Welcome to the community, I'm happy to help walk you through the steps on how to edit payroll items.

 

Edit payroll items used on paychecks

 

If you set up a payroll item incorrectly and used this payroll item on one or more paychecks, it could cause incorrect tax totals to be withheld.

 

Additionally, year-end tax forms, such as the W-2, 941 and state forms could be incorrect and need to be fixed.

 

We'll show you how to correct it.

 

  1. Edit the payroll item.
    • Select Lists on the top menu bar. Then select Payroll Item List.
    • Right-click the item and select Edit.
    • Select Next twice. Enter the correct tax tracking type. Then select Next.
    • Select the correct taxes. Then select Next.
    • Select Calculate Based on Quantity. Then select Next.
    • Enter the limit type, if all the employees have the same rate and limit.
    • If the employees do not have a default rate and limit but do have the same rates and limits, enter the amounts.
    • Select Finish.

It looks like QB team member Joshua replied to your QBO question with a desktop answer. Common problem. Did you ever find the QBO payroll items list and/or get the answer for how to edit an existing payroll item?

You'll want to go to the Employee details tab to add, edit, or remove any deductions or contributions for your employees. 

 

Here's how:

  1. Click Payroll on the left menu.
  2. Select an employee.
  3. On the Employee details tab, click the pencil icon beside the Pay section.
  4. Go to option #4 and #5 to add or remove pay types, deductions, and contributions.
  5. Once done with any changes, click Done.

I am specifically looking for payroll item information in the TSheets integration. All payroll items show up in TSheets regardless of whether they are linked to any or employee or none. How do I stop that from happening so they only see the payroll items we actually use?

When you integrate your QuickBooks Online account and Tsheets, all of your payroll items, if imported upon the first sync, will map automatically to the correct time types. However, you can clear the items you don’t want to automatically import. I can guide you on how to do it.

  1. From your TSheets account, select QuickBooks.
  2. Choose Preferences
  3. Under Automatically import changes to, choose clear the items you don’t want to automatically import.

On the other hand, there 3 ways to map your payroll items in TSheets:

  • By employee
  • By specific customers, service items, or classes
  • employee selection

To clarify, the Payroll item list can be found under List if you're using the Desktop version of QuickBooks. 

 

However, if you're using the Online version, you're unable to find the Payroll item list. As a workaround, you can find these items under Payroll and Service from your Settings page. 

 

Here's how: 

 

  1. Go to the Settings menu. 
  2. Select Payroll Settings
  3. Under Payroll and Services, select Deductions/Contributions

 

Should you need to view or edit your employees' earnings, you can individually click each employee to make some changes. Here's how: 

 

  1. Select the Payroll tab from the left menu. 
  2. Go to the Employees tab. 
  3. Select an employee to view the details.

With all due respect, I still can not find where to edit a payroll item for all employees. I really don't understand why QuickBooks Online makes it so darn difficult. I have 13 clients and thankfully, 12 of them are using QuickBooks Desktop. I really regret taking on one client that uses QuickBooks Online.

In QuickBooks Online (QBO), the payroll item list is seen per employee. To edit it, we can go to the Payroll or Workers menu.

 

Here's how:

  1. Click the Payroll or Workers on the left pane.
  2. Select Employees.
  3. Click the name of the employee.
  4. Select edit (pencil) icon beside Pay.
  5. Click the edit (pencil) icon next to the deduction item.
  6. Edit the information, and then select OK.

Good afternoon,

By my own admission, I am not the "brightest bulb in the box", but I am a really good accountant. I am trying to find where I add a Payroll Item. IE: Reported Tips Paid Out. When our employees get a tip on a credit card sale, we reimburse them every pay period. I need to know where the Debit goes along with where the Credit goes.

Can someone please set me on the right path?! This client uses QuickBooks Online but not Online Payroll. Make sense?

I'm having an issue finding the Payroll Item List in QBO, too.  I need to deduct vacation hours used for someone on salary without paying them an hourly wage.  I'd like to setup a new item, but can't find the list.

 

Here's the directions you were given that don't work: 

 

  1. Go to the Settings menu. 
  2. Select Payroll Settings
  3. Under Payroll and Services, select Deductions/Contributions

 

I don't have "Payroll and Services" under the Payroll Settings menu.  Any help?

I want to ensure this is taken care of, @SOS2u.

 

There are times that the browser is full of frequently accessed page resources, thus accumulating and corrupts the browser cache causing the runtime user interface to malfunction.

 

To start, access the QuickBooks account using a private/incognito browser. You can use the shortcut keys below:

 

• Safari: Command + Shift + N 

• Google Chrome: CTRL + Shift + N

• Mozilla Firefox or Microsoft Edge: CTRL + Shift + P 

 

Once you're in, deduct the vacation hours again. If you're able to do so, we'll go back to your regular browser and clear the cache to get rid of the stored junk files.

