I can share some insights about your Direct Deposit processing, @useramyh.

Are you in a 5-day lead time? If so, this means that you'll need to submit your payroll before 5:00 PM PST, 5 business days before payday. Also, please take note that Intuit won’t process your payroll on weekends or state or federal holidays

Your direct deposit will still be submitted even if you've missed the cutoff time. It will be processed the next business day. Technically, that will be received by your employees on Monday, October 4.

For more information about lead times and your payroll submission days, refer to this article: When do I need to submit payroll to pay employees on time?.

In the meantime, you can pay your workers with paper checks or change your pay date to a later date for direct deposits. Don't forget to change the pay method to a paper check.

To switch Direct Deposit to a paper check. Follow the steps below:

  1. From the Payroll menu, then select the Employees tab.
  2. Select Run Payroll.
  3. Click on the Direct Deposit link found on the Pay Method column next to the employee's name.
  4. Tick the Paper check radio button.
  5. Preview and submit the rest of your payroll as you normally would.

You might want to print or reprint paychecks in QuickBooks Online (QBO), here's an article for detailed steps: Print paychecks in QuickBooks Online Payroll and Intuit Online Payroll.

Thank you for your response!

Is the only option for direct deposit - to be paid a day late? I know QB Desktop used to allow you to pay a fee and submit late if need be. It was not an option that we used, but it was there in case it was needed. It also required only 48 hours lead time, not 5 days. An emergency came up and payroll didn't get submitted by the end of the day on Friday (for direct deposit the following Friday). Today is Sunday and I'm just trying to see if there's ANY way for me to process a direct deposit today (or Monday) for the upcoming Friday payday, even if we have to pay a fee to do so. I can print paper checks for the employees, but the company only wants to do that if it's an absolute last resort.

Is this the only option for direct deposit - to be paid a day late? QB Desktop used to have an option where you could pay a fee if you missed the cutoff time. It was not something we ever used, but it was an option. An emergency situation came up last week and payroll just didn't get submitted by the deadline of Friday. QB desktop only required 48 hours lead time vs. 5 days with QB Online. Is there ANY option that would allow us to submit payroll today (Sunday) or tomorrow (Monday) and the employees have their direct deposits this coming Friday. I understand we can print paper checks, but the company only wants to do that as a very last resort.

Hello there, @useramyh.

Thanks for getting back to us. I'd like to provide additional information about the late submission of the payroll in QuickBooks Online.

The lead time depends on the product you're using. As advised, you can still submit your direct deposit late. Since it follows the lead time processing you have, the posting of the payment will be moved. And yes, the direct deposit only follows the timeline processing.

Both QuickBooks Online and QuickBooks Desktop have the same way. The posting of the payment occurs on different dates if payroll is submitted late. About the fee, it happens if you've submitted for direct deposit with no funds in your account. Intuit will still process to pay your employees. Then, we'll try to charge again from your bank with a fee.

Still, you can follow the suggestion mentioned above. Also, you can run your payroll reports from time to time to have a quick view of the transactions that you've created so far. You can check this article as a guide and to get more details on how you can use each report in the program: Run payroll reports.

Please visit again if you have other questions. We'll be around if you have further concerns. Take care and stay safe.

How can I change the Payroll Date in QBO?

I have it scheduled for Monthly, but the workers are slow on getting their hours to me, so I want to change it from the 3rd of each month to the 10th of each month. I honestly can't remember how I got that date entered on the set up and cannot seem to figure out how to change it. This is my first payroll with QBO. I have only done it in Desktop.

Thank you for any help on this.

I appreciate you for using QuickBooks Online Payroll, @MyMuditaBookkeeping. I'll show you the steps on how to modify employee pay schedules.

Selecting or entering the appropriate pay period ending is necessary if you want to alter the pay period.

  1. Go to Payroll, then Employees.
  2. Select your employee.
  3. From Employment details, select Start or Edit.
  4. From the Pay schedule ▼ dropdown, select the pay schedule for the employee moving forward. Or, to create a new pay schedule, pres + Add pay schedule.
  5. Fill out the appropriate fields. Then select Save.
  6. Choose Save.

Furthermore, with the help of QuickBooks payroll tools, you can organize your personnel by pay period. It makes processing more effective and aids in payroll management. Here are the pay schedules you can assign to employees: Set up and manage payroll schedules.

Thank you for this. I had to work through it with an Intuit Rep...and they had a bit of a time figuring it out as well. Now I know and apprecitate all the help.
