Thank you for reaching out to us here in the Community about importing payroll data. Allow me to chime in and help you upload the list in QuickBooks Desktop.

 

Currently, you can only import customers, vendors, items, and Chart of Accounts from an Excel spreadsheet. For the employee information, you'll need to use an IIF file.

 

As a workaround, you can open the file using Microsoft Excel and convert it to IIF. You can reach out to the Microsoft Support Team for further assistance with changing the file format.

 

Another option would be to use a third-party application that offers assistance with uploading employee data. I've found an app that allows users to import information using an Excel file.

 

Though, we can't suggest which app is best to use, you can visit the links below for more information. These websites contain the details you need to determine if it works best for you:

I transferred the employee files over everything is great with the and address ss# however none of the direct deposit information was transferred nor any of the individual deductions. Is it possible to transfer those?

Payroll transactions including direct deposit information is not included in transferring employee information. You'll want to re-enter this information in the employee setup.

 

Here's how:

  1. Go to Employees and choose Employee Center to open your employee list.
  2. Select the employee's name. Choose Payroll Info tab.
  3. Select Direct Deposit button.
  4. In the Direct Deposit window, select Use Direct Deposit for [employee's name].
  5. Select whether to deposit the paycheck into one or two accounts.
  6. Enter the employee's financial institution information (Bank NameRouting No.Account No., and Account Type).
  7. If you choose to deposit to two accounts, enter the amount or percentage that the employee wants to deposit to the first account in the Amount to Deposit field. The remainder goes to the second account.
  8. Select OK to save the information. Enter your direct deposit PIN when prompted.

Sorry to bother a Desktop topic but I have a question about QB Online .... My Desktop Enterprise "target" size is too large to be transferred into Online directly, I will have to "manually" transfer Lists (Vendors, Customers, Accounts), but can I transfer the employee's list and its transactions too ? Thanks

The option to transfer employees' lists and their transactions are unavailable in QuickBooks Online. 

You'll need to enter them manually or you can look for a third-party application that allows you to employees' list as well as their transactions in QuickBooks. Here's how:

 

  1. Log in to your QuickBooks Online account.
  2. From the left pane, click on Apps.
  3. Search for apps in the search box.

 

QuickBooks displays the list of applications available that match the description you entered. Once you find the right app, click on it to open it.

 

You can also visit this link for a better view: https://apps.intuit.com/. From there, you can find different apps that are compatible and designed to work with QuickBooks Online.

If you are trying to import and export info in QuickBooks, we can do it through CSV files or with MS Excel files. Since we can't undo info you import, let's make a backup just in case. To import a list in the CSV format, we'll need to install the QuickBooks Import Excel and CSV toolkit. The toolkit contains:

  • Import from Excel and CSV Manual – a PDF document with instructions, best practices, and notes.
  • CSV Examples Folder – 4 sample CSV files, one for each type of list.
  • XLS Example Folder – a sample Excel file containing 4 worksheets, one for each type of list.
  • Allowed fields – a reference guide explaining what fields are available for Excel and CSV import.

 

Here's how to install the QuickBooks Import Excel and CSV toolkit: 

  1. Open the file download window for the toolkit, then select Save.
  2. Go to your Windows Desktop, then select Save.
  3. Double-click QuickBooks_Import_Excel_and_CSV.exe on your Windows desktop to open the WinZip Self-Extractor window.
  4. Select Browse, choose the folder where you want to install the toolkit (such as your Desktop), then OK.
  5. Select Unzip to extract the contents, and then select Close to close the WinZip Self-Extractor window.
  6. Open the QuickBooks Import Excel and CSV folder from the location you selected in step 4.

 

Then, follow the next step in this article: Import/export CSV files. To import and export QuickBooks data with MS Excel files, just check out this article: Import or export MS Excel files. Other ways to import and export info in QuickBooks are the following:

Yes, the list is coming from another QBDT company. There seems to be something with the syntax, the same way Bill Payments checks need to be modified as regular check when importing.

I understand how frustrating it can be to encounter errors when trying to import data. Let's work together so you can successfully move the information to QuickBooks.

 

When importing your employees' list, make sure the format is correct to ensure you can bring them to your other QuickBooks company successfully. Let's download the.IIF import kit to save time and improve your results. You can also download the sample.IIF files to practice or use as templates for importing transactions into the desktop program.

 

Here's how:
 

  1. Download kit.
  2. Click the Save button to download the IIF_Import_Kit.zip file to your Windows desktop.
  3. Use WinZip or any compatible file compression utility to extract the contents of the downloaded file. The contents will automatically be extracted into a subfolder called.IIF Import Kit.
  4. Open the IIF Import Kit folder to view its contents.
  5. Click the IIF Header Help folder and choose!EMP.
  6. This will open the Employee list (EMP) file.
  7. From there, review the headers and make sure you have the same format as the one you're creating.

I am trying to transfer employee data (address, phone numbers etc) from one company file to a second one and I am trying to use IIF to do that.  The problem I am encountering is with the Date Of Birth field.   Apparently recently it became a required field in quickbooks HOWEVER the export is not pulling out date of birth and its not importing it either. With birthdate being a  required field I am getting warnings on all the employees that I imported.  Is there a fix for this so I dont have to touch each employee manually?

You can use the exporter tool and will get your Employee List data with the following template

Aside from following 4Gal suggestion, I have other options to make your employee birth date export successfully to your other company by using the Import it for me. I'll fix it later. Here's how:

 

  1. Go to the File menu and select Utilities.
  2. Click Import, then IIF Files.
  3. Use the Import it for me. I'll fix later link at the bottom of the import box later.

 

This will allow you to import the.IIF without QuickBooks doing the usual check for the file. Our IIF Overview is a great resource as well.