 

If the same thing happens, you can use other supported browsers. It could be that the one you're currently working on has a temporary issue with QuickBooks.

 

For future reference, to get the payroll information you need, you can run payroll reports to view useful information: Run payroll reports.

Ok.  I went to Settings- Payroll settings- and guess what?  There is no "Payroll and Services" !!!!  I need to change the way the tips are showing up on the W2's.  But I can't get into any payroll item list on QBO.   Please help with real information.

Let share some insights about the payroll settings.

 

If you are subscribed to the enhanced version of QuickBooks Online Payroll, you'll be able to see the Payroll and Services section after clicking the Payroll Settings.

 

Here's a sample screenshot to see what it looks like:

 

 

For the other versions of QuickBooks Online Payroll (Core, Premium, and Elite), the payroll settings is different.

To edit a payroll item for all versions, you can follow these steps:

 

  1. Go to Payroll > Employees.
  2. Select the employee's name and click the pencil icon next to Pay.
  3. In the How much do you pay? section, click the pencil icon next to Add additional pay types.
  4. Search for the pay type and edit the name or rate.
  5. Hit Save.

You can also check out the instructions in this article if you want to edit a deduction or contribution: Add or edit a deduction or contribution. Go to the QuickBooks Online Payroll (all versions) section.

Where is the payroll item list in Quick Books Online? I need to delete and edit a payroll item.

I need to be able to track Officer Salaries separately from other wages and salaries.  The easiest way would seem to be to have these salaries as a separate payroll item.  All the previous discussion is on how to deal with deductions and contributions, not the gross wages themselves.  I suppose the work around is to do a journal entry between the two accounts, but I hope there is a systemic solution rather than a manual one.  Any thoughts?

Yes, you can create another payroll item to track the Officer Salaries separately from your other payroll expense account. Then, go to Payroll Setting to map these accounts in QuickBooks. This way, you don't need to create a journal entry to separate their tracking. 

 

Here's how:
 

  1. Go to Settings and select Payroll settings.
  2. Click Preferences, then select Accounting Preferences.
  3. Under the Wage Expense Accounts, look for the payroll item that you've created and choose the payroll expense from the drop-down list.

Where is the payroll item list in Quick Books Online? I need to delete and edit a payroll item.

I am having this same issue.  Let me ask, now that a wage expense category is created (Officer Salary), how do we get a paycheck to code to that wage expense category and corresponding chart of accounts expense account?  I would think I could go to the employee list, click on that person, edit the pay, click edit, and click the edit pencil under section 4, which is "How much do you pay ___"?  The problem is, once I do that, I am only allowed to choose a pay type of salary, hourly, or commission.  How do I code the salary to the wage expense category I just created?  Also, does it save the salary amount somewhere?

I'd like to elaborate my colleague's replies, and help you code the wage expense category you created. 

 

Yes, that's correct. The How much do you pay section only lets you change how your employees are paid. 

 

Instead of going there, you'll want to go to your payroll's accounting preferences and code the employee's wages to the expense category you just created.

 

The system uses three different tracking options for their wages and payroll taxes (which I'll show in a screenshot below). 

 

Here's how to code the expense account: 

 

  1. Go to the Gear icon, then select Payroll settings.
  2. Scroll down, then click the pencil icon for the Accounting section. 
  3. Under Wage expenses, click the pencil icon to edit it.
  4. From there, you'll have three options to set how you are able to track your employee's wages. 
  5. Select an option, then set the account to the expense category you created. 
  6. Click Continue, then hit Done

Take note that this affects your entire payroll runs, not just a single paycheck. 

 

The salary will be saved within the expense category you coded in the Accounting page. If you're referring to the full details of the paycheck instead, you can check it on the Paycheck list page. 

 

Simply go to the Payroll menu, then click the Employees tab. Proceed with the Paycheck list link, then select the paycheck.

Where is the payroll item list in Quick Books Online? I need to delete and edit a payroll item.

Why can we not edit directly from a Payroll Item List? This seems so counter intuitive.

I have a client that has a complete mess of his payroll items from not understanding how it works, and I can't find an easy fix for any of it. 

My biggest issue is they created a Pretax deduction for Roth 401k, these all need to be moved into Aftertax items. I tried fixing it on the paychecks, but of course QBO won't allow a negative deduction (add in) to move it from the wrong item to the correct item. I have no idea how to fix this problem with the limits QBO has on it's program. On desktop it would be so easy.

The reason why you may not be able to see this option is because of the particular payroll subscription you have. Which payroll subscription do you have at this time? Here's how to find it: 

 

  1. Go to the Gear (Settings) icon in the top right-hand corner. 
  2. Press the Account and settings option. 
  3. Choose the Billing & subscription tab. 

 

It's that easy!
