Why can't I add a new time tracking user. When trying to add a new time tracking user (selecting a vendor from the drop down list), it won't allow me to save.

 

We use Quickbooks Online. Our issue is almost identical to the original post in this forum. We recently hired a new employee. When I tried to "Add User" the option to select "Time Tracker" as the user type is no longer available like it was with our most recent hire. I have also tried Adding the user as a "Standard User" and giving them limited access but they never receive the email to activate the account. As of right now I am having them fill out their time manually outside of the system and I am entering them for them. We are in the process of adding even more staff so this is not sustainable. We are an accounting firm so it is really important that our employees are able to enter their billable time so our invoicing and reporting is accurate for our clients. What we need is to have that Time Tracker user type available again.

Your subscription should include unlimited time tracking users so long as you're using QuickBooks Online Essentials or higher. Since you're having issues with the feature, I recommend contacting our Customer Support Team. Hello.

I think I hit a product bug.  Support tried to figure it out but could not, but recognized it as a problem (and not just for me).  I've added new employees successfully after this episode, but for this one particular employee, if I try adding her again, it fails in the same way it had before.

Hello!  In QBO I go to the "gear" at top right, then YOUR COMPANY, then Manage users.

Next I click Add user.

For User type, leave as Standard user.  Hit Next.

Then Select access rights, choose None.  Hit Next.

On Time tracking settings page, Do they need to submit their own timesheets, click Yes.  Select the employee from the drop down list.  Hit Next.

On Select user settings, make sure all say No.  Hit Next.

On What's their contact info, verify the auto-filled info.

Hit Save.

Error popup says "Error, Please try again?

An unexpected error occurred. Please try after some time."
If I try an alternate email address, same error.

As a result of this problem (2 years or more ago, I think), she is our only employee using QuickBooks Time.

I wish you didn't have to deal with this issue for so long, @Daren. Don't worry. I'm here to ensure you'll get the best help available, so you can add a Time-Tracking Only user in QuickBooks Online (QBO).

 

As per checking, we have closed investigations related to this case. According to our engineers who looked into the issue, the cause for the conflict is that the employee already has Workforce access, and we are unable to utilize the same name and email address in QBO for the second time. 

 

Having said that, I recommend using a different name and email address when inviting them as a Time-Tracking Only user.

 

If the issue persists, it's best to reach out to our customer support so they can reopen the investigation and provide a permanent fix. To do that:

 

  1. Go to the Help icon and click the Search tab.
  2. Select Contact Us.
  3. Enter a short description of your concern and select Continue.
  4. Choose between Chat with us and Have us call you

 

Furthermore, you'll want to invite your accountant to reevaluate your books, make corrections, and work on any issues. They have additional privileges that allow them to undo reconciliations, reclassify transactions, and write off invoices.

Hello.  I was able to add this long-time employee by using a different email address and changing her first name on the invitation screen.  This worked (!).  However, she came up as a Standard user (billable).  It looks like there is now no way to create a time entry only user for free?

I have been having the same issue, received the same answers from QBO help desk and spent a large amount of time trying to correct. This is happening for two employees that started on the same day. I've had another employee who just started and am having no issue with their login or entering of hours.

The process you've been through must have been quite exhausting, jql.

 

I regret to hear that despite your efforts and numerous interactions with our customer service, the issues have not been completely resolved, and you're now facing issues with your employees.

 

I understand you've already contacted our QuickBooks Support Team, but I recommend reaching out to them again. This way, they can gather additional data to investigate this further. 

 

Here's how:

 

  1. Go to the Help (?) icon at the top.
  2. On the Assistant tab, click Talk to a human.
  3. Enter your concern in the Type something field, then click the Send icon.
  4. Click on I still need a human.
  5. Select Get help from a human.
  6. You can either select Chat with us or Have us call you.

 

Please that we'll do our best to get this resolved. Thank you for your patience, and we look forward to resolving this matter to your satisfaction.

My user was sent an invitation that she never accepted and after over a year the invitation was deleted.  Now, she's brought back to work and I cannot invite her again and she's deleted the original invitation which the geniuses at front line support keep saying she needs to find somehow as if it would still be active.  I can add her with full access to my books which I don't want to do.  I've spent HOURS on the phone over multiple calls explaining the issue to the 1st stringers who desperately read me instructions on how to add users.  Gee, thanks.  And then I wait 25 minutes while they ask other people what to do.  Then after ranting for a while, I talk to someone else who assures me this a know issue with a ticket already in the work and my company as been added to it, which I know is a line of bullsh*t because I worked in IT support before most of these children were born so I know all the angles.  It's been three years that I haven't been able to add this user.  I know I can add her with a different name and email, but she has history in our system as a vendor with an SSI, so this "work around" is not acceptable because y'all can't figure out how to fix a seemingly simple bug in your Add New User function.  But oh sure, you can take payments in bitcoin, and keep making the screens less and less user friendly while jacking up the rates every year.  Yep, that you can do.  When can I expect to stop entering the time for this one employee?  Huh?  Any time before I retire?

Upon checking our system, the investigation Prompted to Add Time Tracking Only User via QB Time but customer not subscribed to QB Time (INV-80444) has been marked as closed. 

 

I understand you've already reached out to our QuickBooks Support team. However, I recommend contacting them again because they have the tools to add you to the list of affected users and get notified once it's resolvedIt's the best we can do given that they have the resources to look into this further.

 

Here's how:

 

  1. Log in to your QuickBooks Online (QBO) company.
  2. Click the Help button at the top right corner.
  3. Look for the Search tab, then select Contact us.
  4. Provide a summary of your concern and click Continue.
  5. Choose a way to connect with us. You can either choose Chat with us or Have us call you.
