Let's pull up the Payroll Summary report, dburke1.

 

We can change the date range of this report to show the employees that were paid. These are the steps to follow:

  1. Go to Reports tab.
  2. Search and select Payroll Summary.
  3. Change the reporting date under Date Range drop-down. Hit Run Report.

If you like, you can also export it into an Excel file. Simply click the Share drop-down and select Export To Excel. From there, we can get the total number of employees paid each pay period or for the whole year.

Thanks. I had already done that but there's no way to filter so that I'm given the number of employees paid each pay period. It looks as though I have to figure this out manually.

You can pull up the Transaction List by Date Report and filter the transaction type to paycheck or payroll check. Let me provide you the steps on how to achieve this.

 

Here's how:

 

  1. On the left panel, go to the Reports menu.
  2. Type Transaction List by Date in the search bar.
  3. Click the Customize button at the upper right side of the screen.
  4. In the drop-down arrow for Report Period, select the Custom option to change the date.
  5. On the Filter section, mark and choose the Transaction Type.
  6. In the drop-down arrow by Transaction Type, select Paycheck or Payroll check.
  7. Hit Run Report.

 

After filtering the report, you can see the list of all the Employees by each pay period.

What this Intuit Community member is Looking for is a Report Where it will only give you just the "Employee Count" for a given Date range, Nothing Else.

Let me clear this up by saying the payroll reports we have don't count the number of pays/paycheck per pay period or per month. As a workaround, you can run the Payroll Summary Report in a given period, as shared by Alex. Then, export it to Excel, and use the excel function to count how many transactions are there. You'll want to do this in every period.

In the Payroll Center we can see Recent Payrolls with a paycheck count.  Can I get a report for the entire year or expand that view?

Yes, you can get a report for the entire year or expand the view about recent payrolls with a paycheck count. That said, you can run the Payroll Details report from the Reports menu. Then, this report shows all payroll activity for employees, including prior payroll history entries, payroll updates, and paychecks processed in QuickBooks. 

 

Here's how:

 

  1. From the left side of the screen choose the Reports menu.
  2. Choose the Payroll Details in the search bar.
  3. Choose the Date range you want. You can also show only employees you'd like to pull up in the Employee drop-down.
  4. Click the Customize button and filter the necessary details.
  5. Choose Run Report.

 

Once done, you can use and get started with Memorized Reports in QuickBooks Online. This will allow you to save it with its current customization settings.

Just a simple report without having to export, filter, add a function to manually count, is all we are asking for.  For one thing, on an annual basis our insurance carrier REQUIRES an employee count by month by employment status (full/parttime/seasonal). I am tempted to only use figures form the 12th of month (manually pulled from 4 941 forms) since the insurance company says we should be able to complete our survey in a mere 15 minutes.

Do this:

 

Go to File>Print Forms>Pay Stubs. In the Select Pay Stubs window, Change Check Dates from First Date thru Last Date of period you need data for: (ex: 01/01/2022 thru 12/31/2022). All Employees.

This window will state "There are X Pay Stubs to print". 

 

Divide this number by # of pay periods. At most you'd have to scroll down the list of employee pay stubs and manually count the number of Dates in the list - but this should take you 60 seconds tops. 

 

...Why Quickbooks can't take this data and put it into report form is beyond me, but I hope it helps!

Your reply to a question that was originally posted on ‎December 02, 2019 was to ask for more information so that you may provide the right resolution??

 

I think that the original post very clearly stated the information that was needed.

 

A report from QuickBooks that should be very SIMPLE and STRAIGHTFORWARD... the number of employees paid during a given period.

 

If Intuit wanted to really go over the top and above and beyond, they could add a field to the report to show if the employee paid was full-time or part-time, but I know that's probably way too much to ask.

Just a simple report, by week, month, quarter, etc. that would show how many employees were paid for that time period would be absolutely wonderful!

I understand how great it would be if there's a report that shows the total number of employees paid over a specific time period. However, it is still unavailable in QuickBooks Online. For the time being, I advise you to provide our software engineers with your feedback. Follow these steps to provide feedback:

1. Open your QuickBooks Online account.
2. Go to the Gear icon and select Feedback.
3. Type in your suggestion and click Next.

I have to do the same thing at the end of every year!  The easiest way is to run a 'job' our 'time' report by 'name only'.  If you keep track of hours by job, as we do, you can just list each month by employee name and use your cursor to count to the bottom of the list.  I have to add our salaried employees, but this sure is easier than scrolling through a payroll report.  Hope this helps!

I played around with reports and found that if you run the Employee Earnings Summary and change dates for the year this gets you a list of employees in a column.  I exported to Excel, hid all the wage and deduction columns and added numbers in the A column and that gave me a list and employee count of all the employees paid for the year which I then printed.

 

I hope this is helpful for anyone seeking this as I was this year.

Keeping track of the total number of employees paid for a specific pay period is a great suggestion that should have been available in the program. However, this report is still unavailable in QuickBooks Online.

 

I understand the ability to manage and review the number of employees being paid with each payroll in a report, you may take into account the workarounds shared by the other users in this thread.

California employers are required by Cal OSHA to fill out an annual report(Cal OSHA Form 300, Appendix G.)  To fill out the report, we need to know what our average annual number of employees is.  Some businesses have a fluctuating number of employees during the year(Christmas for example).  To find the Average Annual Number of Employees, it is necessary to know how many employees there were per pay period.  

 

This is data that will be required every year until people stop getting hurt.  Please help simplify this recurring need.
