes/service items from quickbooks time do not transfer over to quickbooks payroll. Our employees work multiple jobs sites throughout the pay period, but we can only assign one class per employee per pay period. I have submitted daily feedback/ideas and haven’t heard anything. Do you have any updates on when this issue will be resolved? Thanks!!

We are facing this same problem. We have employees who do work in multiple classes and we need that to be recorded in Time and then automatically transfer over into our Payroll/Bookkeeping.

 

If we can't do this, then we might as well switch to a different time tracking and payroll provider.

Currently, we're unable to assign multiple classes in QuickBooks Time, and we can't automatically transfer those into your QuickBooks Payroll. I recognize the convenience of having these options. 

 

While these are unavailable, I recommend sending a feature request directly to our Product Development Team. Ideas like this help identify the features our customers want the most for consideration in future enhancements.

 

I'd also agree with your idea of switching to a different time tracking and payroll provider to help you manage your business seamlessly.

I have several nonprofits as clients, and the fact that QBO Payroll does not allow to assign more than one class per employee is the reason why it is not a suitable system for many organizations.  Not being able to "open" the paychecks and break down wages into several classes (very common in organizations with multiple grants to report) is a deal breaker.  I have also sent several requests to Intuit, but so far I have not seen any changes.

This look incredibly time consuming for someone that should be able to create a list of items like a drop down menu of activities different employees do. All our employees do different things any given day not one simple job descripting. I will not ever use your job classes because it looks to be incredibly time consuming for something so simple. I ought to be able to create a list of activities that employees do, get to thier name, choose the activity and input it. As of now I dont use your mapping because its a mess of 'go here, input this, go there input that, then add this..then go there and pull from here...and so on." I also dont use the ability for them to login and input because what a mess that sounds like. You folks way over thing, over engineer and over do that simplest of processes. This product becomes unusable for many functions because in my office I dont have time to run through and adjust every supposed time saving part of what you sell because its just not worth the time factor. I will track in a spread sheet..what a useless product with useless functionality...if I wanted to work at quickbooks and modify all these components to suit I would work there that is not my business model...and quickbooks doesnt adapt..useless
