I appreciate you letting us know about missing 2023 payroll entries to show on your federal forms, jant3. I've come to share information to help you include and modify these taxes when filing them.
If the pay period is within the deadline for filing forms or paying taxes, you may create a paycheck with a prior date (2023 payroll) as long as it isn't meant for direct deposits. You can then submit your W2s, 941, and 940 forms with the ability to add these missing entries. To do this:
- Go to Payroll and click Employees. Then, select Run Payroll.
- If asked, select a payroll schedule.
- Change the Pay date and Pay period.
- Choose your employee, then add their salary or hours worked.
- Pay method should be Paper check.
- Once done, preview and submit payroll.
However, if you encounter a message to choose a more recent pay date, I recommend contacting our Payroll Support Team to help you enter and correct missing payroll entries.
I've included this article that may come in handy in the future to help you pay and file your state and local taxes: Pay and file payroll taxes and forms in QuickBooks Online Payroll.
